Shopify has a built-in connector; Dynamics 365 Sales commonly connects through Dataverse; and Power Platform and Power BI use connectors, APIs, and reporting integrations. In practice, success depends on deciding which system owns each piece of data, what should be synchronized or accessed, and how the connection will be monitored and maintained.
Choose the integration around the data, not just the app
Before connecting systems, decide what information must move, where it should live, and how people will use it. Business Central integration options include replicated synchronization, virtual access to data, API connections, and events; these are different patterns, not interchangeable versions of a guaranteed real-time connection. Microsoft describes the available integration approaches in its Business Central integration overview and technical integration overview.

- Ownership: Identify which application is authoritative for each field, such as an item’s description, a customer’s contact details, or an order’s status.
- Movement: Decide whether you need a second synchronized copy, access to Business Central data without replicating it, or an event that triggers follow-up work.
- Scope and direction: Define which records qualify and which way each field or record should flow. Avoid enabling broad synchronization before mappings and rules are understood.
- Operations: Assign responsibility for monitoring queues, logs, failed runs, retries, and reconciliation. Do not assume a particular latency unless the connected service explicitly commits to it.
Availability, permissions, licensing, and behavior can depend on the Business Central version, online or on-premises deployment, localization, and plans for connected services. Microsoft notes that some integrations require separate subscriptions or licenses in its integration overview.

E-commerce: connect Shopify with the built-in connector
For Shopify, Business Central provides a built-in connector that can support multiple Shopify shops. Microsoft documents synchronization of product information, pricing, inventory, orders, fulfillment, and customer data, with synchronization handled through the job queue and logging available for troubleshooting. The connector’s exact scope depends on configuration; connecting a store alone does not settle what data is exchanged or how exceptions are handled. See Microsoft’s Shopify Connector overview.

Set up the connection and decide what to synchronize
- Confirm that you have a Shopify account and store, and check that the Shopify Connector app is installed and that the appropriate permissions are available in your Business Central environment. Microsoft says the app is preinstalled for new sign-ups and trials; existing environments may need an installation or permission check, and availability can vary by localization.
- Connect the Shopify store to Business Central using Microsoft’s Shopify getting-started guidance.
- Configure the synchronization decisions for items, prices and taxes, inventory, customers or companies, and order fulfillment. Determine which system supplies each value rather than assuming every field should flow both ways.
- Test representative products, stock changes, customer records, orders, and fulfillment scenarios in a suitable environment. Review synchronization logs and establish who investigates and corrects exceptions.
- Move to production only after checking the resulting records and agreeing on how to recover from incorrect or incomplete synchronization. Microsoft’s setup guidance describes testing strategies and reset/re-import options; understand their effects before using them on live data.
CRM: use Dataverse for Dynamics 365 Sales, with deliberate mappings
Dataverse is a common integration route between Business Central and Dynamics 365 Sales. Microsoft’s overview explains that the connection can surface Business Central information while users work in Sales. The right pattern depends on whether Sales needs a maintained copy of records, access to Business Central data, or notifications when data changes.
| Pattern | What it does | When it may fit | Key decision |
|---|---|---|---|
| Data synchronization | Replicates selected records between systems; direction depends on record type and configuration. | Both applications need their own copy of agreed records. | Choose record and field mappings, direction, synchronization rules, and how coupled records are handled. |
| Data virtualization | Uses Dataverse virtual tables backed by Business Central APIs for create, read, update, and delete access without maintaining a second replicated copy for that access pattern. | Users need to work with Business Central-backed data through Dataverse. | Confirm the virtual-table and API access pattern supports the required data and operations. |
| Data-change events | Uses webhooks for create, update, or delete events. | A change in one system should trigger a response elsewhere. | Design the receiving workflow and its handling of missed, repeated, or failed processing. |
| Business events | Provides a separate event-based integration pattern. | An integration should react to a documented business event. | Check the available event and the connected system’s handling requirements. |
These distinctions are documented in Microsoft’s Dataverse integration overview. The documentation does not establish one universally best configuration or a blanket real-time guarantee.

Configure the Sales connection in stages
- Follow Microsoft’s Dataverse-first setup route for integrating Business Central with Dynamics 365 Sales, then complete the connection from Business Central.
- Review the table mappings, field mappings, synchronization rules, and coupled records before enabling synchronization. Customer/account and contact records are examples covered in Microsoft’s guidance.
- Specify the master system and synchronization direction for the relevant records and fields, and define how conflicts and duplicates will be resolved.
- Test with representative records before expanding the synchronized scope, then monitor the resulting synchronization and address exceptions.
Microsoft’s detailed guide covers synchronization and data integration. Its configurable mappings provide choices, not a universal set of rules that will suit every organization.
Reporting and automation: use Power Platform, APIs, or Power BI
Business Central’s connector lets Power Platform products communicate with Business Central through REST APIs. Microsoft identifies Power Apps and Power Automate as uses; its integration guidance also covers Azure Logic Apps. This approach is useful when an application or workflow needs to work with Business Central data, but the required entities, permissions, and connected-service licensing still need checking. See the Power Platform integration overview.
Choose how Power BI gets or displays Business Central data
| Power BI approach | What it is for | Practical consideration |
|---|---|---|
| Connect a semantic model to Business Central data | Read Business Central data for Power BI reporting. | For Business Central online, Microsoft recommends API pages and queries for exposing data. Built-in APIs cover common entities such as customers, items, and sales orders; custom APIs may be developed when the standard data shape is insufficient. |
| Embed a report, page, or visual in the Business Central client | Show Power BI content within the Business Central experience. | Check the deployment-specific setup and access requirements for the intended users. |
| Use OData web services | Expose data through a documented alternative discussed in Power BI setup guidance. | Evaluate the applicable setup and licensing notes for online versus on-premises deployment. |
Microsoft’s Power BI integration setup guidance covers these options and distinguishes online from on-premises requirements. For Business Central online, API pages and queries are the recommended way to expose data to Power BI; use a custom API only when the built-in APIs do not provide the required data shape.
Check the published Power BI apps before building reports
Microsoft lists Business Central Power BI apps for CRM, Finance, and Sales. They provide dashboards and reports with options to drill into reports, filter and customize views, and refresh manually or on a schedule. They apply to Business Central online, and users need permissions to the required tables and web services. Check the Business Central apps in Power BI guidance before planning a custom reporting build.

Plan for testing, monitoring, and recovery
Whichever connection you choose, treat initial configuration and ongoing operation as part of the integration—not as optional cleanup. Agree on owners for data rules and failures before enabling production flows.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →- Validate representative data: Include normal records and edge cases, such as updates, cancellations, or records that should not synchronize.
- Check access and prerequisites: Confirm the deployment type, localization, permissions, required web services, and separate service licenses or subscriptions.
- Monitor the actual integration mechanism: Use the available job-queue status and logs for Shopify, or the relevant synchronization, API, and event monitoring for the chosen pattern.
- Reconcile across systems: Check that expected records and important values match after processing; define who corrects discrepancies.
- Make recovery explicit: Document retry, replay, reset, and re-import procedures, including the impact on production data and who is authorized to use them.
For a typical Shopify store, start with the built-in connector and test the catalog, stock, order, and fulfillment flows you actually need. For Dynamics 365 Sales, choose synchronization, virtual access, or events based on the way Sales users need to work with Business Central data. For reporting, first check the published Power BI apps and standard APIs, then extend with custom APIs or reports only where the standard options do not meet the requirement.
