Short answer: the Microsoft Copilot app is an assistant-led hub for chat, content help, files and navigation across Microsoft 365. Office web apps are the browser versions of individual programs such as Word, Excel and PowerPoint, where you directly create and edit files. They overlap, but they are not interchangeable names for the same product.
Choose the Copilot app when you want to ask for help, generate or summarize content, find a Microsoft 365 service, or move between accounts and files. Open Word, Excel or PowerPoint on the web when the job is hands-on editing in a particular application. The exact Copilot commands and in-app features depend on your account, license, organization policy, region and rollout.

This is a comparison of product roles, not a promise that every item appears for every user. Microsoft changes labels, navigation and feature availability over time; the controls you see can differ by account and geography.
Why the names are confusing
Microsoft has renamed the application that many people knew as the Office app or Microsoft 365 app. Microsoft Support says the name began rolling out as “Microsoft 365 Copilot” on January 15, 2025, and current support wording calls it the Microsoft Copilot app. The transition page describes it as a starting place to “find, create, share, and collaborate in one place with access to your favorite productivity applications.”

The rename did not turn Word, Excel or PowerPoint into one combined app. Those programs still have browser versions. “Office web apps” is a useful general description for opening those individual applications online, while “Copilot app” identifies the assistant and hub that can lead you to them.

What the Microsoft Copilot app does
It is an assistant and a launch point
The Copilot app is designed for a conversational starting point. You can ask a question, request a draft, brainstorm ideas, summarize material or look for a file, then move into the Microsoft 365 application that handles the actual work. It is especially useful when you do not yet know which app or document contains the answer.
That does not mean every response creates a finished Word document, edits an Excel workbook or builds a PowerPoint presentation in the same way for every account. File creation and file-aware actions are controlled by account entitlements and the features Microsoft has enabled for your tenant or subscription.
It can connect you to other Microsoft 365 services
Microsoft’s Copilot app getting-started guidance describes a navigation pane that may expose Chat, Library, Agents, Search and Cowork. A menu or launcher can take you to Word, Excel, PowerPoint, Outlook, Teams and other Microsoft 365 services. The exact labels and order can change as Microsoft updates the app.

Microsoft documents Copilot app experiences for Windows and Mac desktop, the web, and mobile apps for iOS and Android. A web or mobile layout may not contain every control shown in a desktop release. If a button is absent, check that you are using the intended account and current app version before treating the absence as a licensing failure.
What Office web apps are
Word for the web
Word for the web is the browser-based editor for text documents. You open a document, use the ribbon and document canvas, and save changes to cloud storage. It is the right destination when your immediate goal is formatting paragraphs, reviewing comments, applying styles or collaborating on a specific document.

Excel for the web
Excel for the web provides the browser spreadsheet experience. Use it when you need to enter data, edit formulas, format a range, inspect a chart or collaborate in a workbook. Advanced desktop-only features may not be present, so a workbook can behave differently online than in the installed Excel application.
PowerPoint for the web
PowerPoint for the web is the browser presentation editor. It is appropriate for changing slide text, rearranging slides, applying available themes and presenting or sharing a deck online. As with Word and Excel, the browser edition is a specific app rather than a general Copilot workspace.
Other browser apps
Microsoft 365 web access can also lead to services such as Outlook and Teams. The key distinction remains the same: you select the application that owns the work, rather than asking a general assistant to be the editing surface for every file type.

Choose by task, not by the product name
Start in Copilot for an assistant-led task
- You want an explanation, outline, rewrite, brainstorm or summary.
- You are unsure whether the answer is in a document, message, meeting or another Microsoft 365 location.
- You want to find a service or file and then continue in the appropriate app.
- You need help turning a prompt into a first draft before refining it yourself.
When a response needs authoritative facts, formulas or business decisions, treat generated content as a starting point and verify it in the source file or with the responsible person.

