A field technician needs a bounded local copy of the records they will touch, a queue for changes made without a connection, and a clear signal for what has synced, what is still waiting, and what failed. Photos should be linked work records with their own upload state. Structured forms with autosave protect the details that are easiest to lose. AI features should be labeled by whether they run on the device or need a network connection, and every network-dependent step needs a manual fallback.
Define “offline” as a data system before choosing features
An offline field app has three moving parts: a local copy of records, a queue of writes made without a connection, and a sync process that reconciles both when the device reconnects. If any one of them is undefined, the app looks ready in the office and fails at the job site. Specify the records, the download limits, the queue behavior, and the failure states first, then design the screens.

Microsoft Dynamics 365 Field Service
Administrators control offline scope through an offline profile. The profile determines which tables and fields are available, which related data is included, which filters apply, and how often sync runs. Microsoft provides a default Field Service profile as a starting point with common tables and recommended filters. Larger profiles increase download time and device storage, so begin with what a technician needs on a typical job and expand only when a real gap appears.

Microsoft’s offline-first model for Power Apps mobile uses a local SQLite-based cache, an initial download, incremental synchronization, and local queuing of offline writes until connectivity returns, as described in How offline first functionality works in Power Apps mobile. Microsoft’s Field Service mobile documentation states the operating rule directly: “After the offline profile is set up and data is downloaded to the mobile device for the first time, the mobile app runs offline-first.” That first download has to happen while the device is connected, so schedule it at the depot or the night before a shift rather than leaving it to the field.

Salesforce Field Service
Salesforce describes its Field Service mobile app as offline-first: it works from cached data and refreshes when it returns online. What you can rely on depends on the specific offline mode, app version, edition, and configured feature set. A behavior documented for one vendor’s app should not be assumed for the other’s.
Make sync state visible to technicians
A technician who cannot tell whether a status change or photo has reached the office will re-enter it, which creates duplicates and conflicts. Show the state of every offline change on the record itself, not in a separate log.
The states to display
- Saved on device: the change exists locally and has not been sent.
- Queued: the change is waiting for a connection or the next sync.
- Syncing: the transfer is in progress.
- Synced: the server has accepted the change.
- Failed: the change needs attention, with the reason shown and a retry action available.
- Conflicted: another edit won, and the technician can see what changed.
These labels are design recommendations. Map each vendor’s own status values to them rather than exposing raw platform terms to technicians.
Platform sync behavior differs
Microsoft’s offline documentation states that on iOS, syncs occur in the foreground, while on Android a sync started in the foreground can continue after the app moves to the background. For a mixed fleet, one instruction covers both cases: keep the app open until the record shows Synced.

Conflict rules to write down
Microsoft’s sync configuration guidance notes that conflicting changes may be resolved with dispatcher changes winning. Do not assume a universal merge policy. Decide the rule for each class of field:
- Which side wins for status, schedule, and parts fields.
- Whether technician notes are appended rather than overwritten.
- What the technician sees when their change is overwritten.
Restrictions to check early
Microsoft’s best practices and limitations for the offline profile document restrictions that include unsupported tables and flows that run only with connectivity or at the next sync. Map every workflow step to one of three categories (works offline, deferred to next sync, or requires connectivity) before the design is fixed. A step that silently waits for a flow will confuse a technician who expected an immediate result.
Treat photos as linked work records
A job photo is evidence attached to a specific piece of work, not a file sitting in the camera roll. Link each image to the work order, service appointment, or asset it documents, store its capture time, and show its upload state. Then decide the behavior for three edge cases: low device storage, a failed upload, and a record that is edited or removed before its photos sync.

Salesforce: queued uploads with a licensing condition
Salesforce’s Mobile and Offline Developer Guide states that supported Salesforce mobile apps can queue image uploads while offline and upload them after network service returns. The guide ties this to app support and a Salesforce Mobile App Plus licensing condition. Confirm licensing and product configuration before treating offline image upload as a design assumption, because a licensing gap would change the whole capture workflow.
Microsoft: smaller files, not a guaranteed offline upload path
Microsoft’s offline profile guidance recommends letting photo resolution default to smaller file sizes. That reduces device storage use and transfer volume. It does not establish that every Microsoft field app photo workflow supports offline upload, so verify the photo path in your own configuration rather than inferring it from the file-size guidance.
Use structured forms and autosave for the details that matter
Free-text notes are hard to validate and easy to lose. Structured forms enforce the fields you need and cut the number of questions a technician must answer on a small screen.
Salesforce’s Data Capture for Field Service Mobile creates dynamic forms with conditional logic and autosave, and Salesforce documents their use both online and offline in the Field Service app. Conditional logic keeps routine jobs short by showing follow-up questions only when they apply. Autosave protects entries when a technician is interrupted by a call, a dropped connection, or an app that closes unexpectedly. Microsoft documents inspections as a way to capture structured service results.

Two checks come before you commit. First, confirm which mobile experience your organization selects. Microsoft’s Field Service mobile app overview states that the refreshed experience does not currently support working offline, so an offline requirement may rule it out. Second, confirm that every form the technician uses falls inside the offline scope you defined earlier.

“AI” in a field app covers very different things. Some capabilities run entirely on the phone. Others send text or images to a service. Label each one before promising it to a technician.
On-device: barcode recognition
Google’s ML Kit barcode scanning performs recognition on the device and does not need a network connection. It supports common linear and 2D barcode types. The documentation describes limits on formats and image quality, so test scanning under the lighting and label conditions your technicians actually face. This is a narrow computer-vision function. It does not show that a general image-understanding or generative feature works offline.

Connected: Agentforce in the Field Service mobile app
Salesforce’s Field Service documentation describes Agentforce in the mobile app as using text and images to find records, summarize records, generate post-work summaries, and gather information. The vendor material does not establish that these features work offline. Treat them as connected features in your requirements, and document network availability, data handling, and the fallback explicitly.

The fallback every network-dependent feature needs
- A manual entry path for any barcode the scanner cannot read, so the job can continue.
- A saved draft for generated summaries, so text the technician has written is not lost when a request fails.
- A visible message that the AI feature is unavailable, rather than a blank result that looks like an answer.
- A rule for whether a job can be closed while a connected feature is still pending.
How the platforms compare
The table shows what each vendor’s published documentation establishes. “Not stated” means that documentation does not address the point, so confirm it with the vendor before relying on it.

Devices and deployment fit
Choose hardware after the app’s requirements are clear, not before. Check each of the following:
- The operating system version required by the app and mobile experience you selected. Microsoft’s Dynamics 365 Field Service mobile app download and install page sets platform requirements.
- Camera quality adequate for barcodes and job photos at the photo resolution you configure.
- Storage capacity against the size of your offline profile. Microsoft notes that storage requirements depend on the configured offline profile.
- Your organization’s security policy and device management requirements.
- Durability for the environments where technicians work.
A rugged Android smartphone is a reasonable category to evaluate, because the workflows above depend on the device camera and local storage. This article does not recommend a specific model. Make the choice from the checks above, using your own workflow as the test.
What the evidence supports, and what to validate
The platform behavior described here comes from vendor documentation, not from hands-on testing of these products. The documentation explains how the features are meant to work. It does not measure whether offline capture, photo workflows, or AI features improve technician productivity or job outcomes, so any productivity figure should come from your own pilot.
Run that pilot on the exact app, licensing tier, operating system, and release you plan to deploy, and cover these cases:
