A password alone can’t reliably protect cloud files: it may be stolen through phishing, exposed in a breach, or reused from another account. Turn on multifactor authentication (MFA) or the provider’s equivalent, choose a phishing-resistant method such as a passkey or FIDO2 security key when supported, and set up recovery options before you lose access to a device. These steps protect sign-in; they do not replace encryption, careful sharing, or device security.
How a password-only account can be compromised
A password is a single secret that can be copied, guessed, or tricked out of its owner. Reusing one across accounts increases the risk: if it is exposed elsewhere, an attacker may try it on a cloud account. Phishing can also persuade someone to enter a password on a convincing but fraudulent sign-in page.

MFA adds another step, so knowing the password alone is less likely to be enough to sign in. CISA explains the added barrier this way: “Even if an unauthorized user steals your password, they won’t be able to meet the second step requirement to access your accounts.” This is a practical explanation, not a guarantee against every attack; MFA does not protect an account from every phishing technique, compromised device, or unsafe sharing choice.

- PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts
Turn on MFA for your cloud account
- Open your cloud account’s security settings and look for “MFA,” “two-factor authentication,” or “2-Step Verification.” The label and enrollment flow vary by provider. CISA’s general guide explains the purpose and recommends enabling MFA for each account or app that offers it: Stay Safer Online: Enable MFA.
- Review the methods the provider offers, then enroll the strongest practical option your account and devices support.
- Before relying on one phone or key, add a recovery route, such as a second key, backup codes, or the provider’s documented account-recovery method.
- Test the alternate route while you still have access to the account, and keep recovery information current.
Choose a method that balances security and recovery
Not all second steps resist phishing equally. A one-time code or approval prompt can improve on password-only access, but an attacker may still trick a user into providing a code or approving a fraudulent request. A passkey or FIDO2 security key is designed to provide stronger resistance to phishing where supported. Availability varies by provider, account type, and device; Microsoft’s method descriptions apply specifically to Microsoft Entra ID, not every cloud account.
| Method | Security and practical considerations |
|---|---|
| Passkey | Phishing-resistant where supported. Check which devices and account types can use it, and how to recover access if the device is unavailable. Google describes passkeys as an available sign-in option for Google Accounts: Protecting your personal info with 2-Step Verification. |
| FIDO2 security key | Phishing-resistant where supported and used as an authentication factor. Compatibility depends on the provider and account. Consider enrolling a second key or setting up another recovery route before depending on one physical key. |
| Authenticator or one-time codes | These add a step beyond a password, but codes can be phished. Keep a recovery option in case the device or app becomes unavailable. |
| SMS codes or push prompts | They can be better than password-only access, but may be vulnerable to phishing or interception. SMS also depends on access to a phone and carrier service; a push prompt depends on the enrolled device. |
For method-specific distinctions, see Microsoft’s Microsoft Entra authentication overview. Its compatibility and method details are for Entra ID and should not be treated as a universal list of cloud-storage features.

Make account recovery part of the setup
A stronger sign-in method is only useful if you can still regain access when a phone is lost or a key is damaged. Check the provider’s recovery instructions before you need them. Where available, enroll an alternate key, store backup codes securely, and keep recovery email or phone details current. Do not keep a sole copy of backup codes somewhere that requires signing in to the same locked account.

For a lost security key, Google lists alternate ways to sign in; it warns that account recovery without another second step can take 3–5 business days. MFA is one layer, not complete cloud-file protection
Sign-in security helps control who can enter an account, but it does not determine every way files can be exposed. Review who has access to shared folders and links, remove permissions that are no longer needed, and check which devices remain signed in. A compromised device or an accidentally public share can put files at risk even when MFA is enabled.
Cloud providers also use data-protection measures of their own. Microsoft describes disk- and file-level encryption and other safeguards for SharePoint and OneDrive in Microsoft 365: How SharePoint and OneDrive safeguard your data in the cloud. That description applies to those Microsoft services; encryption details and controls differ across providers. MFA complements those controls rather than replacing them.

For organizations: protect file storage as well as email
Businesses should apply MFA to cloud file storage, not only email or remote access. CISA advises organizations to prioritize administrators and employees who handle sensitive data, and to prefer phishing-resistant MFA for business systems where possible. Its recommendations are general security guidance; exact configuration depends on the service and account environment. See CISA’s guidance on requiring multifactor authentication.
For an individual, the useful next step is to enable the strongest supported MFA method and confirm recovery before a device goes missing. For an organization, include storage accounts in MFA coverage and review access and sharing alongside sign-in policy.
