Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallFor a small, straightforward crypto history with complete records, a carefully maintained spreadsheet can work. For many transactions across multiple wallets or exchanges, crypto tax software is usually more practical for importing, organizing, and preparing a tax report. Neither tool makes the result automatically correct: you still need to reconcile transfers, verify cost basis and transaction classifications, and keep records that support your tax return.
What matters more than the tool
The IRS says taxpayers with digital-asset transactions should keep records of purchases, receipts, sales, exchanges, dispositions, and income, along with enough documentation to support positions on federal returns. For a disposition, the relevant details include the asset, date and time, units, fair market value, and basis. Basis is generally the asset’s U.S.-dollar cost, though the applicable method depends on the transaction. IRS digital asset guidance

A spreadsheet is a way to record and review information; it does not establish that every wallet transfer has been matched, that basis is correct, or that a tax form is complete. Software can automate imports and calculations, but imported data and classifications still need review.

| Situation | Better starting point | Why |
|---|---|---|
| Few transactions, one or two sources, and complete records | Spreadsheet | You may be able to enter and check each transaction without managing a large import or reconciliation workload. |
| Many transactions across exchanges, wallets, or chains | Crypto tax software | Imports and transaction organization can reduce manual entry, though you must still inspect matches and calculations. |
| Incomplete or ambiguous records | Neither on its own | First identify missing history and reconcile it from reliable records; do not guess at missing values. |
| Need to inspect or summarize a report | Spreadsheet alongside software | Exported data can be reviewed or analyzed in a spreadsheet without making the spreadsheet the primary tax calculator. |
When a crypto tax spreadsheet makes sense
Keep the scope small and the records complete
A spreadsheet is most workable when you can account for every relevant transaction and consistently capture the asset, timestamp, units, fair market value, basis, and disposition details. Use source records such as exchange histories and wallet activity to support entries. Mark uncertain, missing, or duplicated records for reconciliation instead of entering an assumed value.
#1 Best Overall
Use it for review, not as a substitute for tax rules
A general spreadsheet does not inherently match transfers between wallets, determine the correct cost-basis treatment, distinguish income from dispositions, or prepare every required tax form. Those tasks require accurate transaction data and tax treatment appropriate to the taxpayer’s circumstances. Koinly documents CSV report exports that can be opened in spreadsheet software for analysis and custom pivot tables, so a spreadsheet can also be useful as a review tool. When crypto tax software can help
Imports and organization
Software may save manual organization work when records come from multiple exchanges or wallets or include a high volume of transactions. Before choosing a product, check that it supports your exchanges, wallets, chains, and file imports for the relevant tax year. An import is not proof that the history is complete: review transfer matches, missing basis, duplicate entries, and transaction classifications before relying on the result.

Reports, plan limits, and total cost
Check the transaction limit and the price of the specific report or tax form you need against your full history, not just one account or exchange. For example, Koinly’s pages describe free and paid plans with different limits and reports. Its help documentation says the free plan permits viewing imported transactions, calculated gains, and a tax summary, but not generating reports; calculations halt if an account exceeds 10,000 transactions on that plan. These are product details documented on the linked pages and may change. Koinly pricing · Koinly free-plan details
CoinTracker’s pricing page lists a free summary preview and paid plans with transaction limits and tax forms. It lists its Base tier at $59 per year; check the live page for current pricing and terms before deciding. Its help pages describe filing-software integrations, and its TurboTax FAQ says a paid plan is required for that integration. How to compare tools before committing
- Count the complete history. Include all relevant accounts and transactions, not only the activity from the exchange you use most.
- Check source support. Confirm coverage for each exchange, wallet, chain, and file format you need, and determine how unsupported activity can be entered or reconciled.
- Inspect transfer and basis handling. Find out how the product flags unmatched transfers, missing basis, duplicates, and uncertain classifications. Confirm that you can correct imported entries.
- Check tax-year and jurisdiction coverage. Verify that the forms and reports apply to your tax year and jurisdiction.
- Calculate the full plan cost. Compare your transaction count with plan limits and include any charge for downloadable forms, reports, or filing integrations.
- Confirm the handoff. If you will file with separate tax software, check whether it accepts the report or import format for the relevant year. TurboTax describes crypto filing and portfolio imports, but confirm current supported formats rather than assuming every export will work. TurboTax crypto tax information
Keep capital gains separate from other crypto tax activity
Not every digital-asset tax entry is a capital gain or loss. IRS guidance generally treats digital assets held as capital assets as subject to capital-gain or loss treatment when sold or otherwise disposed of. It points to Form 8949 for capital-asset dispositions, Schedule 1 for certain ordinary income such as staking, mining, or forks, and Schedule C for certain business activity. The right reporting depends on the transaction and the taxpayer’s facts. IRS digital asset guidance

What Form 1099-DA changes—and what it does not
For covered transactions, brokers must report gross proceeds for transactions effected on or after January 1, 2025. Basis reporting applies to certain covered transactions effected on or after January 1, 2026. The phase-in does not establish that a broker statement contains complete basis for every asset or transaction. Keep your own records and reconcile broker information against them and the applicable current forms. IRS digital asset guidance

A practical decision
- Use a spreadsheet as the main recordkeeping tool if your activity is limited, your source records are complete, and you can check every entry and calculation against the relevant tax requirements.
- Use software as an organizational and reporting aid if transaction volume or multiple sources make manual tracking difficult. Review the imported history and resulting report rather than treating them as verified by default.
- Get qualified tax help if activity is complex, records are incomplete, or you cannot resolve missing or ambiguous transactions. Neither a spreadsheet nor an automated report can supply facts that were never recorded.
