Best Social Media Approval Tools for Agencies: 5 Options Compared

Compare five agency social media approval tools by client review access, approval sequence, roles, and plan eligibility.

The best social media approval tool for an agency depends on how clients review content, how many sign-offs are required, and which subscription plan includes the workflow. Based on vendor documentation—not independent testing—Planable promotes multi-level approvals, Later supports external reviewer feedback, Hootsuite documents sequential approvals, Sprout Social emphasizes client separation and agency permissions, and Buffer covers client draft approvals and team permissions. Compare the exact workflow and plan limits before choosing.

What an agency approval tool needs to do

A social media approval workflow routes drafts to the right people for review and authorization before publication. Later describes it as a way for teammates to review, comment on, and approve posts before they go live. In practice, agencies should check whether the tool supports the order of approvals they need, what happens when someone rejects a draft, who can approve, and whether clients need accounts.

Compare the approval tools

Tool Approval workflow and client access Roles, separation, and plan notes
Planable Its agency page promotes multi-level approvals before client sign-off. External-user access and detailed plan limits are not established by that page. Check the current plan and access rules with Planable before relying on a specific workflow.
Later Supports internal sign-offs and external client feedback; Later says external reviewers can give feedback without a Later account. Members can collaborate and request approval but cannot approve their own content; Reviewers can approve. Collaboration and approvals are listed for Growth and higher; in-app approval activity notifications require Scale.
Hootsuite Documents sequential, multi-step approvals: a post does not advance until the preceding approval is granted. Its help page says approval requests apply to scheduled or published posts. Admins assign roles, but Hootsuite says approval tools are not available on every plan.
Sprout Social Promotes approval workflows and calendar link sharing, alongside environments for separate client accounts. Its support page says Advanced permits up to three external approvers without additional charge. The agency page also promotes flexible roles and permissions.
Buffer Its agency guidance discusses client draft approvals. The guidance describes client draft approvals in the Team-plan context and permission settings that can limit editing, post creation, or access to a channel queue.

These are vendor-documented features, not results from a comparative test. The sources do not establish equivalent publishing networks, reporting, inbox tools, or costs across all five services, so approval features alone cannot determine the best overall agency platform.

Choose by the review process you actually use

For a defined chain of sign-offs

Hootsuite documents a sequential workflow in which a post waits for the preceding approval before moving on. Planable promotes multi-level approvals. If your process has a fixed order—such as strategist, client lead, then legal—confirm the required sequence, rejection behavior, and eligible post states in the current product documentation before migrating a live workflow.

For clients reviewing without full accounts

Later says external reviewers can provide feedback without a Later account. Sprout Social documents up to three external approvers on Advanced without additional charge. Those are different access arrangements: establish whether a reviewer can merely comment or can formally approve, how many reviewers you need, and whether the relevant feature is in your intended plan.

For multiple clients and controlled permissions

Sprout Social markets separate client environments and custom user roles and permissions. Later distinguishes Members from Reviewers. Buffer’s agency guidance describes permissions that can restrict editing, creating posts, or viewing a channel queue. Map each agency staff member and client contact to the minimum access they need, then verify that the tool’s workspace or channel structure keeps client content separated as intended.

Check plan eligibility before you commit

Approval features may be unavailable in an entry plan or limited to a particular tier. Later places team collaboration and approvals on Growth and higher, with approval activity notifications requiring Scale. Hootsuite says approval tools are not on all plans. Sprout’s cited external-approver allowance is tied to Advanced, while Buffer’s agency guide discusses client draft approvals in its Team-plan guidance. Plan names and limits can change; verify current eligibility and pricing directly with the vendor before comparing total cost.

A practical agency evaluation

  1. Write down the approval path. List each reviewer in order, whether a reviewer may reject or only comment, and who can send a draft back for edits.
  2. Define client access. Decide whether clients need an account, a review link, comment-only access, or formal approval authority. Count the external approvers each client needs.
  3. Check content-state rules. Confirm whether drafts, scheduled posts, or other post states can be submitted for approval. Hootsuite’s cited help page, for example, describes requests for scheduled or published posts.
  4. Inspect permissions and separation. Verify roles, client workspace boundaries, and controls over editing, publishing, and queue access.
  5. Match the workflow to a plan. Check the relevant plan’s current feature list and limits, including notification needs, before calculating seat and client costs.
  6. Evaluate the wider platform separately. Compare supported networks, reporting, inbox workload, calendar sharing, onboarding, seats, and profiles; the cited approval documentation does not provide a consistent cross-vendor comparison for these areas.

Which tool should an agency shortlist?

Shortlist by workflow rather than by a universal ranking: consider Hootsuite when sequential steps are central, Later when external client feedback without a Later account matters, Sprout Social when client separation and role controls are priorities, Planable when multi-level approval is the key requirement, and Buffer when its team permissions and client draft-approval setup fit your process. Confirm each capability and plan boundary with the vendor before adopting it.
