What’s actually slowing this PC down?

Employee time tracking software records when people work and turns those records into timecards, attendance data, or payroll inputs. The right choice depends on where work happens, how employees clock in, which pay rules apply, and how the system connects to payroll—not simply on whether it has a clock-in button.
What is employee time tracking software?
It is software for capturing and managing employees’ work-time records. A product may be a standalone time-and-attendance tool or part of a broader HR and payroll platform. Depending on the offer, it may also include scheduling, leave management, overtime calculations, reporting, or payroll connections. Those capabilities are not guaranteed in every plan or product.

Time records can support attendance management and payroll preparation, but software does not by itself determine whether time is legally compensable or ensure compliance. Employers must configure the rules that apply and make sure records reflect the work actually performed.

#1 Best Overall
- Complete Solution - Includes HN3000 AutoAlign time clock, 100 time cards, rack, ribbon, and keys for instant tracking.
- Precise Punching - AutoAlign technology ensures accurate alignment for error-free payroll records.
- Robust Warranty - Two-year warranty with unlimited customer support (Monday–Friday) guarantees reliable performance.
- Simple Setup - Plug-and-play design with clear instructions enables tracking in minutes.
- Clear Printing - High-quality uPunch ribbons deliver legible, consistent punch punches.
- Web timesheets: Employees enter or review time through a browser, which can suit desk-based teams.
- Mobile apps: Useful for employees who work away from a fixed desk. Some vendors describe location features such as GPS or geofencing; check what is available and how it is configured.
- Shared tablet kiosks: A tablet can serve as a shared clock-in station. Confirm that the selected service supports the tablet and any required kiosk setup.
- Dedicated time clocks: Physical terminals may suit shift-based or multi-location workplaces. Check device compatibility, identity-verification options, and how punches reach the timecard.
For field teams, ask whether the app supports the needed locations and connectivity conditions, how a punch is validated, and how corrections are handled. A location check is a record-control feature, not a substitute for determining which work time must be paid.
What to compare before choosing
Workforce and work setting
Map the needs of desk-based, shift-based, distributed, field, union, multi-location, or global teams. A system suitable for one workforce may lack the capture methods, pay-rule configuration, or approvals another requires. For operations spanning jurisdictions, confirm geographic availability and local configuration rather than assuming one ruleset fits all.
Payroll and HR connections
Do not stop at a claim that a product “integrates” with payroll. Confirm which payroll and HR systems are supported, whether data moves one way or both, what an administrator must approve before transfer, and who resolves failed or incomplete transfers. Check whether the connection carries approved timecards, pay codes, leave, and corrections in the form your payroll process expects.

What U.S. employers should know about work time
Under general federal Fair Labor Standards Act guidance, work an employer “suffer[s] or permit[s]” to be performed is work time that must be paid, including some work that continues after a shift. The U.S. Department of Labor’s Fact Sheet #22 says short rest breaks, usually 20 minutes or less, are customarily paid; a bona fide meal period is generally unpaid only when the employee is completely relieved from duty. Travel from job site to job site during the workday is work time. For covered employees, the fact sheet also describes overtime pay of at least one and one-half times the regular rate for hours over 40 in a workweek.
This is general federal context, not a determination of how a particular worker or situation must be treated. The fact sheet was revised in July 2008, states that it is not a binding legal statement, and does not replace current, jurisdiction-specific advice. State or local requirements and rules for particular worker categories may differ. A clocking, break, or scheduling feature does not decide whether time is compensable.
Questions to ask in a demonstration
- Which capture methods are supported for our employees, and what happens when a device is unavailable or connectivity is limited?
- Which payroll and HR systems are supported, what data transfers, and what approvals are required before transfer?
- How are our overtime, break, premium, rounding, and other applicable pay rules configured and reviewed?
- How do employees report missing punches or request corrections, and how can managers see the approval and edit history?
- Which scheduling, leave, reporting, location, and identity-check features are included in the specific offer, and what costs or prerequisites apply?
Can automation save time?
ADP reports estimates from its 2023 ADP Workforce Management Benefits Study, which surveyed more than 1,000 organizations with at least 25 employees. The vendor attributes average estimated savings of two hours per employee per week to automated accrual tracking; two to three hours per employee per week to biometric identification at clock-in and clock-out; three hours per employee or manager per week to automated PTO requests and approvals; and four to five hours per manager per week to automated scheduling. These are vendor-reported study estimates, not guaranteed outcomes or independent confirmation. Your results will depend on existing processes, workforce, and implementation.
