You can customize Outlook’s colors, dark mode, mailbox density, reading pane, message list, and text using built-in settings—no AI-generated theme required. First identify which Outlook you use: new Outlook for Windows, classic Outlook for Windows, Outlook.com, or Outlook on the web. Their controls and menu paths differ.
Microsoft Support describes the goal as making the mailbox look and behave as you want. Its mailbox appearance guide covers built-in layout and display controls for Outlook.com and Outlook on the web.

Identify your Outlook version first
Menu names are not interchangeable across Outlook. New Outlook for Windows and Outlook on the web have some similar controls, but classic Outlook has its own Office theme and view settings. Outlook.com’s density controls are documented separately from new Outlook’s message-list options.
- New Outlook for Windows: Use the newer Outlook app on Windows; its Appearance settings are under Settings > General.
- Classic Outlook for Windows: The desktop application with File and the traditional ribbon. Its overall color theme is set through Office Account, while message-list fonts are configured in View Settings.
- Outlook.com or Outlook on the web: Outlook in a browser. Appearance and layout settings are available from Settings or View, depending on the option.
Some controls vary by account and experience, and Microsoft’s help pages describe different options for different versions. If a path below is missing, check which version you have before assuming the setting is unavailable altogether.

Choose a theme and set dark mode
New Outlook for Windows
Open Settings > General > Appearance. Choose Dark, Light, or Use system settings where offered, then save. The system option follows the appearance setting on your device.
Classic Outlook for Windows
Go to File > Office Account > Office Theme and choose Black for dark mode. This Office theme applies to Microsoft 365 desktop applications, not just Outlook. To keep message backgrounds white while using the Black theme, open File > Options > General and select Never change the message background color.
Outlook.com and Outlook on the web
Open Settings > General > Appearance, then choose a theme or select Dark mode. To turn dark mode off, choose Light or Use system settings where available. Microsoft’s instructions cover both Outlook’s dark-mode settings and the web version’s dark mode.

Dark mode changes more than the surrounding menus: it can also affect the message-reading background. If you want a darker interface but prefer a light message area, use the controls available in your version.

New Outlook for Windows
Choose View > Light Reading Pane to keep the reading pane light. To show a message with its original formatting while reading, select Turn on the lights at the top of the reading pane; if it is not visible there, look under More.
Outlook.com and Outlook on the web
When reading a message in dark mode, select Turn on the lights to view its original formatting on a lighter background. This changes the reading experience for the message; it is not a custom theme.
Classic Outlook for Windows
If you choose the Black Office theme but want message backgrounds to remain white, enable Never change the message background color under File > Options > General.
Adjust mailbox density and reading-pane placement
Color theme and mailbox layout are separate choices. Density affects how much information fits on screen; the reading pane determines whether the selected message appears alongside or below the list.

Outlook.com and Outlook on the web
Use View > Density to choose among these documented layouts:

| Cozy | Preview text with some spacing |
| Compact | Preview text with minimal spacing |
For pane placement, open View > Layout > Reading pane and select right, bottom, or hidden. Layout settings also control message organization and conversation display. Some newer web experiences may instead offer Fill screen or Popout, and may let you put the sender or subject first in the message list; options depend on the experience available to your account.
New Outlook for Windows
Microsoft documents reading-pane choices of Right, Bottom, Fill screen, and Popout for this version. Message-list formatting can put the sender name or subject first.

Change fonts and text size without confusing the controls
Outlook has separate settings for the text you compose, the message list, and the reading pane. Changing one does not necessarily change the others.
New Outlook for Windows: composed email
Go to View > Settings > Mail > Compose. Under Message format, adjust the font, size, and style, then save.
Outlook.com and Outlook on the web: composed email
Open Settings > Mail > Compose. Set messages to HTML format, choose the font and size, then save.
Classic Outlook for Windows: message list and composed email
For the message list, open View > View Settings > Other Settings. Use Column Font or Row Font as appropriate; Message Preview has its own font control. For default composition fonts, go to File > Options > Mail.
Reading-pane text size
Microsoft’s guidance points to zoom for changing reading-pane text size: use View > Zoom in new Outlook. In classic Outlook, the reading pane does not provide a setting for changing its default font or size, so zoom is the available adjustment described in Microsoft’s view guidance. Choose settings for legibility and accessibility
There is no single theme that is inherently best for everyone. Choose light or dark presentation based on what is comfortable for you, and treat message content separately if its background or formatting is difficult to read.
- For email text color, Microsoft recommends Automatic so text can display appropriately in high-contrast mode.
- Use Outlook’s Accessibility Checker to identify issues such as insufficient contrast in a message.
- When composing email, adjust the font and size for readable content rather than relying on a color theme to fix the message.

A practical way to combine the settings
- Identify the version. Use the matching paths above rather than following instructions for a different Outlook app.
- Set the overall appearance. Pick Light, Dark, or the system setting where available; in classic Outlook, choose an Office Theme.
- Test the message background. If dark mode makes email content hard to read, use the light-reading control or preserve white message backgrounds where the version supports it.
- Set your information density. In Outlook.com or Outlook on the web, choose Roomy, Cozy, or Compact based on whether previews or more list rows matter most.
- Position the reading pane. Choose right, bottom, hidden, or the version-specific alternative that gives you the balance of list and message space you want.
- Adjust text in the relevant place. Use composition-font settings for outgoing messages, message-list font settings in classic Outlook, and zoom for reading-pane text.
- Check accessibility. Use Automatic font color and the Accessibility Checker when composing email.
