Those labels are not a reliable guide to a product’s actual capabilities: compare the workflow, integrations, permissions, oversight, and terms of the specific plan you would deploy.
What is the difference between an enterprise AI assistant and a chatbot?
A chatbot describes an interaction pattern: a person uses conversation to get information or complete a limited task. An enterprise AI assistant is a broader product category that may combine chat with organizational information, application context, or task-specific agents. The boundary is not fixed; an integrated chatbot can use internal sources, and an assistant does not necessarily take actions.

Vendors use these terms differently rather than following a universal standard. Microsoft describes Copilot experiences and focused agents within workplace tools, while Google describes Gemini Enterprise as including an assistant, connectors, and agents. These are vendor descriptions, not proof that similarly named products have equivalent features. Check what the particular product, license, configuration, and contract provide. Microsoft’s organization Copilot guide and Google’s Gemini Enterprise documentation outline their respective offerings.

Which option fits your team’s work?
| Option | Use it when | Questions to test |
|---|---|---|
| Bounded chatbot | The user needs a conversational interface for a limited information or service task. | Which sources can it use? Can it hand off to a person? How will you evaluate its answers? |
| General enterprise assistant | Employees need flexible help with drafting, summarizing, analysis, or approved workplace information. | Which organizational sources are connected? Are existing permissions enforced? Which controls and licenses apply? |
| Task-specific agent | The team has a repeatable, bounded workflow that could benefit from connected data or actions. | Which actions are allowed? Who approves them? Can the agent be paused, audited, or rolled back? |
An agent is worth considering even if your initial comparison is between an assistant and a chatbot: vendors increasingly describe agents as focused assistants or workflow automation. That does not mean every assistant acts autonomously or every chatbot lacks integrations. Microsoft’s Copilot and agents overview and Google’s Gemini Enterprise overview show how these vendors present focused agent experiences.

How to evaluate candidates beyond the demo
Compare the work your team needs to do, not product labels or a polished demonstration. For each candidate, walk through representative tasks and establish what happens from the initial request to the reviewed result.
- Define the task scope. Is the need a single conversational exchange, broad knowledge work, or a repeatable multi-step process? Prefer the least complex option that meets the requirement.
- Identify required data. List the internal sources employees need, then verify how access works and whether the product respects your identity and permissions model.
- Check integrations. Confirm whether the tool works in the team’s existing applications or depends on connectors, setup, or additional administration.
- Review governance. For the specific plan and deployment, establish which administrative controls, logging, retention, audit, and access policies apply.
- Set human oversight. Decide which outputs need review and which actions require explicit approval. Higher-impact or difficult-to-verify work needs more careful oversight.
- Calculate the full cost. Include licenses, usage charges, integration work, administration, and evaluation. Comparable current pricing is not established here; verify current plan-specific terms with vendors.
Microsoft Support offers a useful pattern for work where a person can direct and review the result: “You set direction and boundaries → AI drafts, summarizes, and analyzes → You review, refine, and approve the result before it’s used.” The same guidance advises keeping highly variable or hard-to-verify tasks human-led or only partially automated. Microsoft Support’s guidance on choosing Copilot or an agent explains the distinction.

What to verify about security and data handling
The word “enterprise” alone does not establish how a product handles your data. Verify the service, plan, data pathways, tenant configuration, and contract that apply to your deployment. Vendor privacy statements describe those vendors’ own products; they are not independent validation and do not guarantee that every feature is available to every customer.

For a pilot, limit the scope to a narrow workflow, approve the data sources and user permissions, set review or approval rules for consequential outputs and actions, and assess results against your own requirements. Do not assume a productivity gain: it needs to be measured on the tasks and conditions that matter to your team.

When is a chatbot enough?
A chatbot is a sensible fit when the task has a clear boundary and a conversational interface is all the user needs—for example, a limited information or service interaction. Before choosing one, establish which sources it can answer from, how you will assess its responses, and whether it needs to pass a request to a person. If the work instead calls for flexible assistance across approved organizational information, or for a repeatable workflow with connected data and actions, compare broader assistants or task-specific agents.
