For a small SugarCRM team, start with a Linux VPS offering root access, at least 2 performance-oriented vCPUs, 8 GB of RAM, and SSD or NVMe storage. Add automated snapshots or an independent backup target before production. DigitalOcean is the easiest general-purpose choice when you want clearly documented shared and dedicated CPU options; Hetzner is a strong alternative for privacy- and price-conscious administrators who are comfortable managing the entire server.
Those figures are a practical starting point, not an official SugarCRM minimum. SugarCRM’s documentation does not publish one universal vCPU or RAM table, so final sizing depends on concurrent users, reporting, search indexing, integrations, attachments, and measured load.

DigitalOcean is the most straightforward recommendation when you want a simple path from a small shared-CPU server to dedicated CPU or memory-heavy resources. Its current Droplet documentation lists Basic shared plans with 1–8 vCPUs and 1–32 GB of RAM; dedicated general-purpose plans with 2–48 vCPUs and 8–240 GB; CPU-optimized plans with 2–48 vCPUs and 4–120 GB; memory-optimized plans with 2–32 vCPUs and 16–384 GB; and storage-optimized plans with 2–32 vCPUs, 16–384 GB of RAM, and 146–225 GB of SSD per vCPU (DigitalOcean, 2026).
Hetzner suits administrators who prioritize transparent infrastructure, root control, and privacy and who accept more operational work. Its guidance is explicit that self-hosting puts you “in charge of updates, backups, and availability.” You must therefore build the security, monitoring, backup, and recovery process rather than treating the VPS as a fully managed SugarCRM service.

No provider is universally best. Compare the Linux images, PHP and database flexibility, CPU model, RAM, SSD or NVMe performance, root and firewall controls, backup and restore workflow, region and data-residency options, support documentation, bandwidth, snapshots, block storage, and managed-service charges.

SugarCRM is a PHP web application backed by a database. SugarCRM’s Sugar Enterprise 26.1 installation guide states: “Installing Sugar requires a web server running PHP and a database server.” A VPS that cannot run the required PHP release, extensions, database driver, or file permissions is unsuitable regardless of its advertised CPU speed.
Web, PHP, and filesystem prerequisites
The 26.1 guide lists these PHP modules: bcmath, curl, gd with FreeType, gmp, hash, imap, json, mbstring, openssl, SimpleXML, soap, zip, and zlib. It also requires secure random-token support and Blowfish cipher support. Confirm the exact PHP version and extension package names for the Linux distribution and SugarCRM release you will install; package names and available versions vary by distribution.

SugarCRM directories must be writable by the account used by the web server. Apply the narrowest ownership and permissions that permit uploads, cache generation, configuration changes, and scheduled jobs. Do not make the entire document root world-writable. Test a file upload, cache rebuild, scheduled job, and upgrade operation before opening the system to users.
Database choices
SugarCRM’s database documentation says all Sugar products support MySQL and Microsoft SQL Server. Sugar Enterprise and Ultimate additionally support DB2 and Oracle (SugarCRM Support, 2025). Your VPS image, database package, and PHP driver must match the edition and version you selected.
You can run the database on the same VPS for a small installation, but keep database files on fast persistent storage and monitor contention between PHP workers, database activity, background indexing, and backups. An external managed database can separate failure domains and simplify database maintenance, but verify supported versions, TLS, network latency, firewall rules, backup scope, and the cost of data transfer before choosing it.
SSL and scheduled processing
Use a signed SSL certificate. HTTPS protects credentials, session cookies, API calls, and CRM data in transit. SugarCRM also relies on scheduled cron processing for full system indexing. Confirm that the cron service runs under the intended user, logs failures, and executes at the interval required by your deployment.
How much CPU, RAM, and storage should you provision?
There is no official universal SugarCRM vCPU/RAM minimum in the reviewed SugarCRM documentation. Treat the following as planning baselines and validate them with real workload measurements.

Why RAM matters
RAM is shared by the operating system, database buffer pool, PHP runtime, web server, search and indexing work, cron processes, and file cache. An installation can appear healthy at idle and still fail during imports or reports if memory pressure forces swapping. Watch available memory and swap activity during the busiest realistic test, not only during a quiet afternoon.

