What does it cost a small business to accept Bitcoin, how quickly does it settle, and how much price risk does the business take? The answer depends on whether you accept on-chain Bitcoin directly, use Lightning for checkout, or let a payment processor convert the receipt to dollars. Each route has separate network, processing, exchange-rate, custody, refund and operating considerations.
Receiving Bitcoin does not automatically mean “free,” and accepting it does not automatically expose every sale to Bitcoin’s price swings. The business chooses where conversion happens, who controls the wallet, and what customers can expect when a payment must be refunded.

The three decisions behind Bitcoin acceptance
Before comparing percentages, separate three decisions that are often mixed together:
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →- Payment rail: an on-chain Bitcoin transaction or a Lightning payment.
- Settlement currency: dollars, Bitcoin, or another currency supported by the provider.
- Custody: whether the business controls the wallet and private keys or a processor holds and converts the funds.
Those choices determine the actual cost, the checkout experience, the time until funds are usable, and how much Bitcoin price exposure remains after a sale.

- BITCOIN EXCLUSIVE, PHONE VERIFICATION: Bitkey is designed from the ground up exclusively for bitcoin — a dedicated hardware wallet for secure bitcoin storage. Approve transactions with a tap using your phone and NFC. No device screen is required.
- SELF-CUSTODY, NO EXCHANGE OR CUSTODIAN REQUIRED: You hold two of the three keys in the Bitkey system – one on your phone and one on your Bitkey device. The third is stored on Bitkey’s server and cannot move your bitcoin on its own.
- NO SEED PHRASE: Set up and use Bitkey without creating or storing a seed phrase.
- 2-of-3 MULTISIG: Three keys are stored separately across your phone, Bitkey device, and Bitkey’s server. Any two keys are required to move your bitcoin.
- BUILT-IN RECOVERY: Encrypted backup and recovery tools can help you regain access if you lose your phone or Bitkey device. You can also designate a Recovery Contact.
What fees can a small business incur?
Bitcoin acceptance has a cost stack rather than one universal “Bitcoin fee.” Compare every layer for the payment mix you expect.
| Cost layer | What it covers | How to evaluate it |
|---|---|---|
| On-chain network fee | The fee attached when Bitcoin is spent or moved on the blockchain. | Bitcoin.org’s business guidance says receiving Bitcoin itself does not incur a Bitcoin network fee. When the business later spends or transfers Bitcoin, its wallet selects a fee based on transaction data size and the desired confirmation speed. It is not a percentage of the amount received. |
| Lightning routing or payment cost | The cost of routing a Lightning payment through the network or a service. | Bitcoin.org describes Lightning as having minimal fees for small payments, but wallet and service terms vary. No single universal Lightning rate is established. |
| Processor fee | A charge for checkout, conversion, settlement or other processor services. | Read the provider’s current fee schedule separately from Bitcoin network fees. As one dated US example, Square lists a 0% Bitcoin processing fee through December 31, 2026, and 1% after that date. |
| Conversion spread | The difference between a reference Bitcoin price and the rate used to convert a sale into dollars. | Ask whether the quoted exchange rate includes a markup. A clearly displayed percentage does not prove that the exchange rate itself has no spread. |
| Operating cost | Reconciliation, accounting, staff training, support, custody controls and refunds. | No standard dollar amount is established for these activities. Estimate them from your own order volume and staffing. |
The IRS Advisory Committee on Taxation (IRSAC) has recommended that a proposed IRS crypto payment service show fees as separate line items instead of hiding them in the exchange rate. That is a procurement recommendation, not a general rule imposed on small businesses, but it is a useful standard when comparing providers.
Do not claim that Bitcoin acceptance always costs less than cards. Compare your processor’s fee, conversion rate, settlement destination, payment type and fixed operating work against the alternatives for your actual sales mix.
Compare the available acceptance routes
| Route | Settlement and price exposure | Customer experience and confirmation | Business responsibility |
|---|---|---|---|
| Direct on-chain Bitcoin | Funds arrive as Bitcoin unless you sell them. Keeping them leaves the business exposed to price changes until a later sale or spend. | Customers send an on-chain transaction. Confirmation expectations depend on network conditions and the risk level the merchant accepts; no fixed settlement time is universal. | The business chooses a wallet, protects keys, decides when to convert, and creates its own refund process. |
| Lightning checkout | Usually suited to small payments. The business can keep the payment in Bitcoin or convert through a service; exposure depends on that choice. | Bitcoin.org describes Lightning as near-instant with minimal fees, including for small amounts. Actual speed, routing and wallet behavior can differ by provider. | The business or its provider must maintain Lightning liquidity, wallet access and a way to reconcile payments. |
| Processor-managed acceptance | A processor may convert immediately to dollars, reducing exposure after conversion, or allow Bitcoin settlement, which retains exposure. | Checkout may use a QR code or supported tap method. The processor defines quote validity, limits, settlement timing and refund mechanics. | Verify eligibility, hardware, country and state availability, fees, exchange-rate treatment and the provider’s support policy. |
These routes are not interchangeable. A processor that supports Bitcoin does not necessarily support every on-chain, Lightning, custody or settlement option.
How dollar pricing and Bitcoin amounts work
Most small businesses keep their catalog and invoices denominated in dollars. At checkout, software takes the dollar price and converts it to satoshis—the smallest Bitcoin unit—using a current exchange rate. Bitcoin developer documentation explains that exchange-rate variability is why many Bitcoin orders are priced in national currency first.

