1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesTo turn tracked hours into client billing, your app needs more than a start button: it must connect each entry to a project, record whether the work is billable and at what rate, and produce a report the user can review and hand off for invoicing. This tutorial lays out a practical first version of that workflow—and separates invoice-ready time data from creating an invoice or collecting payment.
Define the workflow before you build
A small service business needs to answer four questions for every piece of work: who was the client, which project did it belong to, how much time was spent, and what amount—if any—should be billed? Build the app around those answers rather than around a timer alone.

- Create a client and one or more projects associated with that client.
- Start a timer or enter time manually, selecting the relevant project and describing the work.
- Mark the entry billable or non-billable and apply the appropriate rate.
- Review a client-and-date-range report, correct mistakes, then export it or pass its details into an invoice workflow.
This sequence reflects capabilities documented by time-tracking products, but the data model below is an implementation recommendation—not a schema prescribed by those vendors. Toggl describes client and project selection, billable rates, filtered reports, and exports on its time tracking for invoicing and billing page.
Choose a minimal data model
Keep the first version small, but preserve enough information to explain a charge later. A practical starting point is four records: clients, projects, time entries, and rates.

| Record | Useful fields | Why it matters |
|---|---|---|
| Client | Name and any contact or billing details the app needs | Groups projects and makes a client-level report possible. |
| Project | Client reference, project name, and optional budget or status | Lets users distinguish work for the same client. |
| Time entry | Project reference, description, start and end or duration, billable status, and rate context | Provides the evidence behind tracked hours and the amount calculated from them. |
| Rate | Rate amount, currency, scope, and effective date or other rate-history rule | Explains which rate applied when the work was performed. |
Do not treat a rate as merely a current setting if users may change it. A rate change should not silently rewrite the value of already-completed work. Store enough rate context on each entry or retain rate history so an old report remains interpretable. The cited product material documents several rate scopes, but does not establish one universal rate-history design.
Capture time without losing context
Timer entry
A timer is the quickest path when the user starts work as it happens. Its essential actions are start, pause or stop, and save. Before saving, require or prompt for a project and a short description; otherwise a report may contain hours that cannot be confidently assigned to client work.
Manual entry and corrections
People forget to start timers and may need to correct a duration. Support a manual entry with a date, start and end or entered duration, project, description, billable status, and rate context. Toggl documents timer and manual-entry workflows, including its time-entry creation help; the cited help result says it was updated July 24, 2026.
Device and calendar options
Build only the capture surfaces your users need. The sources document web, mobile, desktop, browser, and browser-extension options across products; Toggl also describes calendar and desktop automatic-tracking approaches. Harvest lists web, mobile, desktop, and browser-extension tracking in its time-tracking guide. Those examples show possible surfaces, not a requirement to ship all of them in a first release.

- Durable, Versatile Design for Any Workplace: Built with industrial-grade materials for daily durability. Its compact design installs anywhere—warehouses, retail counters, offices, schools, and healthcare facilities—for consistent performance.
Automatic activity capture is optional and changes the privacy stakes. If you add it, explain plainly what is recorded, where it is stored, who can see it, and how users can delete or disable it. A vendor’s privacy behavior is not a promise your app can borrow.
Calculate billable value transparently
Give each entry an explicit billable flag. Non-billable internal work should remain trackable without appearing as a client charge. For a billable entry, compute the amount from its billable duration and the applicable rate, while retaining the underlying hours and rate so the total can be checked.
Rate flexibility matters when a business bills differently by client, project, team member, or task. Toggl documents those rate scopes on its billing and invoicing feature page. A simpler first version can support one scope, provided the rule is visible and consistent; do not imply that every tool or workflow uses all four.

Make review and reporting part of billing
A billing report should let a user choose a client and date range, inspect the entries behind the total, and catch missing or incorrect context before sending data onward. Include project and date filters where useful, and show separate billable hours, non-billable hours, and billable amount rather than blending them.
- Show each entry’s date, project, description, duration, billable status, and applied rate.
- Provide totals that reconcile to the itemized entries.
- Make edits traceable enough that a reviewer can understand a changed duration or billing status.
- Offer a usable export for the first version, such as a structured CSV or a printable report, and state what the export contains.
Toggl documents reports filtered by client, project, and date range, with exports. Clockify describes timesheets, reports, exports, billable rates, and client-billing use on its timesheet app page. These are examples of documented capabilities, not hands-on test results or proof of identical feature sets.
If teams need controls, add them deliberately: approval states, project budgets, alerts, or profitability views can help managers review work, but they expand the product beyond basic solo time capture. Toggl describes approvals, budgets, alerts, and profitability features on its billing page; the source does not establish that these are necessary for every freelancer.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Know where time tracking ends and payment begins
There are three distinct stages: producing invoice-ready time data, creating an invoice, and collecting payment. A report or export can support the first stage without the tracker creating an invoice. Native invoice creation does not, by itself, establish that the product processes or collects payment.

For a minimal build, export reviewed entries and let the user create the invoice elsewhere. Stripe’s guide to making an invoice for hours worked discusses tracking work and preparing an invoice; it also includes a currency and accuracy disclaimer. Harvest’s help center includes an invoice guide that draws on tracked time, expenses, or fixed fees: Harvest Help Center. These sources illustrate different workflow depths; they do not verify payment-collection support for every tracker.
Only add invoice creation or payment collection when you can define the extra requirements: invoice numbering and status, client billing details, taxes or currency handling where applicable, payment-provider integration, receipts, and reconciliation. Confirm current product capabilities before choosing a specific tool or promising parity.
Build-versus-buy criteria
If the goal is a working business workflow rather than learning software development, compare products on the parts that affect the user’s complete path from work to billing:
- Capture: timer, manual correction, and the web, mobile, desktop, calendar, or extension surfaces actually needed.
- Organization: client and project assignment, plus task or team-member structure if relevant.
- Billing rules: billable status and rate scope; verify whether rate changes preserve old entries as intended.
- Reporting: client, project, and date filters; itemized detail; totals; and available export formats.
- Workflow depth: invoice-ready export versus invoice creation versus payment collection.
- Controls: review approvals, budgets, alerts, or profitability views if the business needs them.
- Commercial fit: verify current official pricing, plan limits, and feature gates before committing; the sources here do not establish 2026 prices or limits.
The cited vendor pages are useful feature references: Toggl’s project time tracking overview, Harvest’s tracking guide, and Clockify’s timesheet page. Treat them as documentation for their respective products, not evidence that current plans, limits, invoice functions, or payment features are interchangeable.
