Stay with Dataverse for Teams when an app is contained within Teams and its data, security, and administration needs fit a team-based environment. Consider upgrading to full Dataverse when you need more capacity, apps beyond Teams, advanced security or development features, or greater environment flexibility. Dataverse for Teams has a 2 GB relational database capacity per team environment; Microsoft describes that as enough for up to 1 million records in typical use, not as a guaranteed row count. The decision also depends on licensing and the impact of moving an existing solution.
How Dataverse for Teams differs from full Dataverse
Dataverse for Teams is a Teams-centered data platform for building apps, flows, and bots associated with a team. Each Teams team has its own Dataverse for Teams environment. Full Dataverse supports broader Power Platform scenarios, including use beyond Teams and more extensive administration and development options. What the 2 GB limit means in practice
Microsoft describes the 2 GB relational database capacity as supporting up to 1 million records in typical usage. Treat the record figure as an approximation: a row count alone does not establish whether a particular environment’s data will fit, because actual data size matters. When an environment reaches its capacity limit, existing solutions continue to work, but creation or installation of new apps, bots, flows, or tables can be blocked. Tenant-level capacity limits can also prevent creation of new Dataverse for Teams environments. Microsoft says customers cannot buy additional capacity for an individual Dataverse for Teams environment.
If the limit is affecting a planned solution, Microsoft’s stated alternatives are to build it in a properly licensed environment or upgrade the existing environment to full Dataverse and obtain the licenses needed for the scenario. Dataverse access can require standalone Power Platform licensing for each service used. There is no single price or subscription that can be assumed to cover every app, flow, bot, and user; check the current licensing guidance against your actual use.

When to stay with Dataverse for Teams—and when to upgrade

Plan for the Dataverse for Teams dataflows retirement
Microsoft’s retirement notice schedules the end of the Power Platform dataflows integration with Dataverse for Teams in phases. The notice says the dataflows are not deleted as part of the retirement, but existing refreshes will stop on December 1, 2026. These are scheduled dates and should be checked against the current Microsoft notice before acting.

Microsoft gives two migration paths: upgrade the Teams environment to full Dataverse and use standard V2 dataflows in Power Apps Maker, or move to Dataflow Gen2 in Microsoft Fabric. Choose based on the destination architecture and licensing your organization supports, and complete the move before refresh stops if the dataflows are operationally important.
What to plan before upgrading
An upgrade can affect both licensing and the people using the solution. For Copilot Studio bots, Microsoft says users cannot create or edit bots in the environment during the upgrade and may have trouble chatting with a bot. Notify affected users and plan a suitable maintenance window. Microsoft’s Copilot Studio upgrade guidance says bots continue to work after a successful upgrade. Using the Copilot Studio web app requires a standalone subscription or individual trial; Microsoft also says qualified sessions in an upgraded environment are considered billed, including sessions that do not use premium functionality. Validate current licensing guidance for the relevant bot scenario.

- Map what the solution uses. Identify its apps, tables, flows, bots, integrations, access model, and any dependencies on dataflows.
- Confirm the target requirements. Check the required Dataverse features, storage, environment setup, and licenses with your Power Platform administrator.
- Schedule user impact. If Copilot Studio bots are involved, communicate the editing interruption and possible chat issues during the upgrade.
- Verify the result. After the upgrade, check that the apps, flows, bots, integrations, and user access work as intended and that the required licenses are in place.
Bottom line
Dataverse for Teams is a fit for contained, team-based solutions that stay within its capacity, security model, and feature set. Upgrade when a specific requirement exceeds those boundaries—not simply because full Dataverse has more features. Include the licensing implications, upgrade disruption, and the scheduled dataflows retirement in that decision.