Shared CPU is reasonable for a lightly used CRM whose response times remain consistent. Dedicated CPU becomes worthwhile when concurrent users, scheduled indexing, dashboards, data imports, API integrations, or reporting jobs compete for compute time. Move to dedicated CPU when monitoring shows sustained CPU saturation or highly variable response times that correlate with neighboring-workload contention. More vCPUs do not fix an undersized database, slow storage, missing indexes, or an inefficient report.
Storage planning
Account for the operating system, SugarCRM code, database files, uploaded documents, logs, temporary files, snapshots, and growth. SSD or NVMe storage is preferable for database and index workloads. Keep free space available for database maintenance and upgrades; a nearly full volume can prevent writes, break logs, and make recovery harder. Put large, long-retention backups on an independent destination rather than consuming the only production volume.
DigitalOcean versus Hetzner for a SugarCRM VPS
DigitalOcean: simplest documented scaling path
DigitalOcean describes Droplets as Linux-based virtual machines. Its published families let you begin with shared CPU and later select dedicated general-purpose, CPU-optimized, memory-optimized, or storage-optimized resources. That breadth is useful when SugarCRM changes from a small contact database into a busy system with reports, indexing, integrations, and large attachments.
Before deployment, verify that the chosen Linux image can install the PHP version and extensions required by your SugarCRM release, that the selected region meets your data-residency needs, and that snapshots, volumes, bandwidth, and backup services fit the total budget. A simple control panel does not remove the need to patch the operating system, restrict ports, monitor services, and test restores.

