Email uses Internet mail systems and email addresses to transmit electronic messages; traditional fax sends a document between fax endpoints, commonly addressed by telephone number and carried over telephone networks. Internet fax can connect the two, but an ordinary email is not itself a traditional fax transmission.
What is email?
Email is electronic messaging sent through Internet mail infrastructure. For records-transfer purposes, the U.S. National Archives and Records Administration (NARA) defines email as discrete electronic communications transmitted over SMTP between two or more people or entities under applicable IETF RFC specifications. That definition is specific to NARA’s records guidance; it is not the only possible definition for every context. NARA also distinguishes email from other features that may be bundled into email programs, such as calendars, tasks, appointments, newsgroups, or instant messaging. NARA’s records-transfer guidance

What is traditional fax?
Traditional fax, or facsimile, sends a document from one fax terminal to another. RFC 2542 uses “traditional facsimile” or “G3Fax” for systems implementing T.30 and describes fax as a telephony application. In the traditional arrangement, fax machines communicate over telephone networks using modems; the recipient is typically specified by a fax number. RFC 2542: Terminology and Goals for Internet Fax

Email vs. fax: the practical differences
| Aspect | Traditional fax | |
|---|---|---|
| Addressing and transmission | Uses email addresses and Internet mail systems. | Uses fax endpoints, commonly addressed by telephone number, and traditionally communicates over telephone networks. |
| Typical content and workflow | A message body can include text and attachments. Users commonly reply or send to multiple recipients; specific capabilities vary by product. | Centers on transmitting a document representation between fax endpoints. Specific workflows vary by system. |
| Timing and confirmation | Actual timing and available receipts depend on the network and service. | Actual timing and confirmation depend on the network and service. |
| Security | Protection depends on the controls in use and how they are configured. | Protection depends on the fax system and workflow; fax is not automatically confidential. |
Are fax delivery and email delivery guaranteed?
No. RFC 2542’s 1999 account of user experience characterized traditional fax as offering immediate delivery and confirmation, and email as delayed and without delivery confirmation. That is historical, general context—not a guarantee for current services. Networks can be delayed or unavailable, and email systems may offer delivery receipts; whether a receipt confirms delivery, receipt, or reading depends on the service and settings. Do not treat either method’s usual workflow as proof that a message reached the intended person.

Is email or fax more secure?
Neither method is inherently secure. NIST’s guidance on trustworthy email discusses domain-authentication mechanisms such as SPF, DKIM, and DMARC; TLS for securing transmission; and S/MIME for message-content encryption and authentication. These protections depend on implementation and configuration. A fax workflow also needs suitable safeguards: RFC 2542 describes confidentiality as a user expectation for traditional fax, not a blanket guarantee for every machine, network, or recipient process. Sometimes, through an Internet fax service that bridges fax workflows with Internet infrastructure. Standards describe ways to encode a fax address in an Internet email address and to gateway between T.30 fax and formats such as TIFF or email. In that arrangement, email-facing software or Internet transport may carry the content, while the service handles fax addressing or delivery. It is therefore possible to “fax by email” without making ordinary email and traditional fax the same thing. The standards describe formats and system design; they do not establish the availability of any particular provider or service. RFC 3192: Minimal FAX address format in Internet Mail RFC 2542
