“Can’t sign into Office 365 desktop apps” is one of those problems that looks simple on the surface, but it can come from account state, corrupted Office identity tokens, outdated builds, or even network/security software interfering with Microsoft’s sign-in flow.
This guide walks through the quickest fixes first and then goes deeper—covering Windows and macOS. If you follow the steps in order, you should be able to identify what’s breaking sign-in and get Word, Excel, PowerPoint, Outlook, and the rest working again.

What’s happening when Office 365 desktop apps won’t sign in
When Office can’t sign in, it usually fails to complete one of these steps: opening the authentication flow, exchanging an identity token, validating your account’s license, or loading the Office identity state into the app.

Symptoms that point to identity-token or cache issues include repeated sign-in prompts, a sign-in loop, authentication pages that never complete, or the app returning to the sign-in screen after you enter credentials.

Before you troubleshoot: quick checks that eliminate the easy causes
- Confirm the account works in a browser. Sign into https://account.microsoft.com and verify your subscription shows active.
- Check date and time. On Windows/macOS, make sure time is correct and “Set time automatically” is enabled.
- Try a different network. If you’re on a work network, test from a home hotspot to rule out proxy/VPN/firewall issues.
- Verify you’re using the right sign-in method. Work/school accounts often require modern auth and may require MFA.
If the browser login works but desktop Office doesn’t, proceed with sign-out/re-sign-in and cache cleanup.
Fix 1: Sign out and sign back in (the cleanest first move)
Start by removing the existing account context from the app. This forces Office to request fresh tokens.
Word/Excel/PowerPoint (Windows and macOS)
- Open any Office app (Word is fine).
- Go to File → Account (Windows) or Help → Account (macOS).
- Find your signed-in account under Connected Service or Account Information.
- Select Sign out (or Sign out of all accounts if shown).
- Close the app completely (end the process if needed), then reopen it.
- Go back to File → Account and choose Sign in.
If you get multiple accounts listed, remove all of them, then sign back in to the one that holds the Microsoft 365 license.
Fix 2: Clear Office sign-in cache and credential store
If the sign-out/re-sign-in loop didn’t help, the identity cache is often corrupted. Clearing the relevant sign-in tokens (not just app data) tends to fix persistent sign-in failures.
Windows (Microsoft 365 Apps on Windows 10/11)
- Close all Office apps (Word, Excel, Outlook) and ensure no background Office processes are running.
- Press Win + R, type
control, and press Enter to open Control Panel. - Go to User Accounts → Credential Manager.
- Open Windows Credentials and look for entries containing MicrosoftOffice, Office, ADAL, or Identity.
- Remove the relevant items (don’t delete unrelated Windows credentials that you recognize as system-specific).
- Now open Run again with Win + R.
- Paste and run this path delete target (replace with your user if needed):
%localappdata%\Microsoft\Office\ - Look for folders such as 16.0 (or similar), and rename or delete the Office identity cache folders. If you don’t see obvious identity folders, skip manual deletion and do the Credential Manager cleanup only.
- Reboot your PC.
- Open Word and sign in again.
Gotcha: If you’re using a managed work device, some credential entries may reappear after reboot. In that case, focus on clearing Office-related items and then run an Office repair (Fix 4).
macOS (Microsoft 365 Apps on macOS Ventura/Sonoma)
- Quit all Office apps.
- Open Finder → Go → Go to Folder…
- Visit these locations and delete/rename Microsoft Office identity-related caches if present:
~/Library/Caches/com.microsoft.autoupdate2/~/Library/Containers/com.microsoft.Office365ServiceV2/~/Library/Group Containers/UBF8T346G9.Office/ - Restart your Mac.
- Open Word and sign in.
If you don’t see those folders, don’t force it—move to Fix 3 (update) and Fix 4 (repair/reinstall) instead.

Fix 3: Update Office and confirm the right build is installed
Outdated builds can break sign-in flows, especially after Microsoft updates authentication endpoints. Updating Office is quick and often fixes “sign-in failed” issues without deeper surgery.

- Open any Office app (Word).
- Go to File → Account.
- Under Product Information, check Update Options.
- Choose Update Options → Update Now.
- Wait for updates to complete (you may see progress in the Office app).
- Reopen Word and try sign-in again.
For enterprise devices, updates may be deferred by policy. If you don’t see Update Options, ask your IT admin.
macOS
- Open an Office app (Word).
- Go to Help → Check for Updates.
- Install the available updates and restart the app.
- Attempt sign-in again.
Fix 4: Repair Office (online vs quick repair vs full reinstall)
If cache clearing and updates don’t fix it, repair is the next high-success step. Repairs rebuild Office components without needing a clean OS reinstall.
Windows
- Close all Office apps.
- Open Settings → AppsInstalled apps.
- Find Microsoft 365 Apps (or Microsoft Office with the same flavor).
- Select it, then click Modify.
- Choose Quick Repair first. If it fails, run Online Repair.
- After repair completes, reboot if prompted and try signing in.
Common gotcha: If your organization manages Office, repair might still succeed but sign-in can still fail due to account licensing or conditional access. If Fix 4 repairs successfully but sign-in doesn’t work, jump to Fix 5 and Fix 6.
macOS
macOS doesn’t use the same Repair utility as Windows. The most reliable approach is reinstalling Microsoft 365 Apps from your Microsoft account (or your organization’s deployment).
- Quit Office apps.
- Remove Microsoft 365 Apps using the installer/uninstaller your organization provided, or drag the apps out from /Applications.
- Reinstall from your Microsoft account: go to
https://account.microsoft.com/services→ locate Microsoft 365 → install for macOS. - Open Word and sign in.
Fix 5: If your account is blocked, expired, or uses the wrong authentication
Desktop sign-in is tightly tied to license status and identity policy. If your browser login works but desktop Office can’t validate entitlements, you’ll still see repeated sign-in errors.

