Choose by testing four things together: whether customers can find useful content, how your team manages and publishes it, how it fits your support workflow, and what it can show you about searches and self-service activity. Compare the total cost at your likely seat count and usage level; some products combine seat charges with usage-based AI or messaging fees.
What FAQ software does for customer self-service
FAQ software is often a customer-facing help center or knowledge base: a searchable collection of articles that customers can browse when they need help. Some tools connect that content to support workflows or conversational answers, so customers can get help through search or an AI interface and reach a person when self-service does not resolve the issue.

The label “FAQ software” does not tell you whether a product includes all of those functions. Check what the product actually provides: public articles, search and navigation, controls for editing and publishing, connections to your support tools, and reporting. For example, Zendesk, Freshdesk, Help Scout, and Salesforce document customer-facing knowledge or help-center uses; Help Scout also describes AI chatbots that search its Docs content. These are vendor descriptions of their own products, not independent comparisons of accuracy or performance.

Compare the documented options
The products below are different ways to provide customer self-service, not a ranked list. The cited vendor materials establish the capabilities described here, but do not provide a neutral head-to-head performance test or enough comparable information to name an overall winner.
#1 Best Overall
| Product | Documented self-service role | Notable documented capabilities | Price information established here |
|---|---|---|---|
| Zendesk Knowledge | Customer-facing help center and knowledge base | Plan-dependent options include themes, integrations, permissions, customer portal, internal knowledge, and article lifecycle management. Zendesk also documents analytics for searches, help-center traffic, article views, and self-service. | Not stated in the cited Zendesk documentation. |
| Freshdesk Knowledge Base / Solutions | Help center and self-service content | Freshdesk describes knowledge-base analytics and help-center content categories. Freshdesk Omni experiences can differ by signup period. | Not stated in the cited Freshdesk documentation. |
| Help Scout Docs | Searchable customer-facing documentation | Help Scout says its AI chatbots can search Docs content to answer repetitive questions. | Not stated in the cited Help Scout documentation. |
| Intercom Fin | Conversational answers using AI, available with Intercom or an existing help desk | Intercom describes both purchasing Fin with Intercom and using Fin with an existing help desk. Its pricing FAQ describes seat and usage components. | Current prices are not stated in the cited pricing FAQ summary; it describes a seat-and-usage model. |
| Salesforce Service Cloud | Self-service through a help center where customers can browse knowledge articles | Salesforce documents publishing a help center for customer access to knowledge articles. | Not stated in the cited Salesforce documentation. |
These descriptions do not establish equivalent plan packaging, functionality, or price. In particular, do not assume that Intercom’s seat-and-usage pricing model applies to the other products. Product packaging and prices can change; consult each vendor’s current materials for the account and region you are considering.
How to choose FAQ software
1. Test how customers find an answer
Start with real questions customers ask, not sample content written to make a product look good. Try searching the exact phrases customers use, browse the help-center categories, and check whether results lead to a relevant, current answer. Also test what a customer sees when no article helps: the next step should make it clear how to contact support or continue the conversation.
Search quality is distinct from having a large article library. A system can contain the right answer and still fail self-service if customers cannot locate it.

2. Check how the team owns and maintains content
Ask who can draft, edit, approve, and publish an article, and how the team will notice when an answer needs review. Look for permissions and publishing or lifecycle controls that match your approval needs. These controls can vary by plan: Zendesk’s documentation, for example, lists permissions and article lifecycle management among features whose availability depends on plan.
Rank #2
For AI-generated or conversational answers, check how the tool uses the team’s approved content and how staff can correct outdated or incomplete source articles. The reviewed vendor descriptions do not establish a cross-vendor security comparison or a universal standard for keeping generated answers grounded, so assess those controls in the specific product and configuration.
3. Fit the knowledge base into support work
Consider whether customers will use a standalone help center, conversational answers, or both. Then check whether agents can use the same knowledge while replying to a customer and whether unresolved questions can move into the support workflow you already use. A knowledge base that is disconnected from the way your team handles escalations can create duplicate effort or leave customers unsure what to do next.
Intercom’s pricing FAQ explicitly describes Fin as available either with Intercom or alongside an existing help desk. That option is specific to Intercom’s documented offer; do not infer that every conversational tool supports the same arrangement.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors4. Decide what evidence you need from reporting
Useful reporting can include what customers searched for, whether they clicked or viewed articles, how they used the help center, and whether issues were resolved without agent assistance. Use search failures and low-engagement articles to find missing topics, unclear wording, and content that may need updating.

