Designing Better Backend Systems for Data That Cannot Be Lost

“Cannot be lost” is a business requirement, not a literal guarantee. Set RPO and RTO targets, combine replication with point-in-time backups, and test that the full service can be restored.

There is no credible design that makes data impossible to lose under every failure. A better backend design turns “cannot be lost” into explicit, business-approved limits: how much recent data may be lost (the recovery point objective, or RPO) and how long the service may be unavailable (the recovery time objective, or RTO). Then it combines durable storage, replication, point-in-time backups and tested recovery procedures to meet those limits.

Translate “cannot be lost” into recovery objectives

RPO and RTO answer different questions. Microsoft defines RPO as the maximum tolerable amount of data loss measured in time, and RTO as the maximum tolerable downtime. For example, an RPO says how far back restored data may go; an RTO says how long it may take before the required service is usable again. These are targets to agree with the people accountable for business impact, not guarantees supplied by a database or cloud provider.

Set objectives for each workload or data class. A payment ledger, a customer-uploaded file, and a rebuildable cache may warrant different loss and downtime limits. Record the assumptions behind each target, including which data and dependent services must be available for recovery to count as complete. Microsoft notes that pursuing zero RPO and zero RTO is difficult and costly in practice: Redundancy, replication, and backup and What are Business Continuity, High Availability, and Disaster Recovery?.

Use durability, replication and backups for different jobs

Reliable recovery starts with understanding what each layer protects. Database transaction durability and storage behavior determine whether acknowledged writes persist through the failures the system is designed to withstand. Replication keeps another copy available, often supporting availability when a component or location fails. A backup preserves a recovery point from the past. Those mechanisms are complementary, not interchangeable.

  • Durability: establishes what happens to committed data when the database or storage encounters a failure. Confirm the behavior and limits of the specific database and service you operate.
  • Replication: can reduce interruption or data loss when a replica remains healthy and current, but it can also reproduce accidental deletion or corruption.
  • Point-in-time backup: offers a way to recover an earlier state, but changes made after the selected recovery point may be absent.

Therefore, replicas are not backups. A design that only replicates may have no clean recovery point after a logical mistake or malicious change; one that only backs up may have a longer outage while data and services are restored. Microsoft describes these distinct roles and risks in Redundancy, replication, and backup.

Choose a recovery pattern against the targets

A recovery pattern determines how much of the replacement environment is ready before an incident. AWS describes four common patterns below. The relative tradeoffs are directional, not numeric guarantees: achievable RPO and RTO depend on the workload, architecture, provider limits, and the recovery procedure you actually run.

Pattern What is ready before an incident Typical tradeoff
Backup and restore Backups are retained; the replacement environment is built or provisioned during recovery. Lowest standing capacity and usually the most recovery work, so service restoration generally takes longer.
Pilot light Core components or essential data are maintained, while much of the environment is started or scaled during recovery. Faster than rebuilding everything from backups, but still requires deployment, scaling and validation work.
Warm standby A reduced but functioning environment runs in the recovery location and can be scaled up. More standing capacity and operational overhead in exchange for a shorter path to service.
Multi-region active-active Multiple regions actively serve traffic and handle writes. Can support rapid continuity, but requires greater capacity and coordination, including handling concurrent-write conflicts.

These patterns are presented as generally increasing in cost and complexity while decreasing in RTO and RPO in AWS guidance; they do not promise a particular recovery time or loss window. Active-active also does not remove the need for point-in-time recovery if corruption or destruction is replicated. See AWS’s recovery strategy guidance and backup guidance.

Choose the least complex pattern that can meet the approved objectives and failure coverage. Include the cost of capacity that must remain running, the operational work to fail over, and any application-level coordination. Do not promise an RTO based only on a diagram: recovery includes detection, decision-making, restoring or promoting data, bringing dependencies online, and confirming the service is safe to use.

Inventory what recovery actually depends on

A database backup alone may not restore a working application. Identify the data, applications, configuration and dependencies required to make the service usable. For every item, decide whether it must be backed up or can be reliably reproduced, and document where its recovery procedure and access credentials live.

  • List authoritative and derived data, including the systems that produce or consume it.
  • Include application code, infrastructure configuration, identity and access dependencies, encryption-key access, and required network or service configuration where applicable.
  • Define the recovery order and dependencies: which components must be available before data can be restored or validated?
  • Specify what “recovered” means for the workload, such as a successful integrity check or a business transaction completed against restored data.

AWS recommends identifying and backing up required data, or ensuring it can be reproduced, as part of its backup guidance.

Protect the recovery path from deletion and compromise

Backups only help if an incident cannot destroy every usable recovery point or prevent the team from accessing them. Automate backup capture, encrypt backups, and restrict access to the systems and identities that can change or delete them. Where malicious deletion or ransomware is in scope, consider immutable retention and logical separation from production. Google Cloud documents backup and disaster-recovery capabilities, including immutable write-once-read-many (WORM) backup vaults, in its Backup and DR overview.

Security controls must not make restoration impossible: include the required identities, keys and approval path in recovery planning, while keeping backup administration appropriately separated from routine production access. Test those controls during a restore exercise rather than assuming that a protected backup is automatically usable. AWS also recommends securing and encrypting backups, automating them, and periodically recovering data: Back up data.

Prove recovery with exercises

A backup job reporting success confirms that a capture process ran; it does not establish that the data is intact, that the team can access it, or that the application can be brought back within its RTO. Microsoft puts the requirement plainly: “It’s critical that you test and verify your backup and restore processes regularly, alongside your other recovery steps.”

  1. Choose a representative recovery scenario. Exercise the failure you intend the control to address, such as restoring a point-in-time copy or bringing up a recovery environment.
  2. Follow the documented procedure. Use the access controls, keys, dependencies and runbooks that would be available during an actual incident.
  3. Validate the result. Check data integrity and confirm the application’s required behavior, not merely that files or database instances exist.
  4. Measure elapsed recovery and data gap. Compare the observed time to usable service and the recovered data point with the workload’s RTO and RPO.
  5. Record gaps and corrective actions. Update the procedure, architecture or objectives when the exercise exposes missing dependencies, slow manual steps or an unattainable target.

Microsoft recommends regular testing and verification of backup and restore processes; AWS calls for periodic recovery to verify backup integrity and processes. See Microsoft’s guidance and AWS’s guidance.

Make the design decision reviewable

A recovery plan is credible when its assumptions and evidence are visible to the people who own the risk. Keep the approved RPO and RTO beside the selected recovery pattern, the failure cases it covers, the dependencies that must be restored, and the latest exercise results. If the measured recovery misses an objective, treat that as a design or operational gap to resolve—not as proof that the target was met because backups exist.
