Dataverse for Teams vs. Full Dataverse: Limits, Features, and When to Upgrade

Dataverse for Teams is built on Dataverse technology but has tighter capacity, Teams-based access, and fewer enterprise and developer features. Here’s when the limits make full Dataverse the better fit.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Dataverse for Teams is Dataverse technology tailored to solutions built and used within Microsoft Teams; full Microsoft Dataverse is the broader Power Platform data service. The practical differences are capacity, where apps can run, security and governance controls, developer options, integrations, and environment lifecycle—not simply “free versus paid.” Teams environments have a documented 2 GB relational database limit per environment, typically enough for up to one million records, while full Dataverse uses licensing-based capacity entitlements. The right choice depends on the app’s audience, data, and operational requirements.

What is Dataverse for Teams?

Dataverse for Teams provides a data platform for Power Apps, Power Automate flows, and chatbots created for and within Teams. It is built on Dataverse technology, but its design and administration are more closely tied to a Team and the Teams client. Microsoft describes it as available with select Microsoft 365 subscriptions, not every Microsoft 365 or Teams plan. See Microsoft’s comparison of Lists, Dataverse for Teams, and Dataverse and its Dataverse for Teams overview.

Full Dataverse is the more extensive data service for Power Platform solutions that may need broader app surfaces, controls, integrations, and development options. It is not automatically necessary for every Teams app; the choice should follow the solution’s requirements.

How do their capacity limits differ?

Dataverse for Teams: a 2 GB environment limit

Microsoft documents 2 GB of relational database storage per Dataverse for Teams environment. Its overview says this is typically enough for up to one million rows; the licensing FAQ describes up to 1,000,000 records based on typical usage. Treat that record count as a practical estimate, not a separate guaranteed allowance: actual fit depends on the data and workload. Images, files, and logs also count toward Teams environment capacity. See the Power Platform licensing FAQ.

  • SUPPORT WORK FROM ANYWHERE WITH SYNC: Whether employees are in the office, at home, or somewhere else, Sync device management software helps everyone stay connected by letting you ensure their Logitech video collaboration personal devices are being used and up to date.
  • Open workspaces are great for collaboration, but not so great when the noise around you makes it hard to concentrate. Active noise cancellation substantially reduces unwanted ambient sound, so you can get focused and stay focused.
  • Great for Music and Talking with immersive sound for listening to music and a noise-canceling mic that ensures that your voice is heard on the other end of a call—not the noise around you.
  • On ear controls to adjust volume, start/end calls, and invoke Teams. Plus button controls for power, active noise cancellation (ANC), wireless Bluetooth pairing, and mute on/off or use the flip-to-mute mic feature.
  • Certified for Microsoft Teams ensures it’s easy to pick-up or answer Teams meetings, calls, messages, and notifications with a single press to the Teams button. Or apply a longer touch to invoke Cortana voice skills.

When an environment reaches its capacity limit, existing solutions continue to run and can still be updated, but users cannot create or install new apps, chatbots, flows, or tables in that environment. Tenant-level Teams capacity can also prevent creation of new Teams environments or solutions. Microsoft says Teams environment capacity cannot be purchased directly for that environment; moving to full Dataverse and licensing the relevant services is one documented route for additional capacity or capabilities. These limits and behaviors are described in the licensing FAQ.

Full Dataverse: capacity depends on licensing

Microsoft’s comparison does not specify a row limit for full Dataverse, and it supports additional file and image capacity. That does not mean storage is literally unlimited: available capacity and any additional capacity depend on the organization’s licensing and entitlements. For scale, Microsoft’s Access migration guidance gives an example allocation for a single base license of 10 GB relational database, 20 GB file/image, and 2 GB log storage, with capacity available to purchase. Those figures are the example in that guide, not a universal entitlement for every customer or plan.

Where can apps run, and who can access them?

