Microsoft documents backup as the way to restore Authenticator credentials; if no backup exists, its guidance is to add the accounts again. You may still regain access by using another sign-in method already set up for the account, or the account provider’s recovery process. That can restore access to the account, but it does not recreate the missing Authenticator data.
What a Microsoft Authenticator backup can restore
Microsoft’s restore instructions require the personal Microsoft account used to make the backup. A backup can be restored only to the same type of device: an iOS backup cannot be restored on Android, or vice versa. Microsoft puts it plainly: “You can only backup and restore on the same device type.”
| Account in Authenticator | What is available after restore |
|---|---|
| Microsoft personal account used only for one-time passwords | The one-time password codes are available. |
| Microsoft personal account also set up for passwordless sign-in | Only the account name is restored; sign in again to restore the account. |
| Work or school account | Only the account name is restored; sign in again to restore the account. |
| Third-party one-time-password account, such as Amazon, Facebook, or Gmail | The one-time password codes are available. |
One-time password codes refresh every 30 seconds, according to Microsoft’s backup and restore guidance. A visible account entry after recovery is not always proof that its credentials are ready: follow any “Sign in to restore your account” or “Action required” prompt and complete the requested verification.
What to do if you have no backup
- Try another sign-in or verification method. If you can still access a method configured on the affected account, use it to sign in, then set up Authenticator again. Microsoft lists alternatives such as physical security keys and other configured methods for situations when Authenticator is temporarily unavailable. For Microsoft accounts using two-step verification, Microsoft says access to two recovery methods is required. See its passwordless sign-in guidance. An alternative method helps you authenticate; it does not bring back the missing app data.
- For a work or school account, contact your IT administrator. Ask about the organization’s recovery process and how to register Authenticator again. Microsoft’s general restore page says these accounts must be signed in again but does not set out every organization’s account or MFA policy.
- For a third-party account, use that provider’s official recovery process. After you regain access, add the account to Authenticator again. Microsoft’s instructions do not guarantee that another service will restore access without its own verification.
If a backup might exist, check these restore details
Use the personal Microsoft account that was selected when the backup was made, and restore on the same operating-system type as the original device. Microsoft’s current iOS restore instructions also call for iCloud Drive, iCloud Keychain, and iCloud Backup; if you cannot access iCloud, Microsoft directs users to Apple Support.

Start the restore or recovery flow before signing in to accounts in Authenticator. If you have already signed in, sign out first. If “Restore from backup” or “Begin recovery” does not appear, Microsoft says to remove or sign out of all accounts before trying again. Follow the in-app instructions for entries marked “Sign in to restore your account” or “Action required.” Full steps are in Microsoft’s restore instructions.

Once you can use the accounts again, configure Authenticator backup and check that it is enabled for the account you intend to use for recovery. Microsoft’s current Android backup guidance says the setup is changing starting in January 2027: Android users will enable Authenticator backup through Google One rather than a personal Microsoft account. Check Microsoft’s latest backup instructions when setting it up, since the documented transition is future-dated.
