The right Excel alternative depends on what you mean by “files.” To find documents and folders already on a Windows PC by name, use a filename search tool such as Everything. To organize information about things—such as files, assets, locations, or owners—across related records, use a database such as Microsoft Access or LibreOffice Base. Excel remains a sensible choice for a small, flat list or work that depends on calculations.
These tools solve different problems: a file-search utility helps locate files on disk, while a spreadsheet or database stores and organizes information about them.

First decide whether you need file discovery or a data catalog
“Organizing and searching files” can mean either finding existing files and folders on your PC or maintaining a searchable list of information about items. Those jobs call for different software.
- Find an existing document or folder by filename: use a file-search utility. Everything is designed to locate files and folders by name on Windows.
- Keep a list of items with a few fields: Excel can work well when the information fits in a straightforward table and you want formulas, analysis, pivots, or charts.
- Track related information across multiple lists: consider a database when records need to connect—for example, items with separate locations, owners, or transactions—and you need structured queries, entry forms, or reports.
A spreadsheet and a database may both display rows and columns, but they are not interchangeable in how they handle relationships. A filename search tool is different again: it searches the names of files on disk rather than maintaining a structured catalog of their details.

Which option fits your job?
| Tool | Best fit | What it offers | Important limit |
|---|---|---|---|
| Excel | A small, mostly flat list or calculation-heavy analysis | Workbooks and worksheets, formulas, pivots, charts, and flexible analysis. Microsoft explains when to use Excel or Access. | It does not provide relational integrity between related tables. |
| Microsoft Access | Structured tracking across related records | Linked tables, unique identifiers, queries, forms, and reports; Microsoft gives inventory and asset tracking as suitable uses. Microsoft’s database basics guide. | It is Windows desktop software, and Access is included only in certain Microsoft 365 plans. Check the plan rather than assuming it is included. |
| LibreOffice Base | A no-cost database component for tables, forms, queries, and reports | Base is part of LibreOffice, which is available at no cost. It can also connect to some external relational databases. LibreOffice and its Base help describe these capabilities. | Spreadsheet and text sources are read-only within Base; Base is not an in-place editor for those source files. |
| Everything | Finding files and folders on Windows by filename | Indexes names, updates results in real time, and is described by its publisher as freeware. Voidtools’ Everything page. | It is not a structured catalog, and file contents are not indexed for fast searching. |
There is no universal winner. Select the tool according to the shape of the information, whether you are searching disk or cataloging data, how much validation you need, and whether you will query one list or several related ones. If access must be shared, check that requirement separately: the cited product guidance does not establish a single shared-access setup suitable for every case.
When Excel is still the right choice
Excel is appropriate when each row can stand on its own and the columns describe that row without needing dependable links to separate tables. A simple contact list is one example in Microsoft’s guidance. An inventory list with item name, category, purchase date, and a manually entered location may also remain manageable as one table if it is small and consistently maintained.
Excel’s strength is not just that it can hold rows. Microsoft describes it as optimized for data analysis and calculation. If the main task is calculating totals, sorting a compact list, summarizing values, or making a chart, changing to a database may add setup work without solving a real problem.

A common warning sign is repeated information. Imagine recording several orders for the same customer in one worksheet and retyping the customer’s address in every order row. If the address changes, some rows might be updated while others are missed. The same issue can occur when one item has multiple contacts or locations. A database can store the customer or item once and connect related records through identifiers. Excel allows flexible entry, but it does not enforce those relationships in the same way.

