Use an arrow for one control, an outlined shape for a larger area, a restrained highlight when the interface must remain readable, and numbered markers for a sequence. Check the image at its final published size and inspect it for private information before sharing.
Start with the point the screenshot needs to make
Decide what a reader should find, understand, or do after looking at the image. Capture the interface state that supports the accompanying sentence or procedure—not every part of the website. For one button, field, or dialog, a selected region or window may provide enough context. For a long page, scrolling capture can help, but a tall screenshot is useful only if readers can still read it at the size used in the documentation.
Leave enough surrounding interface to show where the relevant control lives. Then crop unrelated content that distracts from it. A tightly cropped control with no context can be as confusing as a full page with no focal point.
Choose an annotation that matches its job

Make annotations readable in the published page
- Keep the number of marks low. If several controls need explanation, consider splitting the procedure into multiple images rather than crowding one capture.
- Use short in-image labels only when they add information the surrounding text cannot convey more clearly.
- Check text, arrowheads, outlines, and numbered markers at the screenshot’s actual display size—not only while zoomed in in an editor.
- Make sure a mark does not cover the control, its label, or other information a reader needs to interpret the screen.
- For a sequence, keep the markers in the same order as the written instructions and make each target unambiguous.
Protect private information before sharing
Inspect the entire capture, including browser chrome and corners. Look for names, email addresses, private URLs, file paths, access tokens, and account details. Cropping sensitive information out is usually safer than merely covering it visually, as ShareX’s editor documentation advises. If you use blur or pixelation, inspect the exported image closely before publication; this is product guidance, not an independent security test.
Do not assume that information is safe simply because it is small or outside the area you meant to document. Review the final saved or exported image, not just the editable project, before it enters a public guide or support article.

Follow a repeatable capture, annotate, and review workflow
- Define the reader’s task. Write down the specific interface state or action the image should explain.
- Capture the necessary scope. Use a region or window for a focused control or dialog; use scrolling capture for a longer page only when the result will remain legible.
- Crop distractions. Keep enough context to identify the control’s location, and remove unrelated page content where possible.
- Add only the needed marks. Use an arrow, outline, highlight, numbered markers, concise label, or magnified inset according to the task.
- Inspect privacy and accuracy. Check the full image for sensitive details and confirm every mark points to the intended element.
- Review the export in context. Check the image at its final article size for readability, clipped labels, and obscured controls. Save or publish the reviewed version.

Before settling on a workflow, check practical requirements separately: capture scope, annotation types, redaction and review steps, whether edits remain available before final output, export or handoff options, platform and organizational policy, and whether page URL or capture-date metadata matters.

Should a screenshot show the browser address bar?
Include it only when the URL or browser context helps readers identify or verify the page. Otherwise, crop it out—and check it for private URLs or account information before sharing.

Should annotations be added before or after cropping?
Usually crop first, then place marks against the composition readers will see. If you change the crop afterward, recheck that annotations still point to the intended targets and are not cut off.
