Create and Manage Character Styles in Adobe InDesign: A Practical Guide

Save character formatting as a reusable InDesign style, apply it to selected text, and learn how to edit, import, or troubleshoot styles.

To create a character style in InDesign, select text with the formatting you want to reuse, open Window > Styles > Character Styles, and choose Create new style at the bottom of the panel. Name the style, then apply it to selected characters whenever you need that formatting again.

Choose a character style for character-level formatting

A character style is a reusable set of character formatting attributes for a selected range of text. It is useful for treatments such as a particular font, size, or color within a paragraph. A paragraph style governs a paragraph or paragraph range and can include both character and paragraph attributes, such as alignment, indents, and spacing.

Create a character style from formatted text

  1. Select text that already has the character formatting you want to save.
  2. Choose Window > Styles > Character Styles to open the Character Styles panel.
  3. Select Create new style, the icon at the bottom-right of the panel. InDesign creates a style based on the selected text’s formatting.
  4. Give the style a descriptive name so you can recognize its purpose in the panel.
  5. For more control, open the Character Styles panel menu, choose Style Options, adjust the settings in Character Style Options, and select OK.

Adobe’s documented menu labels and steps are from its help page updated June 2, 2026. Panel placement or labels may change in a later release.

Apply a character style to text

  1. Select the characters you want to format, or place the insertion point where you want to type.
  2. In the Character Styles panel, choose the style. A selected range receives the character formatting; with an insertion point, the style affects text typed there.

This behavior follows the selection and insertion point, as described in Adobe’s text-formatting guidance.

Edit a style or reuse it in another document

Change a style definition

Open Window > Styles > Character Styles, select the style, then open the panel menu and choose Style Options. Change the settings in Character Style Options and select OK. Editing the definition updates text that uses that style.

  2. Select an InDesign or InCopy file, then choose the styles you want in the Load Styles dialog.
  3. If a style name already exists, choose how to handle the conflict. Use Incoming Definition replaces the existing definition; Auto-Rename gives the imported style a different name.

These options are documented in Adobe’s text styles instructions.

Troubleshoot unexpected formatting

If text using a character style looks different from what you expect, check whether direct character formatting has been applied. Adobe’s formatting hierarchy places character attribute overrides above character styles, so a manual override can take precedence. The Character Styles and Paragraph Styles panels can help identify the applied styles and overrides.

Replace a style throughout a document

For a document-wide change, use Edit > Find/Change. Set the relevant style attributes in Find Format, choose the replacement character style in Change Format, then use Find Next, Change, Change All, or Change/Find as appropriate. Adobe explains the controls in its Find and replace text styles guide.

Automate recurring text patterns with nested styles

When a character style should apply automatically to part of a paragraph—such as a run-in heading or lead-in—use a nested style. Nested-style rules can apply formatting based on delimiters such as characters, words, or sentences. Adobe recommends applying nested styles through paragraph styles when you want consistent results. See its nested styles instructions.
