There is no single best replacement for Lark. The right choice depends on what you are leaving: an all-in-one suite, a chat-centered workflow, meeting-heavy communication, an existing Microsoft or Google environment, or a requirement for self-hosting and tighter administrative control. Start by choosing among those paths, then compare the products within that path on equivalent seats, applications, storage, retention, identity, and migration effort.
Choose the type of Lark replacement you actually need
Lark combines workplace messaging with documents, file storage, calendars, meetings, and other collaboration functions. Replacing it with a messaging product alone can create hidden work: documents may move to one service, meetings to another, and identity and file permissions to a third. Before comparing names, decide whether you want to preserve that integrated model or deliberately assemble a modular stack.

| Replacement path | Best fit | Main trade-off |
|---|---|---|
| Integrated workplace suite | Teams wanting email, documents, storage, calendars, and collaboration from one suite vendor | Less freedom to choose best-of-breed tools; plan boundaries and migration details vary |
| Messaging-centered stack | Teams whose primary need is persistent channels, direct messages, threads, automation, and integrations | Documents, storage, meetings, and sometimes calendars must be supplied separately |
| Meeting-centered platform | Organizations dominated by scheduled calls, webinars, external meetings, and live communication | Asynchronous work and document collaboration may require additional services |
| Self-hosted collaboration | Organizations prioritizing deployment control, data location, or governance customization | Your team owns infrastructure, upgrades, backups, identity integration, retention, and incident response |
Best all-in-one suite alternatives
Microsoft 365 with Microsoft Teams
This is the natural starting point when your organization already uses Microsoft email, calendars, files, identity, or desktop productivity applications. Teams can provide channels, chat, meetings, and co-authoring alongside the broader Microsoft 365 environment. Existing identities and file locations can reduce duplicate accounts and parallel storage.
Recommended Free Tools
Confirm the exact license that includes the features you need. Team chat, meeting capabilities, storage quotas, desktop applications, security controls, and compliance features can differ by edition, region, and purchasing agreement. Treat “Microsoft integration” as an architectural advantage only after mapping your current mailboxes, SharePoint or OneDrive libraries, guest access, retention policies, and external-sharing rules.

- [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.
- Choose this path when Microsoft identity and file collaboration are already established.
- Inventory which Lark functions are actually used before assuming every feature has a direct equivalent.
- Budget for permission redesign if Lark spaces do not map cleanly to teams, channels, sites, or groups.
Google Workspace
Google Workspace suits teams centered on browser-based documents, shared drives, Gmail, calendars, and real-time co-editing. It can be a strong suite replacement when most work already lives in Google accounts and the organization wants one administrative directory for collaboration services.
Assess chat and meeting requirements separately from document migration. A Lark workspace may contain structured pages, databases, bots, approvals, and file relationships that do not convert into ordinary documents or shared-drive folders without redesign. Test representative files, comments, links, ownership changes, and external-sharing behavior before committing to a cutover date.
- Prefer this route when Google identities, shared drives, and browser editing are already standard.
- Check whether required retention, legal hold, data-region, and mobile-management controls are available in the selected edition.
- Plan a new information architecture rather than copying every Lark space verbatim.
Zoho Workplace
Zoho Workplace is another suite-oriented option covering workplace communication and productivity services. It belongs in the same evaluation set as other integrated suites when the goal is to reduce the number of vendors rather than create a separate chat layer.