Consumer accounts vs work/school accounts
- Consumer (Outlook.com/Hotmail.com): Usually fails because the subscription is canceled/expired or you’re signing into the wrong Microsoft account.
- Work/school (Entra ID / Azure AD): Often fails because of conditional access, MFA requirements, or account status changes (disabled, removed from license group, etc.).
Modern auth requirements
Office desktop apps generally require modern authentication. If an environment forces legacy authentication, sign-in can fail or loop. On work/school accounts, modern auth is enforced by Microsoft 365 and conditional access policies in most current tenants.
Common account states that break sign-in
- License removed: Your account no longer has a Microsoft 365 license assigned.
- Account disabled/blocked: The user object is disabled in Entra ID.
- MFA enforcement: The sign-in prompt can fail if MFA can’t complete (for example, no approved phone method).
- Wrong tenant: You’re signed into the correct email address, but not the correct organization/tenant.
For work/school accounts, the fastest fix is asking your admin to confirm the license assignment and conditional access policy isn’t blocking the Office client.
Fix 6: Network and security tooling issues
Office sign-in relies on reaching Microsoft identity endpoints. Any interception layer—proxy, SSL inspection, firewall rules, DNS filtering—can break the flow.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
VPN, proxy, and firewall rules
- Temporarily disable VPN/proxy.
- Test sign-in again on a different network (like a phone hotspot).
- If it works on a different network, your original network is interfering.
- Ask IT to allow outbound access to Microsoft sign-in and licensing endpoints (typical Microsoft 365 traffic). If you need an internal checklist, request their approved endpoint list for Microsoft 365 Apps.
Browser and system date/time
- Ensure your OS time is accurate.
- If you’re using a managed browser profile, confirm it isn’t configured to block third-party cookies or auth redirects system-wide.
Third-party antivirus and web protection
Security products sometimes block OAuth redirect flows. Temporarily disable the web shield (only if policy allows) and retry sign-in. If that fixes it, add Office and Microsoft sign-in domains to the product’s allow list.
Error-code cheat sheet and targeted fixes
Exact errors help, but you can still use these patterns to narrow down the cause.
“Something went wrong” / sign-in loop
This usually points to corrupted tokens or a network/auth interception. Clear Office credentials (Fix 2), then update Office (Fix 3). If still failing, repair Office (Fix 4) and test on a different network (Fix 6).

“We couldn’t find your account”
Confirm you’re signing into the correct Microsoft account and that your mailbox/UPN matches your Microsoft 365 license identity. For work/school, ask your admin to confirm the user principal name (UPN) and license assignment.
“Account locked” / MFA required
Unlock the account and complete MFA using an approved method. If MFA can’t complete due to device/browser restrictions, sign-in may never finish in Office even if browser login sometimes works.
“We couldn’t sign you in because your organization doesn’t allow this”
This is almost always a tenant policy/conditional access restriction. You’ll need IT to review conditional access, client app restrictions, or sign-in risk policies for Office desktop apps.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When only one app fails (Word signs in, Excel doesn’t)
If Word signs in but Excel won’t, the issue is often app-specific settings or corrupted app data rather than the entire Office installation.
- Check Excel’s account under File → Account and sign out there separately.
- Update Excel, then run a repair on the Office installation.
- On Windows, resetting credential cache (Fix 2) is still a strong first move even when only one app misbehaves.
When nothing works: last-resort options
If you’ve cleared identity cache, updated, and repaired, and sign-in still fails, you’re likely dealing with either a tenant-level policy or an environment-level network block you haven’t isolated yet.
- Try a new Windows/macOS user profile. If sign-in works there, your original profile has a corruption or credential issue.
- Reinstall Office. Uninstall Microsoft 365 Apps completely, then install again from the official Microsoft portal or your organization’s deployment.
- Collect logs for support. On Windows, Office can generate diagnostics you can share with Microsoft or your IT team. On macOS, your admin can capture client logs from the managed environment.
- Engage IT for work/school accounts. Provide the exact error text and timestamps. Admins can check licensing, sign-in logs in Entra ID, and conditional access outcomes.
FAQs
Do I need admin access to fix Office sign-in?
Not always. You can often clear Office sign-in cache and credentials without admin rights. However, repairing or reinstalling Microsoft 365 Apps may require permissions.

Will clearing cache log me out everywhere?
It will sign you out of Office apps on that device. It won’t delete your Microsoft account. Some credential entries may need a refresh, which is why you then sign in again.
What if my browser signs in but Office still fails?
That strongly suggests token/cache issues, outdated Office builds, or a device/network security layer blocking the Office sign-in redirect. Start with Fix 2 and Fix 4, then validate with a different network.
Can I fix it by switching accounts?
You can test, but it’s not a true fix. If you sign into a different account successfully, the problem is usually license assignment, tenant policy, or account state of the original user.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Why does Outlook behave differently than Word?
Outlook may have separate connection and account service behavior, especially if multiple Exchange/IMAP profiles exist. If Outlook is the only app failing, focus on Outlook account removal/re-add plus token clearing (Fix 2).
Bottom Line
When Office 365 desktop apps can’t sign in, don’t jump straight to reinstalling. Start with sign-out/sign-in, then clear Office identity cache and credential entries, update Microsoft 365 Apps, and run a repair on Windows or reinstall on macOS.
If the issue persists, the remaining culprits are almost always account licensing/policy (for work or school accounts) or network/security interception. Isolate with a different network, then involve your admin with the exact error message and sign-in timestamp.
