What this AI career coach does
The workflow described by Adiela Sam Ogide is a progress-feedback tool for students working toward career goals. It is not a job-search assistant: it does not search vacancies, analyze applications, or match a résumé to a role. It evaluates the progress a student reports and records brief feedback for that submission.

The flow connects three services: Google Forms collects the update, Make.com orchestrates the steps, and Google Sheets stores the submission and the resulting assessment. Ogide names Gemini 3.8 Flash as the model used in the tutorial; that is the author’s implementation detail, not a claim that this model name or availability is current across Gemini integrations.

1. Collect the student’s update
Create a Google Form that asks for the student’s name, career goal, and progress so far. The form responses are linked to a Google Sheet. Keep the questions specific enough that a student can describe a concrete action or outcome, rather than simply saying they are “making progress.” The quality of the assessment depends on what the student reports.

2. Trigger Make from the response sheet
In Ogide’s build, the standard Google Forms “Watch Responses” trigger did not provide the row identity needed later in the scenario. The author instead used a legacy Google Sheets “Watch Responses” module that supplied the row number. This is a description of that implementation, not a guarantee that the same module name or behavior is available in every current Make account. Check the available Google Forms and Google Sheets triggers in your Make interface, and confirm that the trigger output includes a stable way to identify the submitted row.
Test the trigger with a new form submission and inspect its output before building the update step. The important result is not a particular label in the interface; it is having both the submitted values and an identifier that lets the scenario target that exact response.

3. Send the values to Gemini with a constrained prompt
Pass the student’s name, stated career goal, and progress update into the AI step. The tutorial frames Gemini as a student career coach and asks for a concise assessment. It limits the status to “On Track,” “Needs Review,” or “Action Required,” followed by a one- to two-sentence summary assessing progress toward the student’s goal and suggesting next steps.
A prompt for this kind of workflow should distinguish observed information from inference. For example, instruct the model to base its assessment only on the provided update, avoid inventing accomplishments or barriers, and say when there is not enough information to judge progress. Ask for the status and explanation in clearly separated fields or lines so the next Make module can map them predictably. The three status labels are categories, not a validated scoring rubric; define criteria for each before using them to guide student support.

4. Write the assessment to the same row
Map the generated status and summary into the intended output columns in Google Sheets. Use the row identity from the trigger to select the row; do not assume that the latest row is necessarily the one that triggered the scenario. If the identifier is missing or mapped incorrectly, an assessment could be written to the wrong submission.
Run a test with a new form entry and verify that the output appears alongside that student’s input. Also test what happens when the AI output is blank, malformed, or missing one of the requested fields. A scenario should avoid overwriting unrelated data when an assessment cannot be parsed or the target row cannot be identified.

What the assessment can and cannot establish
The model sees self-reported progress and the prompt’s framing. The tutorial does not describe a formal rubric, verified outcome data, or a human review step. As a result, the status should be treated as a prompt-based summary for follow-up—not an objective measure of employability, effort, or career readiness.
For a student program, decide in advance which outcomes need a person to review them. “Needs Review” and “Action Required” can be useful routing signals, but they only help if someone is responsible for checking those cases. Consider requiring a staff member to review consequential feedback before it is shared or used to make program decisions.
Make’s HR materials discuss adjacent AI uses such as extracting résumé information, matching candidates to requirements, and scoring applicant fit, while noting the continuing role of recruiter judgment. Those hiring examples are not evidence that this student-progress workflow produces accurate coaching. Similarly, Make describes AI agents for workflows that need judgment over unstructured inputs; the scenario here is a fixed automation with a defined prompt and output, and should not be described as an AI Agent unless it is actually built that way.
Reliability and privacy checks before using it with students
- Check row targeting: submit multiple test responses and confirm each assessment lands in the corresponding row, including when responses arrive close together.
- Check the output format: test short, vague, and unusually long updates, plus responses that omit useful detail. Ensure unexpected AI output does not shift data into the wrong columns.
- Set escalation rules: specify what staff should do when a response signals a problem, asks for help, or lacks enough detail for a fair assessment.
- Review data handling: determine what student information is sent to the AI service, who can access the form and sheet, and what retention and sharing settings apply to each connected service.
- Monitor changes: module names, available integrations, and model options can change. Recheck the scenario after changing a trigger, connection, or AI module.
What the tutorial’s results mean
Ogide describes the build as “a system that instantly analyzes student progress reports using AI and logs customized feedback back into a database—with zero human intervention.” The tutorial also says feedback arrives within seconds and that the workflow eliminates hours of manual review. These are the author’s descriptions of the build; the account provides no measured time study or independent assessment of feedback quality. Treat them as reported outcomes, not guarantees for another program’s form, scenario, or review process.
