Construction Timesheet Apps: How to Choose the Right Fit for Your Crew

A construction timesheet app should capture field hours, assign them to jobs or cost codes, and hand approved time to payroll. Compare key features and test the real workflow before choosing.

A construction timesheet app helps crews record hours in the field and helps managers assign, review, and move that time toward payroll or job costing. The right choice depends less on a long feature list than on whether it captures time reliably at your sites, ties hours to the right job or cost code, and fits your existing approval and payroll workflow.

What a construction timesheet app should do

At minimum, the app records who worked and when. More complete systems can also connect hours to a project, task, or cost code, then route entries for supervisor approval and export approved time to payroll or accounting. Time may be captured through a worker’s phone, a shared kiosk, or a supervisor entering time for a crew. Those are different workflows, not features every app necessarily provides.

For contractors tracking labor cost by project, employee totals alone may not be enough. Confirm that workers or supervisors can assign time to the job, task, and cost code your accounting process actually uses.

Which features matter most on a job site?

Field time capture and location controls

Mobile clock-in can reduce reliance on paper sheets or end-of-week recollection. Some vendors also describe GPS-tagged punches, geofencing, or alerts when a worker leaves a site while still clocked in. These terms can describe different behaviors: ask whether location is checked at clock-in, during a shift, or under another rule. Explain location settings to workers and consider privacy obligations in the jurisdictions where you operate.

These are vendor descriptions, not evidence that all apps track location in the same way. Chronotek construction time tracking; QuickBooks Time for construction.

Project, task, and cost-code assignment

Check that the app’s work categories match your job-costing structure. Archdesk describes mobile GPS or QR clock-ins linked to a project, task, or cost code, as well as labor-rate application and multi-level approvals. OnTheClock describes job and cost-code tracking. These examples illustrate why you should test the actual coding workflow rather than assume that a product’s “job costing” label matches your setup. Archdesk timesheets; OnTheClock for construction.

Offline use and shared devices

Weak reception can interrupt mobile workflows. Ask whether punches can be queued offline, what information is captured without a connection, and how and when it syncs after service returns. Breche advertises offline queuing; verify its behavior under the conditions at your sites. If workers do not each use a phone for clock-in, ask about shared-device kiosk access or supervisor crew entry. ClockShark’s product materials describe both kiosk clock-in and supervisor crew clock functions, but current availability and packaging should be confirmed with the vendor. Payroll and accounting handoff

“Payroll integration” does not guarantee support for your payroll provider, pay rules, cost codes, or accounting configuration. Check the specific connection or export format, how approved hours map to your payroll fields, and what happens when an entry is changed after approval. QuickBooks Time’s construction page describes timesheet editing and approvals; Chronotek describes payroll exports. Ask each vendor to demonstrate the handoff using a representative job and employee record. QuickBooks Time for construction; Chronotek construction time tracking.

How to choose and test an app

  1. Map your current process. Write down how each worker clocks in, how a foreman handles crew time, what job/task/cost-code fields are required, who corrects entries, and who approves them.
  2. Choose a realistic test workflow. In a trial or demo, enter time for a representative worker or crew across a real type of shift, including the project and cost codes your business uses.
  3. Test site conditions. Check supported phones or shared devices, languages your crew needs, and behavior in a low-signal area. If offline operation matters, verify that queued entries sync as expected after reconnection.
  4. Inspect location and privacy settings. Confirm when location is collected, which roles can see it, and what workers are told. Do not assume a geofence and continuous location tracking are the same thing.
  5. Run an approval and correction. Make a sample correction, approve the entry, and check whether the history shows the change and the responsible user.
  6. Complete the payroll or accounting handoff. Confirm the exact integration or export, map fields and cost codes, and inspect a resulting record before relying on it for payroll or job costing.
  7. Calculate total cost at your headcount. Include base charges, per-employee charges, minimums, and any plan limits relevant to the workflow. Vendor-listed trial and price terms can change, so confirm them directly.

There is no evidence here establishing a universal best app or independent comparative performance. The choice should be based on a workflow demonstration with your crew, site conditions, approval rules, and payroll setup.