Tell the customer which rate is being used and how long the quote remains valid. A quote that expires can produce an underpayment or a rejected payment if Bitcoin moves while the customer is checking out.
Immediate dollar settlement
If a provider converts as soon as the payment is accepted, the business generally avoids holding Bitcoin after that conversion. Square’s US documentation says sellers who choose dollar settlement receive immediate conversion to USD. This reduces post-payment exposure, but it does not establish that every provider converts instantly or that all quote-to-settlement slippage disappears.

Bitcoin settlement
When the business keeps Bitcoin, its dollar value can rise or fall before it is sold or spent. Square states that sellers are responsible for capital gains or losses caused by value changes between receipt and a later sale. Direct acceptance gives the merchant control over custody and conversion timing, while also making wallet security the merchant’s responsibility.
How quickly does a Bitcoin payment settle?
Lightning
Lightning is designed for checkout-sized payments and is described by Bitcoin.org as near-instant with minimal fees. Treat that as a description of the network’s intended experience, not a guarantee for every wallet, routing path or processor. A payment can still fail because of an expired quote, insufficient channel liquidity, wallet errors or a provider’s own timeout.
On-chain Bitcoin
No fixed merchant settlement time can be promised from the available guidance. Confirmation depends on transaction conditions and the merchant’s risk tolerance. A business selling high-value goods may wait for more assurance than a café selling a low-cost item. Decide in advance whether an unconfirmed transaction is enough for a particular order, and train staff to check the payment status rather than relying on a customer’s screenshot.

Processor timing
A processor can separate customer payment acceptance from merchant settlement. Read whether “settled” means the transaction is accepted, converted, deposited to a bank account, or merely credited to a processor balance. Those are different events.

Square’s US support documentation checked October 13, 2026, illustrates how specific—and temporary—provider terms can be. It says eligible sellers can accept Bitcoin by QR code, choose dollar or Bitcoin settlement, and use Lightning-enabled NFC tapping on Square Register (2nd generation). The same documentation lists:
- A 0% Bitcoin processing fee through December 31, 2026, followed by 1% thereafter.
- A maximum individual transaction equal to the current market equivalent of $600.
- A $20,000 daily limit.
- Unavailability for businesses or locations in New York, with eligibility determined by Square.
- No chargeback or dispute handling for Bitcoin payments.
For invoices, Square says eligible sellers can keep the invoice denominated in dollars, accept a Lightning payment that converts automatically to USD, or choose Bitcoin settlement. Its invoice documentation lists a $2,500 maximum Bitcoin invoice amount and excludes New York, US territories and sanctioned jurisdictions.
These are product terms for one provider and geography, not market-wide limits. Fees, limits, supported hardware and eligibility can change, so check the provider’s current documentation immediately before enabling the feature. The cited terms do not establish availability or legal treatment for businesses outside the United States.
Refunds, disputes and finality
Bitcoin payments are generally irreversible once sent, according to Bitcoin.org. That changes customer service: a mistaken payment cannot be reversed through the Bitcoin network in the way a card chargeback can be initiated.

