A file is an item of data, such as a document, photo, or video. A folder is a container that holds files and other folders. Files are the things you open, edit, play, or share; folders are the places you use to group and nest those files so they are easy to find.
File vs. folder at a glance
| Aspect | File | Folder |
|---|---|---|
| Core purpose | Holds or represents data | Organizes files and other folders |
| Typical examples | A document, spreadsheet, photo, song, or video | A “Photos” or “School” folder on your computer |
| Can it contain other items? | No. A file is the data itself | Yes. It can hold files and subfolders |
| What you do with it | Open, edit, play, print, or share it | Browse, group, sort, and navigate to items |
| Technical name | File | Usually called a directory in technical documentation and command-line contexts |
What a file is
A file is the basic unit that stores information on a computer. Microsoft’s file-system documentation defines it in one sentence: “A file is a logical grouping of related data.” (Microsoft Learn, Local File Systems). In practice, that means a single word-processing document, a photo, or a music track is one file. Its contents are the data; its name and location are how the operating system finds it again.

Files have no internal folders of their own. If you need to store several related items together, you place them in a folder rather than trying to put one file inside another.
What a folder is
A folder is the container that organizes everything else. In a graphical file manager such as Windows File Explorer, Finder on a Mac, or a Linux desktop file browser, a folder appears as an icon you can open. Inside it you find files and additional folders. Microsoft describes the underlying structure this way: “A directory is a hierarchical collection of directories and files” (Microsoft Learn, Local File Systems).

Because a folder can contain other folders, the organization becomes a hierarchy. A parent folder holds child folders, which can hold further folders and files, as described in Microsoft’s About Directory Management documentation.
Folder or directory: are they the same?
In everyday use, yes. “Folder” is the name people see in a graphical interface, and “directory” is the name used in technical documentation and at the command line. Both refer to the same kind of place where files are grouped.

The terms are not perfectly interchangeable in every context. Microsoft’s naming documentation (Naming Files, Paths, and Namespaces) treats a directory as a special type of file-system object, so a programmer working with Windows paths may need to handle it differently from an ordinary file. For a beginner, the practical rule is simple: if the interface says “folder,” it is a directory.

School/ ├── essay.docx └── Science/
Here, School is the container, essay.docx is a file holding data, and Science is a folder nested inside the first one. A file’s path records the chain of containers needed to reach it. The path to essay.docx runs through School; anything placed in Science would have a longer path that goes through both folders.
Path notation differs between systems. Windows uses backslashes and, for most local disks, drive letters; macOS and Linux use forward slashes and a single root. The concept is the same on all three.

How this applies across operating systems
Microsoft’s documentation covers Windows file systems, and Apple’s Files and directories documentation describes the same hierarchical model on Apple platforms. Apple’s user-facing guide to folders that come with your Mac shows the folder idea in everyday use. The University of Oxford’s introductory Guide to Operating Systems (2025–26) teaches files and nested folders or directories using Windows, Linux, and macOS examples. Interface labels and path syntax vary; the file-and-folder structure does not.
