Use WordPress’s mail layer with a reputable transactional email provider, connected through SMTP or an API, rather than relying on your host’s default PHP mail path. Configure a consistent From address on a domain you control, authenticate that domain with SPF, DKIM and DMARC, then send test messages before importing your full newsletter list.
The recommended WordPress newsletter setup
A dependable arrangement has three parts:
- WordPress and your newsletter plugin: The site creates the message and hands it to WordPress’s
wp_mail()function. - A mailer integration: A plugin such as WP Mail SMTP routes the message to a remote provider using SMTP or an API. Its setup wizard supports Amazon SES, Mailgun, SendGrid, Brevo, Postmark, SMTP.com, SendLayer and SMTP2GO.
- An authenticated sending domain: The provider sends with a From address at a domain you control, while your DNS publishes SPF, DKIM and DMARC records.
This arrangement separates your newsletter delivery from the web host’s local mail software. It also gives you a place to manage credentials, domain verification, quotas, delivery logs, bounces and complaints.

Why WordPress’s default mail path is not enough
WordPress normally passes wp_mail() to PHP’s mail() function. That function depends on a working mail-transfer setup on the server. Many hosting environments do not provide a correctly configured local mail-transfer agent, and a site can appear to send successfully even when receiving systems distrust or reject the message.
WordPress’s Advanced Administration documentation notes that WordPress has never supplied a mail user agent or mail transfer agent by default. In practice, your site is responsible for handing the message to a real delivery service. A remote SMTP or API connection supplies that missing delivery layer and lets the provider apply its own authentication and sending controls.

Changing only the newsletter plugin does not solve this underlying problem. If that plugin still calls wp_mail() and WordPress still uses the host’s PHP mail path, the delivery risk remains.
What to compare before choosing a mailer
Choose the provider and connection method according to your technical ability, expected volume and need for operational visibility. These are the decision points that materially affect setup.

Do not select solely by the presence of “SMTP” in a product name. Compare the setup wizard, API availability, domain-verification process, regional credentials, sending quotas, logs, bounce and complaint handling, and the volume you expect to send.

SMTP is the traditional mail protocol. WordPress’s mailer plugin opens a secured connection, authenticates with the provider and submits the message. You need the correct host, port, encryption mode and credentials.
An API sends the message over the provider’s web service instead of an SMTP session. API setup usually uses a key or authorization flow supplied by the provider. Mailgun documents both approaches; Amazon SES also supports both SMTP and API delivery.
Neither transport automatically guarantees inbox placement. The important outcome is that the message reaches a provider that can authenticate your domain and report delivery events.

Requirements to gather first
- A WordPress administrator account with permission to install and configure plugins.
- A newsletter plugin that sends through WordPress’s mail layer or can use the configured WordPress mailer.
- An account with a transactional email provider supported by your chosen integration.
- A From address on a domain you control, such as
[email protected]. Use one consistent identity across site mail. - Access to the DNS control panel for that domain.
- The provider’s credentials or authorization method, including a region selection when the provider requires one.
- A recipient address outside your site’s domain for testing.
Step-by-step setup
1. Select the provider and transport
For the least complicated path, select a mailer listed in your WordPress plugin’s setup wizard. A technical team or a higher-volume publication may choose Amazon SES for its explicit regional endpoints, identity verification and quota controls. If you need a choice between an API and SMTP plus outgoing tracking, Mailgun documents both WordPress connection methods.

Record the provider’s required endpoint, port or API URL, encryption requirement, user name, password, API key and region. Do not paste credentials intended for one region into another region’s endpoint.
2. Install and open the mailer configuration
- In WordPress administration, open Plugins and install your selected mailer plugin.
- Open the plugin’s mailer settings or launch its setup wizard.
- Select the provider rather than leaving the integration on the default PHP mail option.
- Complete the provider’s authorization screen or enter the requested SMTP/API credentials.
The exact field names vary by plugin and provider. Follow the selected service’s current instructions for endpoint, port, encryption and credential format.
3. Set a single authenticated From identity
Enter the From Email as an address on the domain you intend to authenticate. The From Email is the address recipients see as the sender. Enable the plugin’s option to force the From Email globally if available. That prevents individual plugins from replacing the authenticated identity with a different address.
Keep the address stable across newsletters, password messages and other site mail. A consistent domain makes it easier to maintain authentication alignment and to recognize legitimate site messages.
4. Verify the sending identity with the provider
Open the provider’s domain or identity-verification section and add the sending domain. Some services verify a single email address; domain verification is preferable when the service supports it because it establishes control for the domain used by your site.

The provider will display DNS records or another authorization step. Copy each value exactly into your DNS manager. If the provider asks for a region, select the region where the identity and credentials were created.
5. Publish SPF, DKIM and DMARC
Authentication records are a required part of the setup, not an optional tuning step. WordPress describes SPF, DKIM and DMARC as critical to deliverability, and Amazon Web Services recommends authenticating email for optimal deliverability.
- SPF: Authorizes designated sending infrastructure for your domain. Publish the provider’s SPF instruction in the domain’s DNS. If an SPF record already exists, merge the provider’s authorization into the existing record rather than publishing competing SPF records.
- DKIM: Lets the provider add a cryptographic signature to outgoing messages. Add the selector and public-key record exactly as supplied, then wait for DNS propagation and provider verification.
- DMARC: Tells receiving systems how to handle messages that fail authentication checks and provides a reporting address when configured. Start with a policy appropriate to your current mail environment; do not publish a strict enforcement policy before you understand which legitimate systems send mail for the domain.
SMTP by itself does not authenticate a sender. Authentication comes from mechanisms such as DKIM, SPF, a custom MAIL FROM arrangement where supported, and DMARC. Passing those checks improves the receiving system’s ability to identify legitimate mail, but it cannot promise inbox placement.

