If by “Google apps” you mean Gmail, Calendar, Drive, Docs, Sheets, Slides and Meet, the main alternatives covered here are Microsoft’s free Outlook and web apps, paid Microsoft 365 plans, and Proton Workspace. They replace different parts of that productivity workflow, so the right choice depends on whether you need desktop Office apps, a presentation tool, or Proton’s stated privacy features. If you mean Google Photos, Maps, Chrome or consumer Gmail as separate services, this is not a complete replacement guide for them.
Which Google apps are you trying to replace?
Google Workspace brings email, calendars, cloud storage, documents, spreadsheets, presentations and meetings together. Its product page highlights shared calendars, real-time editing, automatic saving and Drive sharing; Google says documents, spreadsheets and slides can be used “with or without Internet.” That does not mean every feature works offline, so check the offline requirements for the work you do before choosing a replacement. Google Workspace’s feature overview describes its workflow.

A suite-level alternative is most useful when you want to move several of those work services together. It is not automatically a substitute for every consumer Google service: the options below address productivity and email, not a like-for-like replacement for Photos, Maps, Chrome or consumer Gmail.

Compare the main alternatives
| Option | Best fit | Main tradeoff |
|---|---|---|
| Free Outlook and Microsoft web apps | Email and calendar, plus browser-based Word, Excel, PowerPoint and OneDrive | Microsoft describes the free tier as ad-supported. Web and mobile access is not the same as paid desktop-app access. |
| Microsoft 365 paid plans | People who want desktop Word, Excel, PowerPoint and Outlook alongside cloud storage | Prices, storage and app entitlements vary by plan and can change; verify the current offer before subscribing. |
| Proton Workspace | People seeking the privacy features Proton describes, with mail, calendar, Drive, Docs, Sheets and Meet | Proton says it has no presentation-app equivalent, so it is a partial replacement if you need Slides. |
Choose Microsoft if desktop Office apps matter
Free Outlook and web apps
Microsoft offers free Outlook email and calendar, along with web and mobile versions of Word, Excel, PowerPoint and OneDrive. This is the lower-commitment route if browser-based office work meets your needs. Check Microsoft’s current offer for the precise features and storage included: the free tier is ad-supported, and access to web or mobile apps should not be mistaken for entitlement to paid desktop apps. Microsoft’s Outlook for Windows page is the starting point for its Outlook offering.

Paid Microsoft 365
Paid Microsoft 365 plans add different combinations of desktop applications and cloud storage. Compare the specific plan’s app entitlements and storage with what you actually use in Google Workspace, rather than assuming every subscription includes the same apps or capacity. Prices and inclusions are volatile, so confirm them directly with Microsoft when deciding.
Check Outlook add-ins before changing a business workflow
Microsoft Learn says the new Outlook for Windows is based on the web experience and WebView2. It identifies consumer availability as general and commercial availability as preview, and states that COM add-ins are not supported. If your organization depends on a COM add-in, confirm that the workflow works with the Outlook version you plan to use before switching. Microsoft’s new Outlook documentation explains the availability and add-in limitation.

Choose Proton Workspace if its stated privacy features are the priority
Proton’s 2026 office-suite comparison lists mail, calendar, Drive, Docs, Sheets and Meet in Proton Workspace. Proton presents its privacy features as a key distinction; those are the provider’s claims, not an independent assessment. The same comparison says Proton Workspace has no presentation-app equivalent. If your work depends on creating or editing slide presentations, that gap makes Proton a partial rather than complete Workspace replacement. Proton’s suite comparison describes its lineup and limitations.

Check the workflow, not just the app names
Before choosing, make an inventory of the services and tasks you actually use. Compare how each candidate handles your email and calendar, shared files, collaborative editing, meetings, offline work and any desktop-app requirements. The available product descriptions establish that these suites cover different sets of services; they do not establish a universal winner or a one-click migration path.
Rank #3
- Classic Office Apps | Includes classic desktop versions of Word, Excel, PowerPoint, and OneNote for creating documents, spreadsheets, and presentations with ease.
- Install on a Single Device | Install classic desktop Office Apps for use on a single Windows laptop, Windows desktop, MacBook, or iMac.
- Ideal for One Person | With a one-time purchase of Microsoft Office 2024, you can create, organize, and get things done.
- Consider Upgrading to Microsoft 365 | Get premium benefits with a Microsoft 365 subscription, including ongoing updates, advanced security, and access to premium versions of Word, Excel, PowerPoint, Outlook, and more, plus 1TB cloud storage per person and multi-device support for Windows, Mac, iPhone, iPad, and Android.
- Need presentations? Proton’s listed suite lacks a presentation equivalent; Microsoft’s free web apps include PowerPoint, while paid plans have different desktop-app entitlements.
- Need desktop applications? Check the exact paid Microsoft 365 plan rather than relying on free web or mobile access.
- Need offline work? Google describes Docs, Sheets and Slides as usable with or without Internet, but that is not a promise that every function is available offline. Confirm the offline behavior you need in the candidate service before moving work.
- Use business Outlook add-ins? Verify compatibility if the workflow relies on COM add-ins, which Microsoft says new Outlook for Windows does not support.
- Need a Google consumer service replaced? Treat Photos, Maps, Chrome and consumer Gmail as separate decisions; these suite comparisons do not establish their best alternatives.
What to expect when switching
The sources cited here compare suite features and describe some product limitations, but they do not establish migration steps, exact compatibility for every Windows version, or service-by-service alternatives for the broader Google ecosystem. Do not assume that selecting a new suite transfers all mail, calendars, files, sharing permissions or workflows automatically. Identify what must move and verify the provider’s current migration and compatibility guidance for those specific services before committing.
