Use Bluebeam Revu to mark each deficiency on its drawing, assign responsibility and status in the Markups List, then share and report the list through a Studio Session. The key is to treat each issue as its own markup and keep the Markups List—not a separate handwritten transcription—as the working record.
Prepare the drawings and Session
Do the setup in Revu for Windows before the walkthrough. Combine or extract PDF pages, rotate sheets, remove unneeded pages, or reduce file size as appropriate. Add page labels to make sheets easier to sort and filter in Revu’s Markups List. Page labels and Spaces do not display in Bluebeam on web and mobile, so plan the workflow around Revu if field users depend on seeing them.

Add Spaces when the team needs to organize issues by areas on a drawing. A markup created in a Space can have that Space recognized in Revu’s Markups List, even though the Space itself does not display in web or mobile. Add custom columns for project-specific fields before work begins. Then upload the drawings to a Studio Session and invite participants with suitable permissions. Bluebeam’s Studio Sessions guide for Revu lists Revu 21, a Bluebeam Core, Complete, or Max plan, a valid Bluebeam ID, and reliable internet as prerequisites for the documented Session workflow.

Record each issue during the walkthrough
- Open the Studio Session and select the correct sheet. Confirm the drawing location before adding a markup so the issue is tied to the right page and area.
- Create one markup per deficiency. Use a clear markup or a prepared Tool Set symbol, then enter the information your team needs. Bluebeam’s punch and field issues workflow instructs users to use one markup per issue.
- Set the status while the issue is fresh. Use the project’s status convention, such as Open, In Progress, and Completed, and update it as work proceeds.
- Record ownership and location. The Markups List can use Subject for discipline, Responsibility for the person or party handling the item, and Space for the drawing area. Add project-specific details in custom columns rather than burying essential tracking data in comments.
Bluebeam documents field procedures for Windows, iPhone and iPad, and Android. Photo handling differs by client: on iPhone or iPad, place a photo directly on the drawing if it must be visible in Bluebeam on web and mobile; photos attached to markups using Capture are not visible in those clients. Bluebeam’s documented Android workflow does not currently support inserting photos into drawings. Keep nearby annotations clear when placing photos directly, because additional annotations can clutter the Markups List.
Use the Markups List as the working record
Open the Markups List to sort and filter punch items by discipline, area, status, responsibility, or other fields the team has recorded. This lets reviewers isolate the work they need to inspect or resolve without manually copying drawing notes into a second list. See Bluebeam’s guide to creating a punch list with the Markups List and its instructions for tracking and managing markups.
Choose where custom columns are saved
A custom column saved to a PDF travels with that document when it is shared or uploaded to a Studio Session. A column saved to a Revu profile is available when that profile is active, but is not part of a PDF until a markup is added and the PDF is saved. Bluebeam’s custom-column sharing guidance applies to Revu 20 and Revu 21. For Revu 21, creating custom statuses is limited to Core, Complete, or Max subscribers; save a custom status to the PDF before uploading if Session collaborators need to see it.
Notify the responsible person and issue a report
Send an alert from Revu on Windows
In the Markups List, add any needed information, right-click the relevant markup, choose Alert Attendee, and select the responsible person. Bluebeam says this sends a Studio Session notification and an email alert.
Export a summary
Generate a Markup Summary Report as a PDF or CSV, selecting the columns, filters, sorting, and output options appropriate for the recipient. One reporting limitation matters: when you run a PDF report on files in a Studio Session, Append and Hyperlink to Current PDF is unavailable. If the report must be appended to and hyperlinked with the drawing PDF, download the files and run the summary from locally saved copies. Bluebeam details these options in its punch and field issues workflow.

Track completion and prepare repeat projects
As repairs progress, update each markup’s status in the Markups List and coordinate until the items are resolved. Bluebeam says offline changes sync when the user reconnects. For projects that reuse the same symbols, Revu can import a CSV prepared in Excel into a new or existing Tool Set. Include each symbol’s subject, abbreviation, and definition: the abbreviation appears on the drawing, while the definition appears in the Markups List Comments field. Follow Bluebeam’s bulk-import instructions for punch symbols.
Quick Recap
Quick workflow checklist
- Prepare and label PDFs in Revu; add Spaces and custom columns only where they help the team sort or report.
- Upload the drawings to a Studio Session and invite the participants who need access.
- At the walkthrough, make one markup per issue and capture its status, responsibility, and location.
- Choose a photo method based on which Bluebeam clients need to display it.
- Filter and sort the Markups List to manage work, alert attendees when needed, and export a PDF or CSV summary.
- For an appended, hyperlinked PDF report, download the Session files and create the report locally.