Messaging-first alternatives for asynchronous work
What a messaging-first design changes
A messaging-centered system is built around persistent channels, searchable conversations, threads, direct messages, workflow automation, and integrations. It is usually a better fit than a suite replacement when your team already has acceptable email, documents, storage, and calendars and mainly needs a stronger conversation layer.
The apparent simplicity can be misleading. You must define where the authoritative document lives, how meeting links are created, which system owns employee identity, and how files shared in chat are retained. If those decisions remain implicit, people will recreate Lark-like functionality through inconsistent links, duplicate uploads, and private messages that cannot be governed.
Use a modular stack when these conditions apply
- Your organization already has a standard document and file platform.
- Most collaboration happens asynchronously across projects and time zones.
- Searchable history, integrations, bots, and workflow triggers matter more than a single vendor’s built-in suite.
- You have staff who can administer integrations, permissions, retention, and lifecycle policies.
Questions to answer before selecting a chat layer
- Will channels be organized by department, project, customer, or temporary initiative?
- How long must messages and attachments be retained, and can administrators export them?
- Are guests, contractors, and external organizations allowed to participate?
- Which integrations are essential on day one, and who maintains them when APIs or permissions change?
- Where do chat attachments live, and can departing users’ content be transferred without breaking links?
Meeting-centered alternatives
Some teams primarily need dependable scheduled and ad hoc calls, webinars, screen sharing, recording, and external participation, with chat as a supporting feature. For those teams, evaluate meeting capacity and administration before general chat depth.

| Requirement | What to verify |
|---|---|
| External meetings | Guest joining steps, lobby controls, dial-in availability, branding, and whether attendees need accounts |
| Webinars and events | Registration, moderation, recording, attendance reports, capacity, and regional availability |
| Live collaboration | Screen sharing, captions, breakout rooms, whiteboards, polls, and presenter controls |
| Follow-up work | Chat persistence, recording storage, transcripts, task hand-off, and links to the document system |
| Administration | Single sign-on, role separation, audit logs, retention, data residency, and device policies |
Do not assume a meeting-first product replaces Lark’s document, database, calendar, or workflow capabilities. Treat vendor descriptions of “live communication” or “video-first” design as positioning, not independent proof of superiority. Run a pilot using your real meeting sizes, external participants, recording policies, and accessibility requirements.

Self-hosted alternatives when control is the reason to leave
Mattermost
Mattermost is commonly considered for organizations wanting a self-managed messaging environment. The relevant question is not simply whether it can be deployed on your infrastructure, but whether your team can operate it reliably: upgrades, backups, monitoring, identity integration, search, retention, mobile access, and disaster recovery all become operational responsibilities.
Rocket.Chat
Rocket.Chat belongs on the same self-hosted shortlist for teams evaluating a controllable chat deployment. Validate the supported deployment methods, authentication options, integrations, message export, moderation, and commercial support terms against your requirements. A self-managed installation is only useful if someone owns patching and incident response every day, not just during the initial migration.
Nextcloud
Nextcloud can be relevant when file collaboration and user-controlled deployment are as important as messaging. Assess the specific apps and integrations required for chat, files, calendars, calls, and online document editing. App compatibility, version coupling, storage architecture, and upgrade testing can materially affect the administration burden.

