Neither Egnyte nor Box is the outright winner for every business. Egnyte’s published material leans toward large, complex project files, governance that spans cloud and on-premises repositories, and construction-style workflows. Box’s published material presents a broad business content platform, with unlimited storage on its business tiers, external collaboration, e-signature, AI, and a large integration catalog. For most teams the decision turns on three things: how your files are built and edited, how often people outside the company need access, and which plan includes the security and governance controls you must have.
The sections below explain how to test those three points, what the published prices do and do not tell you, and which vendor claims deserve caution.

How the two platforms are positioned
Both vendors publish feature sets covering collaboration, administration, security and content workflows, so neither product is a bare storage bucket. Egnyte describes its offer on its platform page. Box organizes its business offer into plan tiers on its pricing page. The table sets each vendor’s own stated emphasis side by side.

| Security and governance | Governance across cloud and on-premises repositories; plan inclusion to be confirmed | Security controls listed among plan features; availability depends on tier |
Read the table as a map of what each vendor chooses to advertise, not as a verified feature audit. “Not stated” means the vendor pages cited here do not mention the item. It does not mean the product lacks it.

What each vendor emphasizes
Egnyte: complex files and cross-repository governance
Egnyte’s collaboration material puts weight on large and complex files, file locking and desktop access. Those are the capabilities that matter when a team edits drawings, models or media projects from several places and cannot afford silent overwrites. Its data security and governance pages describe governance across cloud and on-premises repositories, which matters if project data still sits on file servers you are not ready to retire. The vendor also names specific industries, which signals where the product is aimed.
Box: a broad content platform with a large integration catalog
Box packages external collaboration, e-signature, AI, app integrations and security controls into its business plans, and advertises unlimited storage on business tiers with upload limits that vary by tier. Its integration figure of more than 1,500 is a catalog size. It shows breadth, but it does not show that the specific tool your team depends on will behave the way you need. Box is the stronger starting point when outside sharing and signing are a large share of the work, provided the features you need sit in the tier you would buy.

What the published prices show, and what they miss
The table lists each vendor’s published per-user prices as shown on October 7, 2026, plus a simple 12-month calculation for 25 users. That calculation is only price multiplied by 25 and by 12. It excludes discounts, taxes, add-ons, support and migration. Check the live figures on Egnyte’s pricing page and Box’s pricing page.

| Vendor and plan | Published price | Illustrative 12-month list cost, 25 users |
|---|---|---|
| Egnyte Business | $22 per user per month, billed annually | $6,600 |
| Egnyte Enterprise Lite | $39 per user per month, billed annually | $11,700 |
| Egnyte Elite | $48 per user per month, billed annually | $14,400 |
| Egnyte Ultimate | Custom quote only | Not stated (quote required) |
| Box Business | $15 per user per month, annual billing, three-user minimum | $4,500 |
| Box Business Plus | $25 per user per month, annual billing, three-user minimum | $7,500 |
| Box Enterprise | $35 per user per month, annual billing, three-user minimum | $10,500 |
| Box Enterprise Plus | $50 per user per month, three-user minimum; billing period not stated on the page | $15,000 if billed at the listed monthly rate for 12 months |
Three points matter when reading these numbers:
- Entry tiers are not like-for-like. The features behind each price differ by vendor, so compare plans by the capabilities you need rather than by tier name or rank.
- Minimums and quote-only tiers change the math. Every listed Box tier carries a three-user minimum, which matters mainly for very small teams. Egnyte’s Ultimate tier cannot be priced from its public page.
- Displayed prices are not identical everywhere. Egnyte’s plan-price figures did not appear identically in every place they were shown, so the price in your written quote should control.
Choosing by workflow
Start with how your files are used, then compare plans. These checks point to a first test, not a final verdict.