Dataverse for Teams is designed for the Teams client on web, desktop, and mobile. Microsoft says an environment must be upgraded to Dataverse to use it outside Teams. That matters if users need the same solution through another app surface or if its intended audience extends beyond the team context. Check the licensing FAQ for the applicable service and user licensing requirements: standalone Power Platform licensing is required for users accessing apps that run on Dataverse, subject to the exact scenario.

Teams environment access aligns with the Team’s owners, members, and guests. This is a simpler, team-centered model; full Dataverse offers more ways to define and administer access. If guests will use the app, decide whether the Team-linked access arrangement suits the intended audience and governance needs before building around it.

What security, governance, and development features are missing?

Dataverse for Teams is not accurately described as insecure: Microsoft describes its security as enterprise-grade. Its distinction from full Dataverse is that it offers fewer controls for complex enterprise requirements. Microsoft’s Dataverse feature comparison identifies full Dataverse capabilities including custom roles, business units, auditing, customer-managed keys, field-level and hierarchical security, and record sharing.

Full Dataverse also supports capabilities that Dataverse for Teams does not, including model-driven apps, API access, plug-ins, and the Power Apps component framework, according to Microsoft’s feature comparison. If the solution depends on one of these specific features, verify support and licensing before choosing the Teams environment.

How do integration and environment lifecycle compare?

Dataverse for Teams supports connector-based integration. Full Dataverse adds options listed by Microsoft such as Azure Synapse Link, events to Azure Event Hubs and Service Bus, webhooks, server-side sync, and SQL Server Management Studio integration. Microsoft’s comparison also lists Dataflows In for Teams and Dataflows In/Out for full Dataverse. These distinctions are in the Dataverse feature comparison.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A Dataverse for Teams environment is associated with one Team, and deleting that Team deletes its environment. Microsoft contrasts this with Dataverse’s multiple-environment capabilities. This makes Team ownership, retention, backup, and deployment plans consequential: the app’s data environment follows a Team’s lifecycle. See the licensing FAQ.

Can you upgrade Dataverse for Teams to full Dataverse?

Yes. Microsoft documents upgrading a Dataverse for Teams environment to Dataverse through the Power Platform admin center. The upgrade can provide additional capacity and access to capabilities such as enterprise application lifecycle management, more data types, logging and managed data lake support, and richer access control, auditing, governance, and security. Users of Dataverse still need appropriate standalone Power Platform licenses. Start with Microsoft’s licensing FAQ and confirm current upgrade instructions and component support before planning a move.

Upgrade is not a reason to skip migration planning. Microsoft warns that data types and limits can differ in its migration guidance. Its licensing FAQ also says packaging and exporting a Teams solution for import into another environment is not available yet and describes it as roadmap. Verify that the components and deployment path your solution needs are supported.

Which one should you choose?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. App surface and audience: Must users access the solution outside Teams, or will guests need a different access arrangement? If so, assess full Dataverse and the licensing implications.
  2. Data volume and type: Does the expected workload fit within the Teams environment’s 2 GB relational database capacity, including files, images, and logs? Check data types and growth rather than relying on the typical one-million-record estimate.
  3. Security and governance: Are team-linked access and the available controls sufficient, or do you need auditing, custom roles, business units, field-level security, or other full-Dataverse controls?
  4. Development and integration: Does the app require model-driven apps, plug-ins, APIs, the component framework, or one of the broader integration options?
  5. Lifecycle and deployment: Can the solution’s data follow one Team’s lifecycle? Consider retention, backup, environment strategy, and how the app will be deployed or moved.
  6. Licenses and capacity: Confirm current entitlements for both makers and users, along with any capacity requirements, against Microsoft’s current licensing guidance.

Microsoft’s own selection guidance frames the comparison around application and data needs, integration, administration and governance, and backup and restore. A Teams-centered app with modest data needs and acceptable team-based access can be a good fit for Dataverse for Teams. If the solution needs to run beyond Teams, exceed its capacity, or rely on full Dataverse controls or developer features, plan for full Dataverse instead. See the Microsoft comparison for the feature distinctions.