Changing applications alone will not repair inconsistent records. Before moving a list, decide what one row represents, standardize field names and values, remove accidental duplicates, and identify which details belong to the same real-world entity. These are data-design decisions, not features that a new application can make on your behalf.
When a database is worth the extra structure
Consider a database when the information naturally divides into connected groups, or when people need repeatable ways to enter, retrieve, and present records. Microsoft’s guidance points to multiple tables, complex queries, regular structured tracking, and varied reports as reasons to choose Access over Excel.
How linked tables help
Suppose an organization tracks equipment, its locations, and the people responsible for it. A flat worksheet might repeat the same location and owner details across many equipment rows. In a relational design, each kind of record can have its own table, and an identifier connects an equipment record to the right location or owner record.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →This structure reduces repeated data and makes it easier to change a detail in one place. It also makes it possible to retrieve selected fields across tables—for example, a list of equipment assigned to a particular location. The example is a way to think about the structure, not a prescribed schema: the right tables depend on what the organization actually needs to record.

Why identifiers and integrity matter
A database can use unique identifiers to connect records and enforce rules about those connections. Microsoft’s example is that referential integrity can prevent an order from existing without a corresponding customer. In practice, this kind of rule reduces mismatches that free-form spreadsheet entry can permit, such as a reference to a customer that is absent from the customer list.
Queries, forms, and reports
A query retrieves a selected subset of records or fields, potentially from one or multiple tables, and can summarize values. A form provides an interface for entering or editing data; a report presents formatted information. These are useful when people need a consistent data-entry route or recurring outputs rather than direct edits to a sprawling grid. Microsoft’s database basics article explains these database components.
Choosing between Access and LibreOffice Base
Both are database options, but their availability and handling of existing files differ. Access is the more direct candidate when you need Microsoft’s described Windows desktop database features and your plan includes it. Base is a no-cost option for building database tables, forms, queries, and reports, but do not assume it will let you edit an existing spreadsheet as though it were a database table.
| Question | Microsoft Access | LibreOffice Base |
|---|---|---|
| What is it suited to? | Related tables, queries, forms, reports, and structured tracking such as inventory or assets. Microsoft’s comparison. | Building tables, forms, queries, and reports. LibreOffice’s product page. |
| Platform or availability stated by the source | Windows desktop software; included only in certain Microsoft 365 plans. Verify the subscription in question. Microsoft Support. | Part of LibreOffice, described as available at no cost. LibreOffice. |
| Can it work with other data sources? | Microsoft describes desktop databases and discusses a separate, legacy web-app approach; do not treat old web-app setup guidance as current. Microsoft’s desktop database versus web-app guidance. | Base can access some flat-file database formats and connect to external relational databases, including MySQL or Oracle. LibreOffice Help. |
| Can it edit an existing spreadsheet or text source as records? | Not stated in the cited comparison. | No. LibreOffice Help lists spreadsheet and text sources as read-only within Base; editing records or database structure for those source types from Base is not supported. |
Check Access availability before designing around it
Access is not included in every Microsoft 365 subscription. Confirm that the specific plan provides it and that a Windows desktop application suits the people who need to use the database. Microsoft’s comparison distinguishes a locally stored desktop database from the older Access web-app route. The separate guidance on web apps includes historical product context; it should not be treated as current instructions for setting up a new shared web database.

Understand Base’s read-only source limitation
Base can connect to or access certain data sources, but connection does not always mean the source becomes editable from Base. LibreOffice Help explicitly lists spreadsheet files, text files, and address-book data as read-only types in Base. If the goal is to migrate an Excel list into an editable database, plan to create database tables and move or import the data into them rather than relying on the original spreadsheet remaining an editable table inside Base. The cited help page establishes the read-only limitation; it does not establish a single migration procedure for every file or database setup.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When you only need to find files on disk
If the task is “find the PDF I saved somewhere on this PC,” a database is usually the wrong starting point. Voidtools describes Everything as a Windows search engine for files and folders by filename. It indexes names and updates results in real time, so you can search the names that already exist on disk without first building a catalog of every file.
Everything’s focus is filename discovery, not understanding the contents of documents. The publisher says content searches are possible with a content operator, but content is not indexed and those searches are slow. If the filename is vague or the needed phrase appears only inside a document, that limitation matters; Everything should not be mistaken for a full-text indexing system.

