They are not a like-for-like replacement if you rely on desktop Office apps, larger storage allowances, specialized features, or a Microsoft-based co-authoring workflow. The practical choice comes down to the apps your team needs, its file habits, and how much cloud storage it uses.
What the free options include
| Need | Free Microsoft web apps | Google Workspace Essentials |
|---|---|---|
| Core apps | Web versions of Word, Excel, and PowerPoint. | Docs, Sheets, and Slides. |
| Cloud storage | 5 GB of OneDrive storage for a free Microsoft account. | 15 GB of Drive storage per user, according to Google’s Essentials product page. |
| Team editing | Microsoft documents sharing and co-authoring across OneDrive, SharePoint, and Microsoft 365 apps. | Google describes real-time collaboration and version history for Essentials. |
| Office file workflow | Native environment for Word, Excel, and PowerPoint files. | Can edit uploaded Office files and autosave changes in the original Office format; some Google-specific features require conversion. |
These are the allowances and capabilities described on the vendors’ current product and support pages, not a guarantee that the services cover every team’s needs. Microsoft’s free-app comparison says free users have only the web versions of Word, Excel, and PowerPoint, plus 5 GB of OneDrive storage. Google’s Workspace Essentials page describes Docs, Sheets, and Slides collaboration with 15 GB of Drive storage per user.

When free apps are enough
A free suite is a plausible replacement when work is mostly online and consists of routine writing, budgets, presentations, and shared planning documents. Before switching, check that your actual team can open and edit its files, that its collaboration method works, and that the free storage allowance is sufficient.

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minute- Browser-based work: Your users are comfortable working in Word, Excel, and PowerPoint on the web, or in Google Docs, Sheets, and Slides.
- Ordinary file needs: Your documents and spreadsheets do not depend on specialized desktop features or complex behaviors that you have not checked in the alternative suite.
- Storage fits: Your files, including shared work, fit within the applicable free allowance.
- Sharing is straightforward: Your team can use the suite’s supported sharing and permissions rather than depending on an unsupported storage combination.
When a paid Microsoft 365 plan may still matter
Microsoft’s paid Personal and Family subscriptions include desktop apps and 1 TB of cloud storage per person, according to its subscription comparison. Family supports up to six people total. Those features can be decisive if your workflow requires desktop Word, Excel, or PowerPoint, substantially more storage than the free account provides, or a Microsoft-specific capability. They do not establish that every paid plan has identical features, so check the plan details relevant to your account before making a change.

How well Google handles Microsoft Office files
Google Drive can open uploaded Microsoft Office files for editing in Docs, Sheets, and Slides; users can comment and collaborate, and Google says changes are autosaved in the original Office format. That can make Google practical for teams exchanging Word, Excel, and PowerPoint files without converting every file first. See Google’s instructions for working with Office files.
Keeping a file in Office format does not mean every complex document, layout, or specialized function will behave identically in both suites. Google says conversion creates a copy and is needed for certain Google-only capabilities, including add-ons, Apps Script, protected ranges, and translation options. If the work matters, test a representative document and spreadsheet with the people who will edit them, and check the returned files in the application where they will ultimately be used.

Collaboration depends on where files live
Microsoft files and co-authoring
Microsoft co-authoring relies on shared files and permissions. Microsoft documents co-authoring through OneDrive, SharePoint, and Microsoft 365 apps, but explicitly says co-authoring documents stored on Google Drive is unsupported. Its co-authoring guidance also notes that offline edits are not visible to other collaborators until the user reconnects; overlapping changes can require conflict resolution.

Third-party cloud storage
Using storage outside a suite’s own cloud can be an option, but support varies by provider, account type, and administrator settings. Google lists Box, Dropbox, and Egnyte for some Docs, Sheets, and Slides workflows, while noting feature and control limits compared with Drive. Its third-party storage documentation lists limitations that include Google Forms, mobile editing in Docs, Sheets, and Slides, Apps Script and APIs, some Sheets functions, and Drive file-management controls. Some uses also require a paid Google Workspace account depending on the third-party account.

Microsoft likewise documents workflows with supported providers such as Dropbox, Box, and Egnyte; verify that your provider and account support the specific sharing and co-authoring features your team needs. A provider appearing on a support list does not establish that every feature is available in every setup.

A practical way to decide
- Inventory the work: List the apps, file types, desktop-only features, storage needs, and sharing controls your team actually uses.
- Choose a candidate: Compare free Microsoft web apps with Google Workspace Essentials against that inventory; do not assume a free tier includes paid desktop capabilities.
- Test real files: Have collaborators edit a representative document and spreadsheet. For Office files in Google, check formatting and required functions after editing and after opening them again in Office.
- Check the storage and access setup: Confirm the files fit the stated allowance and that permissions, offline work, and any third-party storage arrangement function as required.
- Change plans only after the workflow works: Preserve access to work-critical files and confirm which subscription features your team would lose before cancelling a paid plan.
