The right speech-to-text app depends first on whether you are speaking into a document now or turning an existing recording into one. For live writing, use Word Dictation for Microsoft 365 documents, Google Docs Voice Typing for Google Docs, or macOS Dictation to enter text in a Mac app. For an already-recorded voice message, Word Transcribe offers an upload-and-edit workflow; Otter is worth considering when you also need to retain, search, or share conversations.
Do you need to dictate live or transcribe a recording?
Live dictation places words in an editable document as you speak. Recording transcription starts with audio that already exists—such as a voice memo—and converts it into text. These are different workflows, so choose based on the source audio before comparing features.

Microsoft Word: dictate or transcribe
Choose Word Dictation when you want to compose, outline, or take notes in a Microsoft 365 document while speaking. It requires a microphone and reliable internet. You can speak punctuation, navigation, and special-character commands as part of drafting.

For a voice message you have already recorded, Word Transcribe accepts WAV, MP4, M4A, and MP3 files, and can also record directly in Word. Its transcript separates speakers and includes timestamps that you can use to play back the recording while editing. Insert the full transcript or selected snippets into a Word document.
Google Docs: speak into the document
Google Docs Voice Typing is for live dictation, not a general workflow for uploading an existing audio memo and receiving a transcript. Google also documents voice typing and voice editing in Docs, as well as dictation for speaker notes and captions in Slides. Speak clearly at a normal volume and pace; you can correct text in place while dictating.

Mac: dictate at the insertion point
macOS Dictation enters speech wherever the insertion point is active in an app. Start it with the microphone key, a keyboard shortcut, or the Edit menu. You can select languages and switch while dictating where supported. This is a convenient way to enter text in a Mac app, but it is not the same as choosing a recorded-audio transcription service.

Otter: keep conversation transcripts
Otter is a better fit to consider when the goal extends beyond putting words into a document—for example, keeping, searching, or sharing transcripts of meetings and conversations. Its pricing page describes meeting and imported-file transcription limits that vary by plan. Check the current plan details before relying on a particular allowance.

Where is the audio stored and how is it processed?
For workplace use, consider the audio itself—not just the finished text. Voice messages may contain customer details, internal plans, or other information governed by company policy.
- Word Dictation: Microsoft says, “This service does not store your audio data or transcribed text.” It also says utterances are sent to Microsoft to provide text results. Read the Word Dictation privacy and troubleshooting information in context.
- Word Transcribe: Uploaded or recorded audio is saved in the Transcribed Files folder in OneDrive. Microsoft’s instructions explain how to delete it there. Check that storage location against your organization’s retention rules before uploading a work recording.
- Google Docs Voice Typing: Google says, “When you turn on voice typing or captions, your web browser controls the speech-to-text service.” The browser sends text to Docs or Slides. See Google’s explanation of voice typing for the feature’s processing context.
- macOS Dictation: Apple says you can check in Keyboard settings whether general text Dictation requires an internet connection or is processed on device and not sent to Siri servers. The handling depends on the setting; do not assume every mode or query field is processed on device. Language and region availability also varies.
- Otter: Otter’s privacy page says users control transcript and recording sharing, and that staff access for troubleshooting or manual human review requires explicit customer consent. These are Otter’s statements, not an independent privacy audit.
If your employer requires approved tools or restricts cloud uploads, follow that policy before dictating or uploading a recording.

Will it work in my browser and language?
- Google Docs Voice Typing: The current help page lists Chrome, Edge, and Safari. You need a working computer microphone. The page does not establish offline support, so do not count on it without checking your setup.
- Word Dictation: Plan on a microphone and reliable internet. If speech is missed, Microsoft recommends checking the connection and microphone, reducing background noise, and speaking deliberately.
- Word Transcribe: Confirm that your audio file is one of the supported formats—WAV, MP4, M4A, or MP3—and that the feature is available with your account.
- macOS Dictation: Availability depends on language and region. Check your Mac’s language options and Keyboard settings for the exact feature behavior available to you.
How many minutes are included?
Transcription allowances and plan terms can change. Microsoft’s support documentation checked on October 4, 2026, lists these monthly Word Transcribe allowances for uploaded audio:

Otter’s pricing page lists plan-dependent limits for meetings and imported files. The page checked October 4, 2026 showed examples including 300- and 1,200-minute limits for certain tiers and unlimited usage for higher tiers. The exact cap, price, and definition of included minutes depend on the current plan; confirm them on the live page rather than treating a listed limit as permanent.
How should you compare speech-to-text results?
No independent comparison here establishes a most-accurate app. Recognition can vary with audio quality, background noise, speaking pace, language, and names or specialist terms. A short trial with your own material is more useful than choosing based on an unsupported accuracy claim.
- Pick a representative paragraph to dictate, or a short recording similar to the voice messages you actually receive.
- Try it in the tools that fit your destination and workflow—for example, Word Dictation versus Google Docs Voice Typing for live drafting, or Word Transcribe versus Otter for an existing recording.
- Review names, punctuation, missing or misheard words, and how much correction the text needs.
- Check how easily you can get the finished text into the document where it belongs, along with any timestamps or speaker separation you need.
- Before using real work audio, confirm the processing, storage, sharing, and retention arrangements comply with your workplace policy.
If dictation regularly misses words, first try a quieter space, a reliable connection, and deliberate speech. Microsoft also recommends checking the microphone; a different microphone may help, but is an optional troubleshooting step rather than a requirement.