Set expectations for indexing and system requirements
Voidtools’ FAQ lists Windows XP through Windows 11 as supported. Because the FAQ does not show a publication date, that list is the publisher’s stated compatibility range, not a guarantee about operating systems released after it. The FAQ also says NTFS indexing requires either the Everything service or running the application as administrator. For mapped network drives or shares, it says they can be added in settings.
Best Value
The same FAQ publishes illustrative figures for fresh Windows installations: about 250,000 files on a fresh Windows 11 installation are said to take about five seconds to index, using about 35 MB of RAM and less than 14 MB of disk space; one million files are said to take about one minute, using about 100 MB of RAM and 45 MB of disk space. These are undated vendor examples, not independent benchmarks or promises for a particular PC. File counts, hardware, storage, configuration, and other conditions can affect an individual result. See the Everything FAQ for the publisher’s figures and qualifications.
A practical way to decide whether it is enough
- Write down the search you actually need: a filename or folder name, a file’s contents, or a collection of descriptive fields such as owner and location.
- If names are enough, use a filename search tool and try the terms you remember from the name. If the key information exists only inside a document, do not assume Everything will find it quickly.
- If you need to answer questions about structured details—such as which items belong to a location or person—create or maintain a catalog in a spreadsheet or database. A search index of names will not supply those relationships.
- If you need both kinds of lookup, use separate tools for each job: one for locating disk files by name and another for maintaining structured records. Avoid duplicating a catalog in a way that creates extra records to keep synchronized unless there is a clear reason.
How to move from a growing spreadsheet to a database
A spreadsheet that has become difficult to search may have a data-structure problem rather than a software problem. Use these steps to decide whether a database will help and to prepare a clean starting point.
- Define the job. List the questions the records must answer and the outputs people need. “Find a document by its filename” points to file search; “show all assets at a location, with their owners” points to a structured catalog.
- Choose what one record means. Decide whether a row represents one asset, person, location, transaction, or other entity. Avoid mixing different kinds of records in one row.
- Mark repeated facts and relationships. If the same owner, location, customer, or contact is repeated across rows, ask whether it should be a separate record referenced by an identifier. This is where a relational design can help.
- Clean the existing list. Standardize names and categories, identify duplicate entries, and fill or flag missing information. A database can enforce some rules going forward, but it cannot infer which conflicting value is correct.
- Choose the platform based on constraints. Check whether Access is included in the intended Microsoft 365 plan and whether Windows desktop use fits. For Base, account for the documented read-only treatment of spreadsheet and text sources.
- Build and test a small working model. Set up the tables and identifiers, then test entry, queries, forms, and reports with representative records before treating the database as the authoritative catalog.
- Decide how the file system and catalog relate. If records describe files, determine how staff will identify the corresponding disk files and keep those references meaningful. Neither Access nor Base should be assumed to replace filename search automatically.
Common mistakes to avoid
- Replacing Excel just because a list is long. The more important question is whether the data is flat or relational and whether analysis or structured tracking is the main job.
- Expecting a database to repair messy data. Repeated, inconsistent, or ambiguous entries need decisions and cleanup; moving them does not make them accurate.
- Using Everything as a contents search or catalog. It indexes filenames, not file contents for fast lookup, and it does not store custom fields such as owner or status.
- Assuming Base edits a connected spreadsheet. Spreadsheet and text sources are read-only within Base according to LibreOffice Help.
- Assuming every Microsoft 365 plan includes Access. Microsoft says inclusion is limited to certain plans; verify the exact subscription.
- Treating performance examples as guarantees. Voidtools’ indexing and memory figures are publisher examples for fresh Windows installations, not independently tested results for every computer.
Bottom line: match the tool to the information
Keep Excel for a straightforward list or analysis. Move to Access or Base when records have meaningful relationships and you need database features such as queries, forms, reports, or stronger control over how records connect. Choose Everything when the actual goal is to find files and folders on a Windows PC by name. These are complementary tools, not substitutes for one another in every situation.
