The best live streaming software for a town hall depends on who needs to attend and how they should participate. For a controlled, internal company event, Microsoft Teams Town Hall is built for one-to-many viewing with attendee microphones and cameras off and Q&A available. For a meeting or webinar that must also reach YouTube or a custom destination, Zoom may fit if the account, host license, and administrator settings allow it. For a public broadcast, YouTube offers webcam and encoder workflows; Vimeo is an option for hosted events built around a supported encoder.
These are conditional choices, not a tested ranking: vendor documentation establishes the listed features and requirements, but does not establish which service performs best overall. Confirm current licensing, capacity, and settings before committing.

Which town hall platform should you choose?
| Town hall need | Good fit to evaluate | Why it may fit | Check before booking |
|---|---|---|---|
| Internal, one-to-many event with attendee questions | Microsoft Teams Town Hall | Attendee cameras and microphones are off, while Q&A is available; organizers have presenter controls and post-event options. | Capacity, licensing, and feature availability depend on the organization’s configuration. Microsoft’s Town Hall guide and transition guidance describe the current setup. |
| A Zoom meeting or webinar that also needs a public or custom destination | Zoom | Zoom documents livestreaming to supported public platforms and custom RTMP destinations. | Account and host license, administrator enablement, desktop app version, meeting-versus-webinar requirements, and destination limits. See Zoom’s custom-site streaming requirements and its event livestreaming overview. |
| Public channel broadcast, with a simple or flexible production | YouTube Live | Offers webcam and encoder workflows; an encoder is suited to more produced streams with overlays and external production equipment. | Choose the workflow that matches your production and test it privately. See YouTube’s live-streaming guide. |
| Hosted event using an encoder-based workflow | Vimeo | Vimeo documents live events using a supported encoder. | Membership, connection, encoder compatibility, and plan-dependent output options. See Vimeo’s live-event FAQ. |
For a continuous YouTube channel broadcast of uploaded videos rather than a scheduled town hall, StreamNeo is the relevant alternative: it runs from the cloud, supports any uploaded quality up to 4K 60fps at one flat price per slot, and offers the first day free.

Start with audience and access
Decide whether the event is for employees, invited guests, or the public. Check whether viewers need an account, whether the event link can be shared freely, and whether your organization requires sign-in or other access controls. A platform’s technical ability to stream does not by itself settle your access policy.

- 【AI Auto Framing for Group Meetings】Automatically detects and frames all attendees, making it ideal for team meetings, boardroom discussions, and hybrid collaboration.
- 【Presenter Tracking for Business Presentations】Smart AI tracking follows the active speaker, perfect for training sessions, client presentations, and interactive meetings.
- 【120° Wide Angle Covers the Entire Room】Capture the full meeting space without repositioning the camera—no more squeezing into the frame.
- 【Clear Audio Across the Table (Up to 5m)】Dual AI noise-canceling microphones reduce background noise and capture voices clearly across the room.
Decide how attendees should participate
If the event should feel like a broadcast, with speakers presenting and attendees sending questions rather than opening microphones, Teams Town Hall’s documented format is a natural fit: attendee microphones and cameras are off, and Q&A is available. If attendees must speak or appear on camera, verify the chosen product’s event format and controls before sending invitations.
Choose the destination and production level
A native event space, public social destination, custom RTMP endpoint, or branded event page are different needs. Zoom documents supported public destinations and custom streaming, subject to configuration. YouTube allows webcam streaming or an encoder workflow. An encoder can support a more controlled show with overlays and separate audio or video equipment, but adds setup and testing work.

- Multiple mounting options: Easily mount to a wall or credenza, or add the TV Mount to place above or below the in-room display for secure mounting
Plan for what happens after the broadcast
Decide whether you need an archive, published recording, attendee report, or on-demand replay. Microsoft documents Town Hall recordings and attendee reports. Google recommends archiving a YouTube stream and publishing it for on-demand viewing. Confirm who can access the resulting recording and who is responsible for publishing it.
Check capacity, licenses, and accessibility
Do not assume a platform’s maximum event size or features are included in your organization’s current plan. Microsoft says some Town Hall features have capacity limits; events for 20,000–100,000 attendees require capacity packs and contacting Teams Events Services at least two weeks ahead under its transition guidance. Verify that guidance and applicable licensing with Microsoft before planning an event in that range. Microsoft also lists translated captions, with language choices differing by Teams Premium status.

For Zoom, confirm the account and host license, administrator enablement, required desktop app, and whether the chosen meeting or webinar workflow supports the intended destination. Zoom’s event livestreaming overview, published June 26, 2026, describes one destination at a time for the configuration on that page; check current plan terms and capabilities before relying on it.
What changed for Microsoft Teams live events?
Microsoft’s support guidance gives June 30, 2026 as the retirement date for the Teams live events experience and directs users to Town Hall for the newer experience. As of October 3, 2026, treat live events as a legacy option rather than the default for planning a new event. Check Microsoft’s current transition guidance for your tenant and event requirements.

How to set up a reliable town hall stream
- Confirm access before configuring production. Make sure organizers, presenters, and intended viewers can use the selected service and reach the event link. Ask IT to check corporate network restrictions when the event depends on an encoder or external destination.
- Verify permissions and plan limits. Check attendee capacity, licenses, enabled streaming destinations, host permissions, and any required add-ons. For a Zoom custom-site stream, confirm the host license and administrator setting described in Zoom’s support instructions.
- Set the participation model. Decide whether attendees will submit questions, use chat, speak, or simply watch. Assign a moderator to monitor questions and comments; Google’s Live Streaming Guide recommends planning for live chat and comments, including moderation where resources are available.
- Choose webcam or encoder. YouTube supports both. Its webcam workflow requires a computer with a webcam. Its encoder workflow is intended for more produced streams, such as conferences using overlays or additional audio and camera hardware. Vimeo’s documented live-event workflow requires a supported encoder.
- Rehearse the complete setup privately. Test the internet connection, camera framing, audio capture, and lighting—not just whether the software opens. Google’s Live Streaming Guide says: “Test your full live stream setup – internet connection (compare your home/work connection with your mobile connection for the best results), camera framing, audio capture quality, and lighting – as a private stream in YouTube Studio.”
- Assign day-of responsibilities. Give someone ownership of speaker handoffs, question moderation, stream monitoring, and recording publication. Keep a contact for IT or the platform administrator available if access or destination settings fail.
- Confirm the archive workflow. Verify where the recording will be available, who can publish it, and whether attendee reports are needed. Do this before the event rather than assuming a live broadcast automatically becomes a public replay.
Common town hall streaming problems
- The livestream destination is missing. The host may lack the required license, an administrator may not have enabled the setting, or the account tier may not support that destination. Check the exact account and event type against the provider’s current documentation.
- Attendees cannot turn on microphones or cameras. In Teams Town Hall, that is part of the documented one-to-many attendee experience. Use Q&A for questions, or select a format that explicitly supports attendee speaking if live participation is required.
- The event will not reach the planned audience size. Capacity can depend on tenant configuration, add-ons, and feature-specific limits. Verify applicable limits with the provider well before publishing invitations; Microsoft gives a two-week contact lead time for the cited larger Town Hall range.
- Video or audio quality is poor. Rehearse over the actual connection and capture setup. Check framing, lighting, and audio capture separately; if using an encoder, also verify its compatibility and network requirements with the vendor and IT team.
- The recording is unavailable after the event. Confirm in advance whether the service records automatically, where the recording is stored, and who must publish or share it. Microsoft documents Town Hall recordings; Google recommends archiving YouTube streams for on-demand viewing.
Or let it run in the cloud
