Does Windows 11 Search Send Your Queries to Microsoft? Privacy Settings Explained

Windows 11 Search does not send every query to Microsoft. Learn how local, cloud, and Bing searches differ—and where to review or clear each history.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Sometimes—but not every Windows 11 Search query is sent to Microsoft. Searches for apps, settings, and files on your device can be handled locally, and Windows Search history is stored on the device. Web results and web suggestions are powered by Bing, while cloud-content results depend on whether you connect a personal or work/school account and enable cloud search. The practical takeaway: check each search path and its separate history controls rather than treating all Windows Search as one data stream.

What Windows 11 Search can search

Windows Search can draw results from three broad places: your device, connected cloud accounts, and the web. Those sources do not all work the same way or use the same history controls. Microsoft describes these options in its Windows Search and Privacy guidance.

Search path What it can return What happens to the search or content
Device Apps, settings, and files on the PC Microsoft says device search history is stored locally. It also says semantic-indexing data is stored locally on the PC, is not stored by Microsoft, and is not used to train AI models.
Personal cloud Content from personal OneDrive, Outlook, and other Microsoft services when Cloud content search is enabled for a Microsoft account Windows Search can surface connected-account content. This is not a statement that every local device search uploads all indexed material.
Work or school cloud Content from services such as OneDrive for Business, Outlook, and SharePoint when the work/school cloud-search option is enabled Organization policies may manage or restrict the setting and connected services.
Web Web results and search suggestions Bing powers this search path. Bing says it collects submitted search terms and other information such as IP address and location, cookie identifiers, search date and time, and browser configuration.

That distinction matters: Bing’s data practices apply to Bing-powered web searches, not as proof that every query typed into Windows Search—including a local settings or file search—is transmitted. Microsoft’s Windows guidance explicitly says, “Windows Search saves your search history locally on your device to help you find things faster.”

The practical comparison is about the result source, the service handling it, where history is kept, and which control applies. Device results are handled through local Windows Search and have a device-history clearing option. Bing handles web results and suggestions, with account-level Bing history controls if you are signed in. Cloud search connects Windows Search to personal or organizational services when enabled; the options for personal and work/school accounts are separate. These are distinct pathways, not a single on/off switch for every kind of search.

Which searches involve Microsoft services?

Local apps, settings, and files

A search that returns an installed app, a Windows setting, or a file indexed on the device can be served from the device. Microsoft says the device’s search history is stored locally. For semantic indexing, Microsoft says the data stays on the PC (or in local Cloud PC storage on AI-enabled Windows 365 devices), is not stored by Microsoft, and is not used to train AI models. These statements describe the local indexing path; they do not establish a percentage of all Windows Search activity that stays local.

This is why a local search should not automatically be treated as a Bing query. A search for a setting or a file may return a local result, and Microsoft’s local-history statement applies to device search history. At the same time, the search box can also offer web suggestions or cloud results depending on the query and settings. The existence of those other options does not prove that the local file or settings search itself was sent to Microsoft.

Web results and suggestions

If Windows Search shows web suggestions or you choose a web search, Bing powers that path. Microsoft’s Bing documentation says it collects the terms submitted along with information including IP address and location, cookie identifiers, the date and time of the search, and browser configuration. Treat that as a description of Bing-powered search, not as a blanket claim about local Windows searches.

For the question “How do I turn off web search in Windows 11?”, the cited Windows Search privacy guidance identifies controls for SafeSearch, cloud content search, and clearing device history; it does not establish a general web-search-off switch. SafeSearch is a filtering control, not the same thing as turning off web results. Avoid assuming that disabling cloud search or clearing local history also disables Bing-powered web results.

Personal cloud content

When Cloud content search is enabled for a personal Microsoft account, Windows Search can include results from personal OneDrive, Outlook, and other Microsoft services. This is connected-account search. The Windows Search guidance does not say that enabling it uploads every file indexed locally or that every local query sends the full contents of the device to Microsoft.

Cloud search is useful when you want Windows Search to find material stored in those services, but it is a separate choice from searching files on the PC. Review the Microsoft-account option specifically if you do not want those connected personal services contributing results. The available connected accounts can also be reviewed from the Search panel’s Options.

Work or school content

With work/school Cloud content search enabled, results may include organizational services such as OneDrive for Business, Outlook, and SharePoint. A company or school administrator can manage settings on a managed device, so the option may be unavailable or controlled by policy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That means a setting you can review on a personal PC might be locked or administered differently on a work device. If the work/school option is unavailable or cannot be changed, check with the organization’s administrator rather than assuming the control is broken.

Review Windows 11 Search permissions

  1. Open Start > Settings > Privacy & security > Search permissions.
  2. Review the SafeSearch setting and the Cloud content search options. Personal Microsoft-account search and work or school account search are managed separately.
  3. Turn off cloud-content search for an account if you do not want its connected service results included. On a managed device, an administrator may control the choice.
  4. Use Clear device search history on this page to remove the device’s locally saved search history.
  5. To inspect connected accounts, open the Search panel and select Options. Review the listed accounts and disconnect any you do not want contributing cloud results.

Names and availability can vary with Windows version, region, and organization policy. Search permissions is the relevant Windows control for cloud results and device history; it is not the same as the account-level Bing history controls described below.

It helps to decide what you want to change before opening Settings. If your goal is to stop connected OneDrive or Outlook content from appearing, review Cloud content search. If your goal is to remove locally saved searches, use the device-history button. If you are trying to manage Bing searches associated with your Microsoft account, use the Privacy dashboard or Bing history controls instead. Clearing one category does not stand in for clearing the others.