Twake is another self-hosted option appearing in comparison shortlists. Self-hosting due diligence checklist
- Define the hosting location, encryption model, backup frequency, recovery objective, and disaster-recovery site.
- Document who patches the operating system, database, search engine, storage layer, and application.
- Test single sign-on, user provisioning, deprovisioning, group mapping, and administrator separation.
- Confirm message and file retention, legal hold, export, deletion, and audit capabilities.
- Measure search performance and attachment handling with realistic data volumes.
- Obtain written answers about support, security advisories, vulnerability handling, and release maintenance.
How to compare candidates fairly
1. Write the reason for leaving Lark
State the shortfall in one sentence: missing integrations, inadequate meeting workflow, cost structure, administration, governance, deployment control, regional availability, or poor fit with your existing suite. Without this statement, teams tend to select the product with the longest feature list rather than the one that fixes the actual problem.
2. Build a function inventory
List every Lark capability people use, not just the headline ones. Include channels, direct messages, group permissions, pages, databases, forms, approvals, calendars, meetings, recordings, file storage, search, bots, automation, guest access, mobile use, and exports. Mark each item as essential, useful, or replaceable by an existing system.
3. Separate coverage from assembly
For each candidate, record whether the function is native, supplied by an included companion application, connected through an integration, or absent. A suite may cover more functions with one administration plane. A modular stack may provide better specialist tools but more contracts, connectors, and failure points.
| Capability | Suite candidate | Messaging-first candidate | Self-hosted candidate |
|---|---|---|---|
| Persistent channels and direct messages | Usually included; verify edition | Core capability | Usually available; verify deployment and maintenance |
| Documents and shared storage | Generally part of the suite | Often supplied by another service | May require separate apps or infrastructure |
| Meetings | Often included; limits vary | May require a connected meeting service | Depends on selected application and server capacity |
| Identity and administration | Centralized within the suite’s directory | Requires integration with your existing identity provider | Your organization operates the identity and application connection |
| Data residency and deployment control | Provider and region dependent | Provider dependent | Potentially greater control, with corresponding operational responsibility |
4. Map the existing ecosystem
Record where employee identities, mail, calendars, documents, files, and meeting links already live. Reusing an established directory and storage platform may be safer than migrating everything to a feature-rich product that duplicates current systems. Check guest accounts, service accounts, API tokens, archived users, and shared mailboxes before estimating effort.
Best Value
5. Test communication patterns
Run scenarios that reflect actual work: an asynchronous project with many threads, a customer escalation requiring external guests, a recurring meeting with a recording, a document co-editing session, and a departing employee whose messages and files must remain accessible. Score search, notifications, threading, mobile behavior, permissions, and hand-offs rather than relying on a feature checklist.
6. Compare governance and administration
Ask how each candidate handles retention, legal requests, export, deletion, audit logs, role separation, provisioning, deprovisioning, device management, and data-region requirements. For self-hosted software, add patching, backups, vulnerability response, monitoring, and recovery testing. No category label by itself proves compliance or security fit for your organization.

Commercial terms change frequently, and a low per-user figure can conceal a narrower plan, annual billing requirement, minimum seat count, storage limit, message-history restriction, paid add-on, or separate meeting and security products. Compare equivalent scope before ranking prices.

A practical migration plan
Phase 1: Discover
- Export or inventory Lark users, groups, spaces, pages, databases, files, calendars, bots, integrations, and external guests.
- Measure active versus dormant content and identify owners for every business-critical workspace.
- Classify data by sensitivity, retention period, legal hold, and required destination.
Phase 2: Design
- Choose the suite, modular, meeting-centered, or self-hosted path using the function inventory.
- Design the destination hierarchy for teams, channels, projects, shared drives, groups, and permissions.
- Define naming standards, guest rules, retention, archive policy, and ownership transfer.
Phase 3: Pilot
- Select one representative department and migrate a limited, reversible data set.
- Test identity provisioning, search, links, attachments, notifications, mobile clients, meetings, exports, and deprovisioning.
- Record failed conversions and manual work; use those results to revise the migration estimate.
Phase 4: Cut over
- Freeze structural changes in Lark during the final transfer window and communicate the exact read-only period.
- Move current content first, then archive material according to the approved retention policy.
- Verify permissions, owners, external guests, critical links, and high-value documents with business owners.
- Keep an accessible rollback copy and a defined support channel for the first operating period.
Phase 5: Decommission carefully
Do not close Lark immediately after users sign in to the replacement. Keep the agreed read-only retention period, complete legal and contractual checks, revoke unused tokens, document exports, and confirm that recurring meetings, forms, automations, and external links have been recreated or retired.
Quick Recap
Common failure modes and fixes
- Choosing chat when the real requirement is a suite: map documents, storage, calendars, and meetings before selecting a messaging layer.
- Copying the old structure exactly: redesign permissions and ownership instead of reproducing abandoned spaces and duplicate groups.
- Ignoring search and retention: test historical messages, attachments, exports, legal holds, and deletion behavior with realistic data.
- Underestimating guests: inventory customers, contractors, and partner organizations; verify their sign-in and data-access experience.
- Assuming self-hosting is automatically safer: compare your actual patching, backup, monitoring, and response capabilities with the provider’s controls.
- Comparing unlike prices: normalize seats, billing cadence, included applications, storage, retention, add-ons, taxes, and migration costs.
- Relying on vendor positioning as a benchmark: run a pilot using real workflows and document measurable acceptance criteria.