Hetzner: control with more responsibility
Hetzner’s self-hosting guidance recommends root-access servers, a firewall exposing only required ports, Fail2Ban, backups before production, restore testing, monitoring and alerts, and written documentation. It also lists ISO/IEC 27001:2022 and BSI C5 Type 2 certifications and GDPR compliance. Those certifications describe the provider’s controls; you must still evaluate your own legal basis, contracts, retention rules, access controls, and data-residency obligations.
Hetzner is a good fit when your team can administer Linux and wants direct control over the stack. It is a poor fit if nobody owns patching, incident response, backup verification, or recovery testing. The lower infrastructure bill of an unmanaged server is not a substitute for those operational tasks.
Deployment checklist: from empty VPS to SugarCRM
- Confirm the edition and compatibility matrix. Record the SugarCRM release, supported PHP version, database engine and driver, required extensions, cron requirements, and storage expectations. If you use an external database, document its supported version, TLS mode, network path, and backup policy.
- Select a supported Linux image and region. Choose a distribution that can receive security updates for the full planned service life. Pick a region that satisfies latency and data-residency requirements for your users and records.
- Create an administrative path that is not the public root login. Add a named administrator account, use key-based authentication, protect the recovery credentials, and disable password authentication or direct root login according to your provider’s recovery process.
- Apply the host firewall. Expose only SSH (preferably restricted to trusted addresses), HTTPS, and HTTP only when it is needed for certificate issuance or redirection. Keep the database port private unless a documented architecture requires remote access.
- Patch the operating system before installing the application. Reboot when required, remove unused services, set the correct time zone and time synchronization, and enable automatic security updates where they are compatible with your change-control process.
- Install the web server, PHP, extensions, and database. Use the package and repository versions compatible with SugarCRM. Verify every required module, including FreeType support for
gd, cryptographic support, XML, SOAP, IMAP, and ZIP. - Create the database and least-privilege application account. Use a strong, unique secret, restrict database network access, enable encrypted connections where the topology requires them, and record the backup and restore commands in your runbook.
- Deploy SugarCRM and set ownership. Place application files outside temporary directories, assign ownership to the web-service account only where needed, and test uploads, cache writes, logs, and configuration changes without granting broad write permissions.
- Enable HTTPS. Install a signed certificate, redirect HTTP to HTTPS, renew it automatically, and verify that cookies, API endpoints, webhooks, and integrations use secure URLs.
- Configure cron and indexing. Run the scheduled jobs under the intended account, capture output and errors, and confirm that full system indexing completes. An installation that works in the browser but never runs cron is incomplete.
- Build a staging or recovery copy. SugarCRM recommends performing upgrades on a test or backup copy of production. Restore a recent backup into an isolated environment, apply the upgrade there, test login, records, reports, integrations, and scheduled jobs, then schedule the production change.
- Document the system. Record provider, region, IP addresses, DNS, certificate renewal, package versions, firewall rules, cron entries, database credentials location, backup retention, restore steps, and emergency contacts.
Backups and restore testing
Backups must exist before the first production application goes live. Hetzner’s guidance puts the requirement plainly: “Before your first production application goes live, make sure your backup is up and running, and test your restore before you need it.” A backup that has never been restored is an assumption, not a recovery plan.
Use more than one recovery layer
- Provider snapshots or native backups: Useful for fast rollback of a VPS or volume, but verify retention, consistency, encryption, region, and whether databases are quiesced before capture.
- Application-consistent database backups: Export the SugarCRM database with a method appropriate to the engine, and include uploaded documents, configuration, customizations, and integration secrets required to rebuild the application.
- Independent storage: Keep encrypted copies outside the production VPS and preferably outside the provider account or region. This protects against accidental deletion, account compromise, and infrastructure failure.
- Restore drills: Periodically create a clean VPS, restore the database and files, point the application at the restored data, and verify records, attachments, users, reports, cron, and integrations.
DigitalOcean’s SnapShooter documentation says the service can back up servers, volumes, databases, and applications. Its native integrations are documented for AWS, Amazon Lightsail, DigitalOcean, Exoscale, and Hetzner, with optional S3-compatible storage providers (DigitalOcean, last verified 2025). Treat such a service as an optional addition, not a replacement for understanding SugarCRM’s database and file-consistency requirements.
Security and availability controls
- Use HTTPS with a signed certificate and renew it before expiration.
- Keep the operating system, PHP, web server, database, and SugarCRM patched within their supported compatibility ranges.
- Restrict inbound ports with a host and provider firewall; never expose the database publicly without a documented reason.
- Use key-based administration, least-privilege accounts, strong unique secrets, and a protected password manager.
- Deploy Fail2Ban or an equivalent control where appropriate, especially for exposed SSH and authentication endpoints.
- Monitor CPU, RAM, swap, disk latency, free space, database health, PHP errors, cron completion, certificate expiry, and backup freshness.
- Alert on failed backups, failed cron jobs, exhausted storage, repeated authentication failures, and sustained resource saturation.
- Keep a written incident and restore procedure so another administrator can recover the service.
Common failure modes and fixes
“The installer reports a missing PHP module”
Compare the installer’s list with the modules loaded by the web server’s PHP runtime, not only the command-line PHP binary. Install the matching package for the active PHP version, restart the web service, and rerun the requirement check.
Uploads or cache writes fail
Check directory ownership, permissions, mandatory access controls, available disk space, and the PHP upload and temporary-directory settings. Correct the specific SugarCRM directories instead of making the whole application tree writable.
Pages become slow during indexing or imports
Check CPU saturation, swap, database latency, disk wait, PHP worker limits, and cron overlap. Schedule heavy jobs outside peak hours, reduce competing tasks, optimize the database according to supported guidance, or move to dedicated CPU or additional memory when measurements show resource contention.
Users can log in but scheduled work never completes
Inspect cron logs, the execution user, PHP command-line version, file permissions, system time, and network access to required services. Run the job manually as the cron user and capture its error output before changing schedules.
A restore starts but the CRM is incomplete
Confirm that the restore includes both the database and uploaded files, along with configuration, custom code, certificates, and integration credentials. Repeat the drill from a clean VPS and document every missing dependency.
Total cost beyond the VPS headline price
Calculate the monthly total for the VPS, snapshots, block storage, independent backup storage, bandwidth or transfer, managed database services, monitoring, support, domain and certificate services, and any implementation work. A smaller server that repeatedly swaps or requires emergency administration can cost more than a correctly sized dedicated-CPU instance. Conversely, buying oversized resources before measuring workload wastes budget without improving a bottleneck elsewhere.
A practical decision framework
- Choose DigitalOcean when you want clearly documented resource families and an uncomplicated path from shared CPU to dedicated or memory-heavy Droplets.
- Choose Hetzner when your team is comfortable owning Linux operations and values direct control, privacy, and transparent infrastructure responsibilities.
- Choose a separate database when database contention, recovery objectives, compliance requirements, or independent scaling justify the added network and administration complexity.
- Stay on shared CPU when measured peak performance is stable and no resource is persistently saturated.
- Move to dedicated CPU or more RAM when monitoring links slow response, indexing delays, reports, or imports to sustained compute or memory pressure.
- Do not launch production until HTTPS, firewalling, patching, tested backups, restore documentation, and cron monitoring are in place.
