The best document management software depends on how your business works: SharePoint is a natural place to start for Microsoft 365 teams, Google Workspace for Google-first collaboration, Box for governed external sharing, M-Files for metadata-led organization, and DocuWare for paper-heavy capture and approval workflows. These are fit-based starting points, not a universal ranking or the result of hands-on comparative testing.
What document management software should handle
A document management system (DMS) is a place to store, organize, find, track, and control business documents. At a minimum, assess whether it provides a searchable repository, access controls, version history, and practical sharing. Depending on the product and plan, useful capabilities may also include scanning, OCR, metadata, audit trails, workflow automation, retention tools, integrations, and real-time coauthoring.

These categories overlap, but they are not interchangeable. Shared file storage may be enough for basic collaboration. Records management adds controls for how records are retained and handled. Contract lifecycle management focuses on contract processes, while PDF software helps edit, redact, route, or sign files. A PDF tool can complement a repository without replacing it.
Which document management software fits your business?
Use the table as a shortlist by need, not as a scorecard. Confirm the relevant features, security controls, and plan entitlements for your organization before choosing.

| Business need | Where to start | What to validate |
|---|---|---|
| Team libraries, sharing, metadata, and collaboration within Microsoft 365 | Evaluate SharePoint. Microsoft positions OneDrive for individual or smaller-team file access and sharing. | Tenant configuration, governance requirements, and which capabilities are included in your plan. |
| Familiar collaborative editing for a Google-first team | Evaluate Google Workspace and shared drives. | Whether the setup can meet complex records, capture, or customized workflow requirements without additional controls or a specialist platform. |
| External collaboration with administrative governance | Evaluate Box. | The specific security and compliance controls your organization needs, and which plan tier includes them. |
| Finding and governing documents by project, customer, status, or owner | Evaluate M-Files for its metadata-led approach. | Test the organization model and implementation fit in a pilot; vendor or comparison descriptions do not establish how well it will fit your processes. |
| Paper-heavy intake, OCR, indexing, invoices, forms, and approvals | Evaluate DocuWare; Laserfiche is another candidate identified in comparisons. | Required integrations, deployment fit, and a quote. DocuWare describes scanning, email intake, mobile upload, OCR/HTR, and configurable workflows. |
| Editing, redacting, routing, or signing PDFs | Consider Adobe Acrobat or Acrobat Sign as a companion layer. | Where the authoritative repository will live and how completed files return to it. |
How to compare the shortlist
Start with documents and processes that currently create friction: for example, contracts, invoices, HR files, client records, policies, or project documents. Then test each candidate against the same requirements and representative files.
Capture and migration
Check how the system ingests scanned paper, email, mobile uploads, and files from existing repositories. Ask what OCR, metadata mapping, duplicate detection, and migration support are included, rather than assuming they come with the base plan. DocuWare describes scanning, email intake, mobile upload, and OCR/HTR; verify how those capabilities work with your own documents.
Rank #2
- FAST SPEEDS - Scans color and black and white documents a blazing speed up to 16ppm (1). Color scanning won’t slow you down as the color scan speed is the same as the black and white scan speed.

- READY WHENEVER YOU ARE – The DS-640 mobile scanner is powered via an included micro USB 3. 0 cable allowing you to use it even where there is no outlet available. Plug it into you PC or laptop and you are ready to scan.
- WORKS YOUR WAY – Use the Brother free iPrint&Scan desktop app for scanning to multiple “Scan-to” destinations like PC, Network, cloud services, Email and OCR. (2) Supports Windows, Mac and Linux and TWAIN/WIA for PC/ICA for Mac/SANE drivers. (3)
- OPTIMIZE IMAGES AND TEXT – Automatic color detection/adjustment, image rotation (PC only), bleed through prevention/background removal, text enhancement, color drop to enhance scans. Software suite includes document management and OCR software. (4)
Search and retrieval
Compare full-text search, metadata indexing, tags, filters, and the ability to search across repositories. Do not treat a feature description as a measured search benchmark. Test common queries against your own files, including variations in names, project identifiers, and document contents.
Versions and collaboration
Use representative documents to verify how users identify the current approved version, restore an earlier version, co-edit when appropriate, and see who changed what. Version behavior can matter as much as whether a product lists version history as a feature.
Rank #3

Permissions, audit, retention, and compliance
Map access by role and document type, including external sharing. Check audit trails, deletion behavior, retention rules, and any certifications your organization requires. A general vendor compliance statement does not establish that a particular plan, region, or configuration satisfies every legal or internal requirement.
Workflow fit
Test a real review or approval process, including routing, notifications, deadlines, and exceptions. DocuWare describes configurable workflows and preconfigured invoice and onboarding use cases; confirm that the workflow can handle your process rather than just its simplest path.
Rank #4
- Scanner type: Document
- Connectivity technology: USB
- With Auto Scan Mode, the scanner automatically detects what you're scanning
- Digitize documents and images
Integrations and administration
Check connections to the productivity suite, email, chat, ERP, CRM, HR tools, identity provider, and current storage. DocuWare lists integrations including Microsoft Teams and SAP, but availability and behavior should be confirmed for your configuration. Also identify who will own the information architecture, maintain permissions, train users, and keep the repository organized; software alone does not establish document governance.

Total cost
Compare the full cost of the setup you need: licenses, minimum seats, storage, add-ons, implementation, migration, training, support, and ongoing administration. Prices and seat requirements can vary by plan, region, and date, so use a current vendor quote rather than relying on an undated third-party price snapshot.

How to run a useful proof of concept
Before committing, run a small pilot with real documents, representative permission groups, and workflow samples. Include the people who will administer and use the system, not only the project sponsor.
- Choose a bounded use case. Pick a document set and process that expose the problems you want to solve, such as locating approved policies or routing invoices for review.
- Bring a migration sample. Include existing folders, email or scanned inputs where relevant, and documents with different metadata needs. Check search results and duplicate handling after import.
- Set up realistic access. Test the roles and external-sharing scenarios your organization expects to use. Confirm what users can see, edit, share, and restore.
- Run the workflow end to end. Include an exception, a missing detail, or a delayed approval so the pilot tests more than the ideal path.
- Record operational effort. Ask users and administrators to assess whether the system is understandable, maintainable, and workable with your existing tools.
- Resolve plan and deployment questions. Confirm required features, add-ons, integrations, storage, support, and implementation scope in writing before purchase.
When a simpler option may be enough
If your main need is basic file access and sharing, a shared drive or storage already included in your productivity suite may be sufficient. Consider a specialist DMS when the business needs stronger control over capture, indexing, approvals, auditability, retention, or governed access. For PDF editing and signatures, keep the repository question separate: transaction tools and authoritative document storage solve different problems.