Square says it does not handle disputes or chargebacks for Bitcoin payments and documents refunds through store gift-card value. That is a provider-specific process, not a universal Bitcoin rule. Before launch, write down:
- How a customer requests a refund and what proof of purchase is required.
- Whether the refund is in dollars, Bitcoin, store credit or another method.
- Which exchange rate and timestamp apply when the refund amount is calculated.
- Who approves a refund and how staff record it.
- What happens if a customer pays an incorrect amount or sends funds to the wrong address.
Custody and security obligations
Keeping Bitcoin means protecting wallet credentials, recovery material and device access. Bitcoin.org notes that accepting Bitcoin avoids handling customers’ card data but does not remove the need for wallet security. Limit wallet access by role, protect recovery information offline, and separate checkout devices from everyday browsing where practical.
A hardware wallet can be considered as an optional custody tool, but suitability depends on the business’s controls and transaction volume. The cited guidance does not establish that any particular device is appropriate.

Reconcile each payment in both the sale currency and the settlement asset. A practical record includes:
- Dollar sale value and Bitcoin amount received.
- Date and exact payment timestamp.
- Exchange rate used for the quote and the source of that rate.
- Network, routing or processor fee shown separately.
- Settlement currency and the date funds became available.
- Wallet or processor transaction identifier.
- Any later sale, spend, refund or conversion of the Bitcoin.
Square expressly places responsibility for gains or losses on sellers who retain Bitcoin until a later sale. Tax treatment varies by jurisdiction and by the business’s facts, so use current official tax guidance and a qualified tax professional rather than assuming that a processor’s conversion settles every reporting obligation.

Set up Bitcoin acceptance in a controlled rollout
- Choose the route. Decide whether your customers need on-chain payments, Lightning, processor-managed checkout or a combination. Base the choice on order size, desired speed, custody tolerance and geography.
- Set the settlement policy. Choose dollars to reduce post-payment Bitcoin exposure, or Bitcoin if holding the asset is intentional. Document who can change that setting.
- Define quote rules. State the exchange-rate source, quote duration, rounding method and what happens when a payment arrives late or short.
- Configure the wallet or processor. Verify account eligibility, supported hardware, transaction and invoice limits, bank settlement details, and the exact fee schedule.
- Test small payments. Run an on-chain or Lightning test, confirm the receipt, check the amount after fees, and verify how the transaction appears in your accounting records.
- Train staff. Show employees how to display a QR code, recognize a completed payment, handle an expired quote and follow the refund policy. Never treat a customer’s screenshot as proof of settlement.
- Publish customer terms. State accepted payment types, quote validity, refund method, support contact and any amount limits at checkout and on invoices.
- Review monthly. Check provider terms, conversion spreads, failed payments, refunds, wallet access and reconciliation differences. Time-sensitive fees and eligibility can change.
Common failure modes and fixes
The customer paid, but the register still shows unpaid
Check whether the payment is on-chain and awaiting the confirmation policy, or whether a Lightning route failed. Compare the transaction identifier and amount with the invoice before delivering a high-value item.
The quote expired
Issue a new invoice or cart instead of asking the customer to guess the difference. Square documents a five-minute behavior for its Lightning flow: a payment taking more than five minutes can be declined and require a new cart at the updated exchange rate. That timeout is Square-specific.
The received amount is lower than expected
Separate an underpayment from a displayed processor fee, network fee or exchange-rate spread. Preserve the original quote, timestamp and transaction data so staff can identify which layer changed the result.
A customer requests a card-style chargeback
Explain that Bitcoin transfers are irreversible and apply the published refund policy. If a processor offers store credit rather than a network reversal, record the credit and the original payment together.
The business cannot use the feature
Recheck country, state, account eligibility, hardware, invoice amount and daily limits. A New York restriction or a sanctioned-jurisdiction exclusion for one provider does not describe every Bitcoin service, but it does block that provider’s documented workflow.
Which route fits which business?
- Choose direct on-chain acceptance when you want control over custody and conversion timing and can manage confirmation, key security and refunds.
- Choose Lightning when fast, small checkout payments matter and you can support the required wallet or service. Confirm liquidity, timeout and fee terms before relying on it for busy periods.
- Choose dollar settlement through a processor when predictable currency exposure and simpler reconciliation matter more than holding Bitcoin. Check the processor’s spread, fee, limits, geography and refund policy.
- Use a mixed policy when low-value purchases can use Lightning while larger orders require additional confirmation or automatic conversion.
The least painful setup is the one whose settlement, custody, refund and support responsibilities are explicit before the first customer pays. Treat provider pricing and limits as changeable terms, not permanent properties of Bitcoin.
