Email list segmentation groups subscribers by relevant details or behavior so you can send a message to the people it suits. You choose the campaign goal, set conditions that identify the right audience, then use that segment for a campaign or automated journey. Segmentation selects who receives a message; personalization changes what an individual sees.
What email list segmentation means
A segment is a subset of contacts who share one or more characteristics relevant to a particular message. Instead of sending every campaign to every contact, you define an audience using available data such as location, interests, purchase activity, signup details, or campaign engagement. Mailchimp’s overview of email segmentation and Campaign Monitor’s feature guide describe these kinds of targeting.

Segmentation is not the same as personalization. A segment might include subscribers who selected an interest in a topic; personalization might insert one recipient’s name into the email. You can use both, but a segmented campaign is not automatically personalized, and personalization alone does not decide which contacts should receive a campaign.
How segmentation works
- Start with the message or action. Decide what should differ for recipients: for example, an onboarding email, a regional event notice, a product announcement, or a follow-up after a purchase.
- Choose relevant data. Use only information that helps identify the intended recipients. Depending on what you collect and connect to your email platform, filters may use contact details, signup information, group preferences, purchase activity, or campaign engagement.
- Set the segment conditions. A segment can use one condition or combine several. In Mailchimp’s documented segment logic, AND requires a contact to match every condition, while OR requires a match for at least one.
- Review and save the audience definition. Check who qualifies before sending. A saved segment can make a useful audience definition reusable; Mailchimp’s segment guidance says saved segments can be maintained as contact or integration data changes. The available filters and timing of updates depend on the platform.
- Use the segment for a send or automation. Select the audience for a campaign, or use qualifying criteria to start an automated journey. Campaign Monitor’s help documentation describes journeys that activate when subscribers meet specified criteria.
- Check channel eligibility separately. Matching a segment does not grant permission to send. Confirm that each person is subscribed and eligible for the channel used.
Common ways to segment an email list
| Data used | Example of a relevant message |
|---|---|
| Location | Information about a local event or an offer available in a particular region. |
| Interests or group preferences | Content related to a topic or group a subscriber selected. |
| Purchase or e-commerce activity | A follow-up suited to a subscriber’s purchase history or customer activity. |
| Signup or contact details | A welcome sequence for newer subscribers or a message for contacts added during a particular period. |
| Campaign activity | A follow-up based on engagement with a specific campaign. |
These are possible approaches, not a checklist of fields every sender should collect. A segment is useful when the underlying data is relevant and meaningfully distinguishes the intended recipients.

How AND and OR change who qualifies
Conditions determine how broad or narrow a segment is. For example, “in Boston AND clicked the event email” includes contacts that meet both conditions. “In Boston OR Chicago” includes contacts matching either location condition. AND therefore narrows eligibility when conditions are added; OR can broaden it. These examples illustrate the operators described in Mailchimp’s segment instructions.
Before sending, read the full condition logic as a sentence and confirm that the resulting audience matches the campaign’s purpose. Platform interfaces may offer different filters, nesting options, and limits, so do not assume the same controls or behavior across services.

Segments, saved audiences, and automation
A one-time segment can target a single campaign. Saving a segment can make a recurring audience definition easier to reuse, while an automated journey can respond when a contact meets its entry criteria. Whether a saved segment updates dynamically, how quickly integration data appears, and which automation conditions are available are platform-specific. For example, Mailchimp’s saved-segment documentation notes that new integration data may take time to appear. Check the current help information for the platform and plan you use.

Audience matching and permission to send are separate decisions. A contact can satisfy a segment’s conditions but still be ineligible for a particular marketing channel. Mailchimp says only subscribed contacts in a segment can receive marketing email or SMS, and its developer documentation explains that email and SMS consent are tracked independently. See Mailchimp’s permission guidance and its audience documentation. Check the contact’s subscription status for the channel you intend to use; do not treat email permission as permission for SMS.

A practical test before sending
- Can you explain why each condition makes the message more relevant?
- Does the platform have reliable data for those conditions?
- Have you checked whether combined conditions use AND or OR as intended?
- Does the qualifying audience look appropriate for this campaign?
- Are recipients subscribed and eligible for the specific channel?
Use the smallest set of criteria that identifies the audience you actually need. More filters are not automatically better: an extra condition can exclude people who should receive the message, while a broad OR condition can include people for whom it is not relevant.