Start in an Office web app for direct editing
- You already know the file and need to change its text, numbers, formulas or slides.
- You need the familiar app-specific ribbon, formatting controls or review tools.
- You are collaborating on a live document and want to see edits in the context of the file.
- You are testing whether a browser edition supports a particular feature before installing desktop software.
Use both when the workflow calls for it
A common sequence is to ask Copilot for an outline, open Word for the web to turn that outline into a document, move to Excel for calculations, and return to Copilot when you need a summary or a way to locate another file. The apps complement one another; opening Word from the Copilot app does not make Word itself a Copilot subscription.
How to begin in the Copilot app
- Open the current Copilot app. Use the web version, a Windows or Mac desktop installation, or the iOS or Android app. Microsoft’s support article at Get started with the Microsoft Copilot app explains the current entry points.
- Check the account shown in the profile area. A personal Microsoft account and a work or school account can both be available, but their data and entitlements remain separate.
- Choose the task. Use Chat for a question or draft, Search or Library to locate material, or the app menu to open Word, Excel, PowerPoint or another service.
- State the scope. Identify the file, folder, audience, length, tone or date range you mean. Vague requests can produce a plausible but unsuitable result.
- Verify and continue in the owning app. If the result concerns a document, workbook or presentation, open that file in its dedicated web app for detailed editing and checking.
How to open Word, Excel or PowerPoint on the web
- Go to Microsoft 365 web access in your browser and sign in with the account that owns or has permission to the file.
- Use the app launcher or choose the application directly. Select Word, Excel or PowerPoint rather than relying on a Copilot chat to perform the edit.
- Open an existing file or create a blank one. Recent files and cloud locations depend on the signed-in account and permissions.
- Edit in the browser. Use the selected app’s ribbon, comments, sharing and version controls. If a command is missing, the web edition may not support it or your organization may have disabled it.
- Share or switch apps from the launcher. Returning to Copilot is optional; it is a separate hub, not a required editing mode.
Can you use the web apps for free?
Yes. Microsoft says users with a free account can use browser versions of Word, Excel and PowerPoint and receive 5 GB of OneDrive cloud storage. That is a real option for basic browser work; it is not evidence that all desktop features or all Copilot capabilities are included.

Paid plans can add desktop applications, larger storage allowances and other benefits, but the particular Copilot benefit depends on the plan and account owner. Do not assume that a free web account includes Copilot inside every app, or that a paid subscription gives identical Copilot access to every person sharing it.
Licensing and account differences
Copilot access is an entitlement question, not simply an app-installation question. Microsoft’s April 2026 guidance for work and school users distinguishes labels such as Copilot Chat (Basic), M365 Copilot (Basic) and M365 Copilot (Premium). The labels indicate whether an add-on is assigned and where Copilot can be accessed directly, while administrators can control or configure use.

The updated app can accept personal and work or school accounts, but Microsoft says their experiences and data remain separate. A file available through a company account should not be assumed to be visible from a personal account, and a personal Copilot conversation should not be treated as part of an organization’s work history.
When you use a work or school account, organizational security, privacy, compliance and administrative controls continue to apply. Your administrator may restrict connectors, file access, sharing or specific Copilot features. If a business workflow requires confidential material, follow your organization’s data-handling policy rather than moving the material to a personal account simply because a feature appears there.

Seeing Word online without a Copilot button does not prove that the app is broken. Check the causes in this order:
- Wrong account: Open the profile menu and confirm that the account with the subscription or work license is active. Signing into a free personal account can hide benefits assigned to a different account.
- Plan or license: For work or school, inspect the Copilot license label and ask the administrator whether an add-on or policy is required. For personal use, verify the subscription owner and tier.
- Organization policy: A tenant administrator can limit or disable Copilot, connectors and file access even when the user can open the web app.
- App edition: The free browser edition, desktop application and mobile app do not necessarily expose the same controls.
- Region and rollout: Microsoft releases features gradually and warns that availability can vary by geography and account. A control may arrive later or have a different name.
- Current app state: Sign out and back in, update the mobile or desktop app, and try the supported web experience. These steps can rule out a stale session without changing your license.
Do not buy a subscription solely because the button is absent until you have identified the signed-in account and asked a work or school administrator about policy. Microsoft’s support pages are the authoritative place to recheck current labels and availability because the interface changes.
Examples of the right starting point
“I need a two-page project brief”
Begin in Copilot to request an outline or first draft with the audience, purpose and constraints. Then open Word for the web, check every claim, apply the organization’s styles and collaborate on the finished brief.
“I need to correct a formula in a shared workbook”
Open Excel for the web directly. The task is tied to a cell, formula and workbook history, so the spreadsheet editor is the primary workspace. Use Copilot only if your account and tenant provide a suitable explanation or analysis feature.
“Where is the presentation from last quarter?”
Use Copilot’s search or library experience if available to locate the file across Microsoft 365, then open the result in PowerPoint for the web to inspect and edit the slides.
“I can use Word online but cannot find Copilot”
Confirm the account, plan, license label, organization policy and regional rollout. Browser Word access and Copilot-in-Word access are separate entitlements.
Availability changes, so verify before following a screenshot
Microsoft is actively changing the app’s name, navigation and feature set. A tutorial that shows an Office or Microsoft 365 home screen may be describing the pre-2025 label, while a current installation may display Microsoft Copilot. Similarly, a screenshot from a licensed business tenant may show controls unavailable to a free personal account.
Use the live Microsoft support pages linked in this article for current platform and license wording. Treat menu names such as Chat, Library, Agents, Search and Cowork as examples of the documented navigation, not as a permanent checklist. Availability can differ by country, subscription, account type and staged rollout.
