What custom programming means for desk hoteling
Desk hoteling—also called desk booking or hot desk booking—lets employees reserve a workspace for an onsite work period. Envoy describes reservations by the hour, day, or week. This is workplace scheduling, not hotel-property management: guest-room inventory and lodging reservations are a different software problem. In practice, “custom programming” can mean configuring the booking environment, connecting it to another system, or building a more specialized workflow. Those are different levels of work. Microsoft Places, for example, documents administrator configuration for reservable desks and desk pools; Envoy documents APIs and webhooks that can exchange reservation data or trigger workflows. Configuration is not the same as writing a custom application.

Microsoft Places also allows desks to be booked through Outlook, Teams, or Places, according to Microsoft’s getting-started guidance. That is a product workflow, not evidence that every organization needs custom application development.

What a custom integration can connect
An integration may move reservation information to another system, or use a booking event to start an organizational workflow. The useful scope depends on what the vendor exposes, which identities and locations the integration can access, and what the receiving system needs. Avoid treating “API access” as a guarantee that any field, event, or action is available.
Envoy’s Workplace Reservation API guide demonstrates work schedules, check-ins, desk reservations, and reservation check-ins. The guide’s stated prerequisites for its documented workflow include an Envoy API key, a location ID, a user email, and desk booking enabled when reservations are used. These are Envoy-specific prerequisites, not universal requirements for hoteling platforms.

Envoy’s developer information describes building and listing apps in its integration directory. The available API behavior, access scopes, and event coverage should be confirmed against the current vendor documentation and the organization’s account before a project is estimated.
Write a requirements brief before requesting an estimate
A short brief makes it easier to distinguish a settings change from an integration project. Record the answers to these questions:

- Space model: Are users booking a named individual desk, a desk pool, or both?
- Who can book: Which employees, visitors, or groups are allowed to reserve, and how are their identities managed?
- Booking rules: When can reservations be made, changed, or cancelled? What policies apply to each space or group?
- Check-in: Is check-in required, and what should happen when someone does not check in?
- Systems and data: Which system owns employee identity? Which reservation fields must be synchronized, and which system is authoritative if records disagree?
- Events and actions: Which booking, change, cancellation, or check-in events need to reach another tool or trigger an action?
- Access: What credentials, permissions, location scope, and user scope will the integration need?
- Failure handling: What should happen when an API call fails, data is incomplete, or a destination system is unavailable? Who is alerted, and how are records reconciled?
- Ownership: Who will deploy, monitor, update, and support the integration when either system changes?
These questions reflect the configuration, API, webhook, and access surfaces documented by the vendors; they are planning guidance, not a promise that every platform exposes the same controls.
How to evaluate the options
Compare each approach against the actual requirements rather than the label “custom.” A platform setting may satisfy booking-policy needs without an integration. A marketplace app may handle a common connection but omit a particular event or data field. An API-based build may offer a closer fit while creating ongoing responsibility for authentication, error recovery, and compatibility updates.

What to expect from vendor scoping
For Envoy requests beyond marketplace apps or its standard API, the Help Center says, “For integrations that go beyond what the marketplace or standard API covers, we’re glad to talk through it.” The page directs existing customers to their account team and says a Solutions Engineer can help scope the use case. This is an invitation to discuss a project, not a published commitment to deliver a particular integration or at a particular price. Check current vendor documentation and account terms before implementation; product capabilities and commercial arrangements can change.