- Customize your tracks with amazing effects and helpful editing tools.
- Use tools like the Beat Maker and Midi Creator.
- Work efficiently by using Bookmarks and tools like Effect Chain, which allow you to apply multiple effects at a time
- Use one of the many other NCH multimedia applications that are integrated with MixPad.
Be careful when interpreting a self-service or session measure. Zendesk’s reporting documentation notes that different session definitions and user control over tracking can affect the data. Before comparing periods or channels, understand how the product defines a session and what activity it can observe. No neutral comparative performance test in the cited materials establishes what resolution rate a buyer should expect from any of these products.
5. Calculate cost for the way you will use it
Compare the number of full agent seats you need, the plan gates for permissions or analytics, and expected AI or messaging volume. A seat price alone may not capture total cost when usage charges apply. Intercom says usage pricing applies to Fin and some messaging channels; the cited materials do not establish equivalent pricing structures for the other products in this comparison.
Because vendor prices and packaging change, use the current vendor pricing materials for your region and intended plan rather than treating an old or incomplete price as a like-for-like comparison.

- Collect representative questions. Use frequent support questions and include questions that currently produce repeat contacts, ambiguous answers, or escalations.
- Prepare approved answers. Use content your team considers accurate and current. Include the categories and wording customers actually encounter, not only internal terminology.
- Run the same searches in each candidate. Check whether customers can reach the correct answer through both search and navigation, and note searches that return irrelevant results or no useful result.
- Try the unresolved path. Follow the customer experience when an article is incomplete or unhelpful. Confirm that the route to human support is understandable and fits the team’s process.
- Check publishing and permissions. Have the people who will maintain the help center try the relevant editing, review, approval, and publishing tasks. Confirm which controls are included in the plan under consideration.
- Inspect reporting against the test. Look for failed searches, article activity, and the measures the tool offers for self-service. Confirm how sessions or user activity are defined before using the numbers to judge success.
- Estimate full cost. Apply your expected seat count and AI or messaging usage to the vendor’s current pricing terms, and account for plan-dependent controls you need.
This workflow is a way to compare candidates using your own questions and support process; it is not a claim that the products have been independently tested.

How to tell whether self-service is working
Do not treat the existence of a help center, article views, or an AI answer as proof that a customer’s issue was resolved. Evaluate the path from question to outcome: could customers find a relevant answer, did they use it, and did they still need agent help? Review search terms and failed searches for content gaps, then check whether changes to articles improve the specific searches that prompted them.
Interpret reported measures in context. Session definitions and tracking choices can change what a dashboard counts, and vendor feature descriptions do not establish a future resolution rate. Use the same definitions over time and compare results with the actual support outcomes available to your team.
Frequently Asked Questions
What content should a help center cover first?
Begin with the questions customers ask repeatedly and the tasks or policies that cause confusion. Write answers around the language customers use, organize related topics so they are easy to browse, and assign an owner to review content when the underlying process changes.
Does self-service software need AI?
No. A searchable help center can support self-service without conversational AI. AI is an additional way to surface answers, not a substitute for maintaining accurate source content or providing a clear route to a person when an answer does not help.

Can a vendor’s feature page predict how many tickets the tool will prevent?
No. Product descriptions explain documented features; they do not establish your future resolution rate. That outcome depends on your content, customers’ ability to find it, escalation design, and how you measure resolved issues.