Clear or stop saving Bing search history

Bing search history connected to a Microsoft account is managed separately from device search history. Microsoft provides account history tools through its Privacy dashboard and Bing’s search-history controls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. For account-linked Bing history, sign in to the Microsoft account whose searches you want to manage and open the Privacy dashboard’s search-history section.
  2. Use the available clear-history control to remove saved entries. Microsoft cautions that some copies may remain in backup systems for a limited time after clearing.
  3. To stop future Bing searches from being added, turn off the Bing Search History option called Show new searches here.
  4. If you turn that option off, clear existing entries separately. Microsoft states: “When search history is off, nothing new is added to your search history. Your existing history isn’t deleted.”

Searches made while you are not signed in to a Microsoft account do not appear in the Microsoft-account dashboard. For Microsoft’s current instructions, see Search history on the privacy dashboard and Turn search history off or on.

There are two separate actions here: stop future account-linked searches from being added, and clear history that already exists. Turning off “Show new searches here” handles the first, not the second. Clearing history addresses saved entries, but Microsoft says backup copies may persist for a limited time. If you searched while signed out, do not expect those searches to appear in the Microsoft-account dashboard.

How long does Microsoft say Bing search data is retained?

Microsoft’s published Bing retention explanation distinguishes personalized search data from authenticated-user data. As described on its How Microsoft stores and maintains your search history page, Microsoft says it no longer uses cookies and other identifiers that could link personalized search data to a specific account or device after 18 months. It also says authenticated-user data may be retained for up to five years to help improve products and services, after sensitive information is removed and privacy safeguards are applied. These are Microsoft’s stated practices, not guarantees that every query follows the same retention path; policy wording can change.

The 18-month and up-to-five-year periods describe different categories in Microsoft’s explanation, so they should not be collapsed into one universal retention period. They also do not tell us what share of Windows Search queries is sent to Microsoft: the official materials reviewed provide no prevalence figure for all Windows Search activity. For current details, rely on Microsoft’s published wording and remember that policies and settings can change.

Do not confuse Search history with diagnostics or personalization

Diagnostics & feedback

The path Settings > Privacy & security > Diagnostics & feedback controls Windows diagnostic data, not Bing Search history. Microsoft says deleting device diagnostic data does not stop diagnostic data from being sent to Microsoft, and it does not delete data associated with a Microsoft account. It is not the control for clearing local Windows Search history.

In other words, deleting diagnostics is not a shortcut for removing device search history, Bing history, or cloud-account results. Conversely, clearing device search history does not change the diagnostic-data setting. Use each control for its own purpose.

App-launch tracking

Under Settings > Privacy & security > Recommendations & offers, Windows documents an option to let the system track app launches to improve Start and search results. This is app-launch personalization; it is separate from Bing web-query history and from clearing the device’s search history.

A practical privacy checklist

  • For local files, apps, and settings, use the device-history clear button on Search permissions if you want to remove locally saved search history.
  • For personal OneDrive or Outlook results, review the personal Microsoft-account Cloud content search option and the connected account list.
  • For organization results, review work/school Cloud content search; contact the organization’s administrator if the option is managed.
  • For Bing activity tied to your account, use the Microsoft Privacy dashboard to clear saved history and Bing’s history toggle to stop future entries.
  • For diagnostic-data controls or app-launch tracking, use their separate settings only for those purposes; they do not substitute for Search or Bing history controls.

A quick way to diagnose a concern is to identify the result you saw. An installed app or local file points to the device path; a OneDrive, Outlook, or SharePoint result points to connected cloud search; a web suggestion or web result points to Bing. Then use the matching control: Search permissions for cloud settings and local history, or Microsoft’s Privacy dashboard and Bing controls for account-linked search history.

Frequently Asked Questions

Does Windows 11 Search send every query to Microsoft?

No. Windows Search can return local apps, settings, and files, and Microsoft says device search history is stored locally. Web results and suggestions are powered by Bing, while personal or work/school cloud results depend on Cloud content search and connected accounts. The available guidance does not quantify what share of all queries is transmitted.

How do I clear Windows 11 Search history?

For locally saved device search history, go to Start > Settings > Privacy & security > Search permissions and use Clear device search history. For Bing history connected to a Microsoft account, use the search-history section of the Microsoft Privacy dashboard; these are separate histories.

Does turning off Bing Search History delete my old searches?

No. Microsoft says turning off “Show new searches here” stops new searches from being added, but existing history is not deleted. Clear saved history separately. Microsoft also cautions that some copies may remain in backup systems for a limited time.

Can I turn off web search in Windows 11 from Search permissions?

The cited Windows Search guidance identifies SafeSearch, cloud-content controls, and a device-history clearing option; it does not establish a general web-search-off switch on that page. SafeSearch is not the same as disabling web results, and turning off cloud search does not by itself disable Bing-powered web search.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What if I searched while signed out of my Microsoft account?

Microsoft says search history created while you are not signed in does not appear in the Microsoft-account Privacy dashboard. The dashboard is for history associated with the signed-in account.

Are Diagnostics & feedback settings where I clear Search history?

No. Diagnostics & feedback is a separate control. Microsoft says deleting device diagnostic data does not stop diagnostic data from being sent and does not delete data associated with a Microsoft account. Use Search permissions for local device search history, and the Privacy dashboard or Bing controls for account-linked Bing history.

The Bottom Line

Windows 11 Search does not send every query to Microsoft. Local device searches and their history are distinct from Bing-powered web searches and connected cloud-account results. To manage privacy, clear device history in Search permissions, review personal and work/school Cloud content search separately, and use the Microsoft Privacy dashboard or Bing history settings for account-linked web searches. Diagnostics and app-launch personalization are separate controls.
