Essential Keyboard Shortcuts: A Practical Guide for Windows, Mac, ChromeOS and Docs

A focused guide to everyday keyboard shortcuts, platform differences and built-in ways to discover commands in Google Docs, Word and Windows.

Start with five shortcuts you can use in almost any editing session: copy, cut, paste, undo and find. The common Windows and ChromeOS forms use Ctrl; Mac forms use Command. Shortcuts vary by app, browser, language and keyboard layout, so treat the combinations below as a starting point and check the app’s own shortcut reference when one does not work.

Essential shortcuts to learn first

These common combinations cover everyday editing and document tasks. Google documents the Google Docs-specific commands in its keyboard shortcuts reference; confirm behavior in other apps before relying on it.

Task Windows / ChromeOS macOS Note
Copy Ctrl+C Command+C Check the app if it behaves differently.
Cut Ctrl+X Command+X Moves selected content to the clipboard.
Paste Ctrl+V Command+V Inserts clipboard content.
Paste without formatting in Google Docs Ctrl+Shift+V Command+Shift+V Google Docs-specific documented command.
Undo Ctrl+Z Command+Z A useful early shortcut to practice.
Redo in Google Docs Ctrl+Shift+Z Command+Shift+Z Some apps use a different redo command.
Find Ctrl+F Command+F Useful in documents and browsers.
Save Ctrl+S Command+S Google Docs auto-saves, but documents this shortcut.
Print Ctrl+P Command+P Common in document apps.
Insert link in Google Docs Ctrl+K Command+K Select text first when appropriate.

How Ctrl and Command differ

Windows and ChromeOS commonly use Ctrl as the modifier for these tasks; macOS commonly uses Command. Apple’s Mac keyboard shortcuts guide explains that you hold the modifier keys and then press the final key. When using a Windows keyboard with a Mac, Alt substitutes for Option, while Ctrl or the Windows logo key substitutes for Command in the corresponding conventions.

Microsoft Word

Word for the web provides separate shortcut tables for Windows and Mac. Use the table for your platform rather than assuming a combination behaves the same across operating systems or applications: Microsoft’s Word for the web shortcut reference.

Other apps and keyboard layouts

A shortcut may be affected by the application, browser, app version, language or keyboard layout. If a command fails, look it up in the current app’s menu or official shortcut reference rather than repeatedly trying a combination that may not apply.

Discover shortcuts with Windows PowerToys

On Windows, Microsoft PowerToys Shortcut Guide can reveal shortcuts for the foreground app. Its default activation is Win+Shift+?; Ctrl+F moves focus to the guide’s search box. Microsoft says the guide includes manifests for Windows, Microsoft 365, browsers, communication tools, developer tools and creative apps, and cautions that the supported-app set can change between PowerToys releases. See Microsoft PowerToys Shortcut Guide for current details.

Learn shortcuts without memorizing a huge list

  1. Choose one environment. Start with the operating system and app you use most, such as Windows with Word or Mac with Google Docs.
  2. Practice five editing commands. Begin with copy, cut, paste, undo and find.
  3. Add commands as you need them. Once those feel familiar, learn tasks such as saving, printing, inserting links or moving through text.
  4. Keep a reference nearby. Use the app’s official list; in Google Docs, Ctrl+/ or Command+/ opens it, and Windows users can consult PowerToys Shortcut Guide.
  5. Practice in short sessions. Verify unfamiliar commands in the current app, since shortcuts are not perfectly universal.

Keyboard shortcuts and accessibility

Keyboard commands can be an alternative to a mouse or touchscreen for people with mobility or vision disabilities. Microsoft describes keyboard shortcuts as an essential alternative input method and notes that many users find Microsoft 365 apps more efficient with an external keyboard. That is not a measured time-saving guarantee, but a USB or Bluetooth keyboard may be useful for shortcut-heavy work. Google also documents keyboard navigation among the menu bar, side panel and main landmarks in Docs, Sheets and Slides, with combinations differing between Mac and Windows/ChromeOS: Google Workspace keyboard accessibility.
