The best invoicing software depends on what you need to do after you create an invoice. Freelancers and service businesses may want time tracking, reminders, and online payment options; a solo operator may prioritize a free plan; and a growing business may need invoicing tied to accounting, expenses, and reconciliation. Start with your workflow, then compare plan limits and payment costs—not just the monthly subscription.
How to choose the right invoicing software
- Decide how much accounting you need. If you only need to create invoices and track whether they are paid, a dedicated invoicing tool may be enough. If you also need a general ledger, expense tracking, bank reconciliation, reporting, or tax workflows, look at accounting software that includes invoicing.
- Estimate your workload. Count invoices, billable clients, users who need access, and any recurring or milestone billing. Entry-level plans can cap invoices, clients, seats, or projects.
- Calculate the full monthly cost. Add the subscription, any extra-user charges, and payment-processing fees. A free invoicing plan does not necessarily make accepting card or bank payments free.
- Check payment and regional support. Confirm that the provider supports your country, currencies, payment methods, and payout needs. Fees and availability can vary by geography, payment method, card type, and plan.
- Try the customer-facing workflow. Review how an invoice looks to a client, how they pay, how you track its status, and whether reminders, exports, and integrations work for your process. Plan for moving client records and recurring invoices if you switch later.
Useful capabilities to compare include recurring and batch invoicing, automated reminders, invoice-status tracking, payment integrations, and reconciliation. Xero’s small-business guide discusses these features and notes that free tools may lack automation or integrations available on paid plans; it is vendor-published guidance, not a hands-on comparative test. Match features to your actual workflow
- Invoice creation versus accounting: Decide whether sending invoices and tracking payment status is sufficient, or whether you also need ledger entries, expense tracking, bank reconciliation, payroll, or tax workflows.
- Automation: Check for recurring invoices, batch sending, payment reminders, and automated reconciliation. Make sure the plan you are considering includes the automation you need.
- Payment experience: Confirm the checkout methods available to clients, processing costs, and how payouts are handled.
- Capacity: Check limits on invoices, clients, users, projects, and transactions, including what happens when you exceed a limit.
- Billing model: Work out whether the cost is a fixed subscription, per-user charge, per-invoice charge, percentage fee, or a combination.
- Special requirements: Look for time capture, milestone billing, point-of-sale integration, multiple currencies, or a developer API only if your work calls for them.
- Control and portability: Review export formats, integrations, data hosting, backups, and the steps required to migrate client records and recurring invoices.
Xero’s guide recommends clear payment terms, automated reminders, invoice-status tracking, and reconciling payments with accounting records. Its practical framing is: “Picking the right invoicing software depends on where your business stands today and where it’s headed.” The statement is from Xero US’s guide; the page does not identify an individual author.