- Easily store and access 1TB to content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop. Reformatting may be required for Mac
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required
- This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
- The available storage capacity may vary.
- Large, linked or specialized project files edited by several teams: start with Egnyte. Its published emphasis on complex files, locking and desktop access matches this profile most directly.
- Heavy sharing with clients or partners, plus signing: start with Box, then confirm which tier includes external collaborators and e-signature at your seat count.
- Project data still on on-premises repositories: Egnyte’s governance material covers cloud and on-premises repositories together. Test whether your existing server folders and permissions map cleanly before assuming a move.
- Storage is a major cost driver: Box states unlimited storage on business tiers. Ask Egnyte for its storage terms in writing, because the pages cited here do not state them.
- Microsoft 365, Google Workspace, Procore, Autodesk or Teams are central to your work: Egnyte names all five in its materials. The Box figure cited here is a catalog count, so test your exact app versions on both platforms.
How to test a shortlist
A feature list cannot show how a platform behaves under your team’s habits. Run the checks below on the same test data for each product, and record what actually happens rather than what the admin console says should happen.
- Build a representative test set. Include your largest files, your most-linked project folder, and at least one file opened from a desktop authoring application. The pilot should expose the file types and sizes your team really handles.
- Recreate your permission model. Map existing groups and folder-level access on each platform, then check how inheritance works for a user who belongs to two groups. A common failure is an inherited permission that gives a broader group access to a subfolder than the design intended.
- Test locking and co-editing. Have User A open a test file from the desktop client, then have User B open the same file. Expected result: a clear lock or conflict message. Record whether User B can overwrite User A’s changes.
- Test external access. Invite a guest from an outside domain. Check what the guest can see, whether they can download or re-share, whether access expires, and how quickly you can revoke it.
- Run production integrations. Connect the exact app versions and identity provider your team uses, then open, save and share a file from each. Note every step that needs a manual workaround.
- Check retention, audit and recovery. Apply a retention rule to a test folder, export the activity log for one file, and restore a previous version. Confirm each step works on the plan you would buy, not only on a higher tier.
- Get a written quote for the same scope. Use the same seat count, storage and upload needs, security controls, integrations, support level and migration scope for each vendor.
If a result differs from the expected one, check three things before blaming the product: the client version on each device, the path the file was opened from, and whether the tested plan includes the feature at all.

Security and governance: confirm the configuration
Both vendors describe security and governance features, but a feature on a product page does not make your deployment compliant. What counts is which plan or add-on is active, how it is configured, and what the contract commits you to. Egnyte’s governance pages and Box’s plan-level security listings are the starting points, not the finish line. Map each internal or regulatory requirement to a specific setting and a contract clause before signing.

- Where data is stored and processed, and which contract terms govern that location.
- Which administrative controls, such as single sign-on and enforced multi-factor authentication, are included on that tier.
Migration and operations
Migration effort is the part of the decision the public price does not reveal. Scope it before you compare totals:
- Data volume and structure: total size, file count, deep folder paths and very large individual files.
- Metadata and permissions: which fields and access rules survive the move, and which must be rebuilt by hand.
- Downtime and cutover: a read-only window for active projects, and a plan for files changed during the transfer.
- Training and adoption: the desktop client, external-user onboarding and administrator roles.
- Support and exit: the support level in the quote, plus the export format and timeline the vendor will provide if you leave. Raise exit terms during procurement, not after.
Vendor claims to read with care
- Egnyte’s time-savings figure. Egnyte says it “saves the average business user 50 hours per year” on its products page. That page does not identify the study, its method or the year behind the figure, so present it as the vendor’s claim rather than an independent result.
- Egnyte’s comparison datasheet. Egnyte’s comparison datasheet states its opinions as of May 2025. It is a vendor perspective and a useful list of questions to verify, not neutral proof that either product is better in 2026.
- Box’s integration count. “More than 1,500 integrations” measures catalog size. It does not show that a given integration is deep or stable for your workflow.
Public sources do not establish independent head-to-head data on performance, reliability, usability, support or total cost of ownership for either product as of October 2026. Any such comparison has to be run on your own files, users and contract terms.
The useful question is not which platform is better in the abstract. It is which one passes the tests above on your files, with your sharing patterns, at a written price you can defend.