- Save the mailer settings.
- Use the plugin’s test-email screen, if provided, and send to an address you can inspect.
- Confirm that the message arrives, the From address is the intended domain address, and replies go to the expected mailbox.
- Inspect the message’s authentication results in the recipient’s “show original” or equivalent view. Look for SPF and DKIM passing and DMARC alignment with the visible From domain.
- Check the provider’s activity or delivery log for a submitted and accepted event.
If the test fails, fix the connection or authentication issue before importing your complete list. A test to one mailbox does not prove that every recipient will see the message in the inbox, but it catches incorrect credentials, region mismatches, From-address overrides and missing DNS records.
7. Send a small campaign before the full list
After the single-message test succeeds, send a small newsletter segment. Confirm that the provider accepts the volume, that links and unsubscribe handling work in the actual newsletter plugin, and that bounces or complaints appear in the provider’s reporting. Increase volume only after the small send behaves as expected.
How to configure DNS without breaking existing mail
DNS changes are made at the domain host, not in WordPress. The provider supplies the record names, types and values; your DNS panel may label the fields Host, Name, Value or Target.

- Copy the provider’s SPF instruction and check whether your domain already has an SPF TXT record.
- If one exists, edit that record to include the provider’s mechanism. Do not create a second SPF record for the same domain.
- Add each DKIM record exactly as displayed, including the selector or host name.
- Add the DMARC TXT record at the provider-specified host, commonly the domain’s DMARC subdomain.
- Return to the provider dashboard and select its verification or check action after DNS has propagated.
- Keep a record of which services send mail for the domain. Future website, support or marketing systems must be evaluated against the same SPF, DKIM and DMARC policy.
DNS propagation time varies by host and record TTL. A provider showing “pending” immediately after publication does not necessarily mean the value is wrong; recheck the exact host and value first, then allow time for caches to expire.
Preventing newsletter messages from landing in spam
Start with authenticated delivery, but do not treat authentication as an inbox guarantee. Receiving systems make independent filtering decisions. The practical controls you can manage are:
- Send from the same domain and address identity that you verified with the provider.
- Force that From address globally so another plugin cannot substitute an unauthenticated address.
- Keep SPF, DKIM and DMARC records valid after every provider or DNS change.
- Monitor provider logs, bounces and complaints instead of repeatedly retrying rejected recipients.
- Watch sending quotas and regional limits, especially with SES or any service that requires an approved increase for larger quantities.
- Test a campaign on multiple mailbox providers before a major send, because one successful test mailbox cannot represent every receiving system.
When a message is accepted by the provider but not seen in an inbox, inspect the recipient’s spam or quarantine folder and the message’s authentication results. If authentication fails, correct DNS or the provider identity first. If authentication passes, use the provider’s event logs and complaint or bounce data to determine whether the issue is rejection, deferral or filtering after acceptance.
Troubleshooting common failures
The test says it sent, but no message arrives
Check the provider’s delivery log, then verify the recipient address and spam folder. A WordPress success notice can mean only that the message was handed to the configured mailer. If there is no provider event, review the SMTP/API credentials, endpoint, port, encryption setting and region.
Authentication fails
Recheck the exact DNS host names and values supplied by the provider. Confirm that the visible From domain is the domain you verified. For SPF, look for duplicate records or an existing record that does not include the provider. For DKIM, confirm that the selector matches the provider’s current key. For DMARC, check alignment between the From domain and the authenticated sending domains.

Enable the mailer’s global “force From Email” setting and inspect the newsletter plugin’s own sender fields. Remove a different sender address unless it is also authorized and aligned with your domain. Send another test after saving both configurations.
Amazon SES rejects the connection
Confirm that the SMTP username and password belong to the selected SES region, that the endpoint matches that region, that the client supports TLS, and that the email identity is verified. If the planned quantity exceeds the account’s current sending quota, request the required increase before the campaign.
The provider accepts mail but complaints or bounces rise
Use the provider’s event data to identify rejected or complained-about recipients. Pause repeated attempts to those addresses and review the newsletter list and sending process. Authentication improves legitimacy signals; it does not remove the need to manage recipient quality and provider limits.
Choosing the right path for your publication
Choose the guided plugin route when simplicity matters
A supported mailer wizard is appropriate when one person manages WordPress and wants a documented sequence for authorization, From-address control and testing. Select a provider from the wizard, complete domain verification, publish the three authentication records and test before sending to the full list.
Choose SES when you need explicit infrastructure controls
SES suits teams comfortable with AWS concepts and regional configuration. Its SMTP path requires more setup than a turnkey service because you must manage the endpoint, region-specific credentials, TLS-capable client and verified identity. Its API option and quota controls can be valuable when sending volume grows, but those controls add operational responsibility.
Choose an API/SMTP provider when visibility is important
Mailgun is documented for both API and SMTP WordPress connections and includes outgoing-email tracking. That combination can help a team choose transport based on its integration and inspect delivery activity without replacing WordPress.
