An AI receptionist for small business can answer inbound calls, handle routine questions, route callers, take messages, or book appointments—but the exact workflow depends on the provider and plan. The key decision is not whether a service uses AI; it is whether it fits your current phone setup, handles exceptions gracefully, and gives you enough call capacity at a predictable cost.
What an AI receptionist can—and cannot be assumed to—do
These hosted services answer incoming calls using an AI voice. Depending on the specific offer, they may respond to common questions, transfer or route calls, capture messages, schedule appointments, send follow-up texts, or provide transcripts and summaries. Not every service includes every function, and a feature listing does not establish how accurately it works in a real conversation.

For example, Phone.com describes call answering, routing, appointment scheduling, custom business knowledge, and calendar integration; Zoom describes answering, common-question responses, routing, after-hours handling, and analytics. Abby lists bilingual answering, appointment booking, transcripts, and summaries, while Ansa lists team routing and warm transfers. Check the exact plan rather than treating these features as category-wide defaults.
What happens when the AI cannot answer?
Before choosing a service, define the fallback for an unsupported question, a frustrated caller, an urgent issue, or a failed transfer. Ask the provider to demonstrate those cases, not just a routine booking. Find out whether the system can transfer to a person, take a message, offer a callback, or route the call to an alternate number—and what it says when none of those options is available.
#1 Best Overall
- Quick and easy installation: Connect the main console to analog lines via RJ11; cordless handsets/desksets pair wirelessly with one-touch DECT 6.0 technology—no professional wiring or assistance needed for fast small office setup.
- Expandable to 10 stations: Grow your 4-line small business phone system seamlessly by adding up to 9 cordless handsets or desksets—ideal for scaling operations without replacing equipment.
- Professional auto attendant per line: Automatically answers calls on each of the 4 lines, offers company directory access, routes to extensions, and records voicemail for efficient, polished call management.
- Reliable digital answering system: Captures up to 180 shared minutes of incoming messages, announcements, and memos—ensuring no important calls are missed during busy hours.
- Enhanced productivity features: Full-duplex speakerphone for natural conversations, extra-large display, caller ID/call waiting, 100-name phonebook, 32 speed dials, cordless headset support, intercom, and customizable music-on-hold via 2.5mm jack.
Also verify what happens outside business hours and when a call exceeds the system’s capabilities. One provider page says the service should avoid guessing and capture a follow-up request; that is a provider-specific claim, not proof that AI receptionists generally behave that way.
Will it work with your existing number and phone system?
Compatibility varies. Phone.com says its AI Receptionist is an add-on that requires an active Phone.com plan. Zoom lists a $29.99 monthly, 100-minute option for use with any phone system, as well as a separate per-minute option paired with Zoom Phone. The phrase “any phone system” is the vendor’s offer description; confirm the number, forwarding, setup, and feature requirements for your own configuration before signing up.

Ask whether you can keep your published business number, how calls reach the AI (for example, through forwarding or a connected phone service), and whether the service can transfer calls back into your existing routing. If the business uses multiple lines, extensions, or a shared answering workflow, verify that those are supported on the plan you would buy.

How to estimate the right allowance and break-even point
Start with your own call records, not a market-wide estimate. Count inbound calls likely to reach the AI, note their average duration, and separate routine calls from calls that need a person. Include seasonal peaks and after-hours traffic if those calls will use the service.
- Estimate monthly AI minutes: expected calls handled by the AI multiplied by average minutes per call. Add time for transfers or longer conversations if the provider counts it toward the allowance.
- Compare the estimate with the plan: check whether the allowance uses ordinary call minutes or a provider-defined unit such as Abby Minutes. Ask what rate or restriction applies when the allowance is exhausted.
- Calculate your own value: compare the monthly service cost and any required phone-plan cost with the value of calls you can realistically answer or convert. Use your own conversion rate and margin; published plan pages do not establish that the service will increase revenue or save a particular amount of labor.
- Test a realistic sample: before routing all calls, use a limited period or line to check FAQ accuracy, transfers, booking, caller comprehension, and the quality of captured messages.
Check workflow, integrations, and caller experience
Write down what a successful call should accomplish, then compare plans against that list. A salon may need reliable appointment scheduling; a contractor may need caller details and job context; a clinic may need careful escalation and clear boundaries around sensitive information. Do not assume that a listed integration includes every feature or setup you need.

- Digital answering system with voice guide records up to 13 minutes
- 50 name and number caller ID history
- Intercom between handsets and base unit
- Trilingual prompts: Choose between English, Spanish and French

- Calendar or CRM: Which systems and plan tiers are supported? Phone.com lists Google and Outlook calendar integration; Ansa lists calendar, CRM, and Jobber integrations on Business.
- Languages and accessibility: Confirm supported languages and test names, accents, and callers who need extra time.
- Records: Establish who can access transcripts or summaries, how long they are retained, and whether they are used for other purposes under the provider’s terms.
Privacy and legal checks before enabling calls
Call recording, transcription, and AI voice use raise different questions. The FCC’s 2024 ruling concerns outbound calls under the Telephone Consumer Protection Act (TCPA): it confirms that the restrictions on “artificial or prerecorded voice” encompass current AI technologies that generate human voices. For covered outbound calls, prior express consent generally applies unless an emergency purpose or applicable exemption is present. This is not a blanket legal conclusion about every inbound receptionist conversation. Read the FCC Declaratory Ruling FCC 24-17.
For recording and transcription, the FTC says state laws vary on whether and how telephone conversations may be recorded and what consent is required. Identify the jurisdictions and call flows involved, review your notices and consent practices, and check provider terms for storage, access, retention, and model use. The FTC advises consulting an attorney; its business guidance is not a substitute for advice about your specific situation.

A practical selection checklist
- List the calls you want the AI to handle and the calls that must go to a person.
- Confirm the provider works with your number and existing phone system, including transfer and forwarding behavior.
- Test what it does with an unrecognized question, urgent request, caller interruption, and unanswered transfer.
- Match the included-minute unit and overage terms to your actual call volume.
- Verify the plan-specific calendar, CRM, language, and multiple-line capabilities you need.
- Review recording, transcription, retention, access, disclosure, and consent requirements for your locations and call types.
- Trial the caller experience on a limited basis before making it the default for every incoming call.
