For Outlook, Microsoft To Do has the most direct built-in route in the sources reviewed: flag an email to see it in To Do, or drag a message onto Outlook Tasks in Outlook for Windows. Gmail users can connect messages to ClickUp tasks, while Zapier can automate email-to-task handoffs across several mail and task apps. The right choice depends on where you read email, whether work is personal or team-based, and how much setup you want to manage.
Which email-to-task tool fits your workflow?
| Tool | Best fit | How email becomes a task | What to consider |
|---|---|---|---|
| Microsoft To Do with Outlook | People who use Outlook and want a personal follow-up list | Flag a message or, in Outlook for Windows, drag it onto the Outlook Tasks icon. | To Do syncs Outlook Tasks through Exchange Online, but does not expose every Outlook task field. |
| ClickUp with Gmail | Gmail users who want email-related work alongside team projects | ClickUp describes converting Gmail messages into tasks and keeping updates linked with email context. | Setup details and feature availability depend on the integration; the cited page points users to Zapier for setup. |
| Zapier | People who want to route email into a different task app, or automate a recurring handoff | Configure an automation that creates a task from a starred or flagged email and maps message details. | Flexible across apps, but requires configuration and maintenance; reliability has not been independently tested here. |

Microsoft To Do: turn Outlook email into a follow-up
Microsoft documents two ways to capture Outlook email. The drag-and-drop method is specifically for Outlook on Windows: drag a message to the Outlook Tasks icon in the navigation pane. Microsoft says the resulting task contains the email content and appears in To Do through synchronization. See Microsoft’s Outlook on Windows instructions.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteUse the Flagged Email list
To make flagged messages visible in To Do, enable the Flagged Email list. A flagged message can appear with its subject and an email-text preview; you can rename it, set a due date or reminder, and follow its link back to the original message in Outlook. Microsoft describes this workflow in its Microsoft To Do planning and connections guide.

Check your own account setup before relying on this workflow: the available Microsoft documentation does not establish identical steps for every Outlook platform or account configuration.
Know what sync does—and does not—include
Microsoft says Outlook Tasks and To Do synchronize through Exchange Online when you use the same account. However, To Do does not currently surface every Outlook Tasks detail in its interface. Microsoft lists start and end dates, task status, completion percentage, multiple priority levels, work hours, colors, and categories among the fields not supported there. See Microsoft’s Outlook Tasks synchronization guidance.

ClickUp: convert Gmail messages into project work
ClickUp describes a Gmail integration for converting email into a task while keeping task updates linked with email context. That can suit teams that want email follow-ups tracked alongside project work rather than in a separate personal list. ClickUp’s Gmail integration page points to Zapier for setup.

Choose by email source, context, and follow-up needs
- Email compatibility: Start with whether you use Outlook/Microsoft 365 or Gmail, then check whether your exact account type works with the proposed flow.
- Capture friction: A native flag or drag action is a straightforward fit if you already live in one ecosystem. An automation can bridge apps, but brings setup and upkeep.
- Email context: Decide whether a task needs only a subject and reminder, or a preview, source link, or mapped sender and deadline. Microsoft describes a link back to the original message for flagged email in To Do; ClickUp describes retaining email context; Zapier’s examples show selected details can be passed into tasks.
- Follow-up controls: Check for due dates, reminders, priorities, and project assignment in the destination. In particular, Microsoft documents several Outlook Tasks fields that To Do does not expose, so users who depend on those fields should review the sync behavior before adopting To Do as their task interface.
- Personal list or team project: To Do and Todoist are examples of personal task destinations in these workflows; ClickUp and Asana are examples of project-oriented destinations listed by Zapier. Match the destination to where the work is actually managed.
