Fix “We couldn’t reach the email server” in Outlook

The “We couldn’t reach the email server” message means Outlook cannot contact the mail server. Start with offline mode, internet access, and password checks, then follow the steps for your Outlook version and account type.

The message means Outlook could not make contact with the mail server for the account it is trying to use. It does not say why. The usual causes are a device with no working internet connection, Outlook running in offline mode, a password that changed at the email provider, an account whose server settings are wrong, or, on a work account, a service or policy problem. Start with the quick checks below, then follow the branch that matches your version of Outlook and your type of account.

Run the quick checks first

  1. Look at the status bar. In classic Outlook for Windows, the bottom of the window may show “Disconnected,” “Working Offline,” or “Trying to connect…”. Microsoft Support’s guidance on sending and receiving messages says that these labels mean Outlook cannot reach the email server to send mail. If you see one of them, you have a connection-state problem, not necessarily a broken account.
  2. Turn off Work Offline. In classic Outlook, open the Send/Receive tab and check whether Work Offline is highlighted. If it is, select it to turn offline mode off, then select Send/Receive All Folders again.
  3. Confirm the computer can reach the internet. Open a web browser and load a site you know is up. If pages do not load, fix the network first. Mail settings will not help until the device is online.
  4. Check whether the email password changed. If you changed the password on the provider’s website recently, Outlook may still be using the old one. Outlook will usually prompt for the new password, but if it does not, update the saved sign-in for that account.

If these checks pass and the error persists, the cause is more likely the account configuration, the sign-in method, or the Outlook profile. The sections below cover each of those.

Identify your Outlook version and account type

Outlook is not one product with one set of menus. The steps differ between classic Outlook for Windows, new Outlook, Outlook for Mac, and Outlook on the web, and the account type changes the fix. Answer these two questions before you change anything:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Which Outlook am I using? Classic Outlook for Windows has a File menu and an Account Settings dialog. New Outlook uses a different interface and does not offer the same profile repair path. Outlook for Mac has its own troubleshooting article.
  • What kind of account is it? A Microsoft 365 or Exchange mailbox usually belongs to a work or school organization. A third-party account, such as a consumer address from another provider, is typically set up with IMAP or POP settings from that provider.
  • Did the error appear while adding an account, or with an account that used to work? Setup failures point toward settings and sign-in. A sudden failure with a working account points toward a changed password, a connection change, an update, or a damaged profile.
Situation Start with Escalate to
Classic Outlook for Windows, account used to work Status bar, Work Offline, internet check, password Account repair, then Office updates
Classic Outlook for Windows, adding a new account Provider’s server settings and sign-in method Manual setup with provider details
Outlook for Mac Internet and local network check, credentials, server settings Network administrator or provider for correct settings
Microsoft 365 work account, one person affected Connection state, password, Outlook updates Repair the profile, then the administrator
Microsoft 365 work account, several people affected Ask the administrator whether others are affected Administrator checks Exchange Online service health

Check sign-in and app passwords

Some email providers no longer accept your ordinary account password in older mail clients. They ask for an app password instead, which is a separate password generated for one application. Microsoft Support’s troubleshooting article for Outlook email setup notes this possibility. The provider decides whether it applies, and the provider’s own help pages explain how to create and use an app password.

When you use an app password, enter it where Outlook asks for the password. Do not share your main password with anyone, and do not turn off two-step verification or other account security to make an error go away. Those changes weaken the account and rarely solve the underlying problem.

Set up a third-party account correctly

If the error appears while you add a personal or non-Microsoft address, automatic setup sometimes cannot find the correct settings. In classic Outlook, you can usually choose manual setup and enter POP or IMAP details instead. Get the incoming server, outgoing server, port numbers, and encryption method from the email provider. Do not copy server names or ports from a forum post, because they vary by provider and by account configuration.

Outlook for Mac: check mail-specific causes

Microsoft’s Outlook for Mac troubleshooting article lists several causes for mail that does not send or receive. These include SMTP authentication requirements, firewalls on a network or internet service provider blocking the outgoing server, incorrect credentials or settings, SSL or port requirements, proxy requirements, and a server that is unavailable. If you can receive mail but cannot send it, the outgoing server and its authentication are the first place to look. Ask your provider or network administrator for the correct values.

Repair the classic Outlook profile

If the internet connection, password, and account settings are correct but the error continues, repairing the account in classic Outlook is the next step. Microsoft’s profile-repair article covers Outlook for Microsoft 365 and Outlook 2016, 2019, 2021, and 2024.

  1. Open Outlook and select File.
  2. Select Account Settings, then Account Settings again.
  3. On the Email tab, select the affected account.
  4. Select Repair and follow the wizard.
  5. Close Outlook completely and start it again.

Repair is not available for Outlook 2016 connecting to Exchange, so that combination needs a different route. Keep Office updated as well, because Microsoft lists outdated software among the common causes of connection failures for Exchange Online accounts.

For Microsoft 365 work accounts, involve the administrator

Microsoft’s Learn article on Outlook connection problems for Microsoft 365 accounts lists outdated client or Windows software and corrupted Outlook profiles as common causes. Administrators can run Microsoft 365 connectivity diagnostics where that tool is available to them.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If more than one person in the organization cannot connect, do not keep changing your own settings. Ask the administrator to check Exchange Online service health. A service incident would explain a failure that affects many users at once, and no local change will fix it.

Administrator-only setup failures

One narrow case deserves mention because it can produce this error during account setup on managed computers. Microsoft’s Learn article on Outlook setup problems for Microsoft 365 accounts describes a configuration in which Group Policy disables local Autodiscover while an Office connected-experiences policy blocks cloud Autodiscover. In that combination, Outlook cannot retrieve account settings. Only an administrator can change those policies. If you do not manage the computer, pass this information to your IT team rather than editing policy settings yourself.

When to stop troubleshooting on your own

  • Several colleagues cannot connect at the same time. Contact the Microsoft 365 administrator.
  • A personal account works in a web browser but not in Outlook after the settings have been checked. Contact the email provider for current server and authentication details.
  • The error continues after repair and updates on a work computer. Give your administrator the Outlook version, account type, and the exact time the error began.

Keep a note of the Outlook version, the account type, and the exact wording of any messages. These details make it much faster for a provider or administrator to find the cause.
