A spreadsheet can record customer details, dates, assignments, and notes. A dispatch workflow connects those records to the work of coordinating and completing jobs: dispatchers can see assignments and status, move work when plans change, and technicians can receive job details and report progress from the field. Make the workbook predictable enough to map and validate. A useful starting point is one row per job, with consistent identifiers and values. An app may also expect customers, properties, and jobs to be separate records, so confirm its data model before reshaping everything.

- Standardize job IDs, customer and site details, addresses, job type, priority, requested service window, assigned person, status, and notes.
- Use consistent date and time formats, status names, and technician names; resolve blanks or conflicting values where possible.
- Identify duplicate jobs and decide whether historical and completed work should move into the new system.
- Keep a source copy of the workbook and document which sheet or column is authoritative for each piece of information.
This is a practical preparation approach, not a universal workbook format prescribed by dispatch vendors. Build the final column layout around the import requirements of the product you select.
Check the import contract before committing
Ask the vendor or consult its current documentation whether the app accepts your actual file type, which columns are required, how customer and property relationships are represented, and what happens to duplicates, invalid dates, and unsupported values. Also confirm whether the import has record, file-size, or user limits and whether it can be undone.

Examples show why these details are product-specific. FieldTempo describes CSV import for clients, properties, and jobs alongside dispatch features on its features page. DispatchPing describes uploading Excel or CSV job and technician lists, mapping columns, and reviewing the mapping before proceeding on its website. Those descriptions do not establish that another app will accept the same workbook or support the same relationships.
Migrate in a controlled sequence
- Map the fields. Match each workbook column to an app field. Flag missing addresses, technicians without matching records, invalid dates, and values that do not fit the target fields. DispatchPing describes column mapping and pre-plan validation; treat this as its reported workflow, not a standard shared by all products.
- Test a representative batch. Use a small set that includes a typical job, an urgent job, one with incomplete information, and a recurring job if your business handles recurring work. Compare dispatch apps against the work your team does
Use the same questions for each candidate. A shared schedule may be enough for a small team; businesses with complex coverage or field documentation needs may need more. Scheduling and status visibility

Do technicians need a separate tablet?
Not necessarily. A compatible phone may be sufficient if it meets the selected app’s requirements and technicians can comfortably view job details and update status on it. FieldTempo describes native iOS and Android apps, but that does not establish a universal hardware requirement. Check device and operating-system compatibility for the specific app and plan; provide a tablet only if your field workflow or screen needs justify it.

What results can you reasonably expect?
A dispatch app can make assignment and job status more visible when the team uses it consistently. The vendor pages reviewed do not establish a neutral, independently verified time or cost saving, so do not treat software adoption alone as proof that service will become faster or cheaper. Measure your own baseline and post-cutover indicators—such as missed appointments, time to assign urgent work, or incomplete status updates—if you need to judge whether the new process is helping.
