Use Hide to conceal rows without changing their contents, Filter to temporarily show rows that match a condition, and Delete only after confirming the rows are genuinely empty. These actions are not interchangeable: deleting removes rows from the worksheet, while hiding and filtering only change what is displayed.
Hide, filter, clear, or delete: what changes?
| Your goal | Action | What happens | How to reverse or recover |
|---|---|---|---|
| Conceal selected rows temporarily | Hide | The rows are not displayed, but their contents remain. | Unhide the rows. |
| Show rows matching a condition, such as blank cells in a column | Filter | Rows that do not match the selected criteria are temporarily hidden. | Clear the filter. |
| Remove confirmed blank rows from an Excel table | Filter for (Blanks), inspect, select the rows, then press Ctrl+- | The selected table rows are deleted from the worksheet. | Verify the selection before deleting; this is not a temporary display change. |
| Remove cell text or formulas but keep the cells | Clear Contents | The cells remain in place, but their contents are cleared. Formulas referring to a cleared cell receive zero. | Clearing contents is not the same operation as deleting rows. |
Microsoft recommends avoiding blank rows or columns inside a data range, but a blank row between separate related ranges can help Excel identify the intended range for sorting, filtering, or subtotals. Microsoft’s worksheet organization guidance also advises displaying hidden rows and columns before changing a range.

How to hide rows without deleting their contents
- Select the row headers for the row or rows you want to conceal.
- Right-click the selection and choose Hide.
To show the rows again, select the row headers immediately above and below the hidden section, right-click, and choose Unhide. You can also double-click the boundary between the visible row headers on either side of hidden rows. Microsoft lists this procedure for Microsoft 365, Excel 2024, Excel 2021, Excel 2019, and Excel 2016, including named Mac versions. See Microsoft’s instructions for hiding or showing rows and columns.
How to find blank rows with a filter
A filter is useful when you want to inspect blank cells or temporarily display only certain records. It evaluates the column you filter; it does not establish that every cell in a returned row is empty. Choose a column that should contain a value for every valid record, and check the results before deleting rows.

- Select a cell in the data range or Excel table.
- Choose Data > Filter.
- Open the filter dropdown for the column you want to check and select (Blanks). This option appears only if that column contains a blank cell.
- Review the displayed rows. A row with a blank in the selected column may still contain data in other columns.
To show the filtered-out rows again, clear the filter for that column or clear the filters from the Data tab. Microsoft explains the filter controls and how to clear a filter in its guidance for filtering data in a range or table.
How to delete confirmed blank rows in an Excel table
Microsoft documents this method for table rows. It removes the selected rows, so use it only after checking that the filtered records are empty across the table’s relevant columns.

- Click a cell in the table column you will use to identify blanks.
- Open that column’s filter dropdown and select (Blanks).
- Inspect the resulting rows across the relevant table columns; do not assume that a blank in one column means the entire row is empty.
- Select the confirmed blank table rows and press Ctrl+- (Ctrl and the minus key) to delete them.
- Clear the filter to return to the remaining table records.
The (Blanks) option appears only when the chosen column contains a blank cell. Microsoft’s instructions for deleting rows with blank cells describe the table-specific workflow. For a non-table range or an irregular dataset, first define which records belong in the range and which column marks a valid record; inspect candidate rows rather than applying a blanket deletion shortcut.

- Reveal hidden data: Display hidden rows and columns before editing so you do not accidentally remove data you cannot see. See Microsoft’s guidance on finding hidden cells.
- Check for an active filter: If rows appear to be missing, clear the column filter or clear all filters from the Data tab; the rows may simply be filtered out.
- Distinguish empty-looking cells from deleted rows: Clearing contents leaves cells on the worksheet, including their formatting. Microsoft distinguishes clearing cell contents from deleting cells or rows in its instructions for clearing cells.
- Use visible-cell selection when appropriate: Microsoft documents Go To Special as a way to select visible cells while locating hidden content. That feature is not available in Excel for the web; consult Microsoft’s hidden-cell guidance for the applicable steps.
Excel’s labels and interface details can vary by edition and platform. The table deletion steps above are the documented table workflow; they should not be treated as a universal safe shortcut for every range.
