If you want to make business calls from a Windows PC without 3CX, the best fit depends on whether you need a separate desktop phone app or a replacement phone system. Microsoft Teams Phone adds business telephony to Teams; RingCentral RingEX offers a Windows app with calling, messaging and video; and 8×8 and Zoom document phone options integrated with Microsoft Teams. None is a proven test winner here: the distinctions below are based on provider documentation, not comparative call-quality or usability testing.
Before switching, confirm how the service will provide business numbers and calls to ordinary phone numbers. A Windows calling client by itself does not guarantee PSTN access, emergency calling or the call-handling features your organization needs.

What counts as a 3CX alternative?
A softphone is an app for making and receiving calls over a computer. A phone-system replacement must also cover the service behind the app: numbers, connectivity to the public telephone network (PSTN), call routing and any other features your business relies on. Some options below are full hosted calling services; others add telephony to Microsoft Teams or embed a provider’s calling experience inside Teams.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsThat distinction matters if you are replacing 3CX rather than simply changing the Windows calling interface. 3CX describes its Windows softphone as supporting standard headsets, but a replacement should be checked against your number, routing, licensing and endpoint requirements—not just whether an app opens on Windows. Which option fits your Windows calling workflow?
Microsoft Teams Phone: telephony inside the Teams client
Teams Phone is the most direct starting point if your organization already works in Teams and wants PBX-style capabilities in that environment. Microsoft says it can replace a PBX and supports features including auto attendants and call queues through desktop and mobile Teams clients. (Microsoft Learn)
Teams-to-Teams calls and calls to ordinary telephone numbers are different capabilities. Microsoft identifies Calling Plans, Operator Connect, Direct Routing and Teams Phone Mobile as PSTN connection options; external calling therefore depends on selecting and configuring an appropriate route. Check which route is available and suitable in your country, and confirm that it covers your business numbers and emergency-calling needs. (Microsoft Teams Phone)

Do not assume Teams Phone has one universal price or is already included in your Microsoft subscription. Microsoft notes that some Microsoft 365 and Office 365 suites stopped including Teams as of October 2023. Verify your tenant’s edition, current licenses, calling route, country and required features before comparing total cost. (Microsoft Teams Phone)

RingEX is the clearest documented choice in this group if you want a dedicated Windows desktop app rather than making Teams the calling interface. RingCentral positions the service around calls, messaging and video, and documents call routing, auto attendant and voicemail as virtual phone-system features. (RingCentral)

RingCentral’s product page says RingEX includes unlimited calls in the US and Canada; do not extend that allowance to other countries or product tiers. The same page describes international calling through separate plans or bundles. The documentation cited here does not establish a like-for-like per-user price or plan-by-plan feature comparison, so request a quote that identifies the exact tier and calling terms for your locations. 8×8: Teams telephony with configuration-dependent call paths
8×8 describes voice for Microsoft Teams through Direct Routing and Operator Connect. Its user guide distinguishes configurations that can look similar to an employee but have different licensing and app dependencies. (8×8 for Microsoft Teams; 8×8 Teams app user overview)

- Reliable audio: Sound professional with a uni-directional mic designed to pick up your voice and make sure it's heard clearly.
- All-day comfort, tailored for you: Enjoy a lightweight, cushioned fit designed for all-day wear, providing comfort while you work.
- In the guide’s specified setup, a user without a Teams Phone license can place PSTN calls through the 8×8 Teams app if the user has an 8×8 X Series license and Presence Sync is enabled, with 8×8 Work running alongside Teams.
- Users on 8×8 Direct Routing as a Service use native Teams calling with a Teams Phone license; the guide says they do not need 8×8 Work for calling.
These are configuration-specific paths, not interchangeable descriptions of one standard setup. Ask 8×8 to document the call path, licenses, apps, number provisioning and administration for the exact deployment you plan to buy.
Zoom Phone: a phone-only plug-in inside Teams
Zoom documents a phone-only Teams plug-in that lets users make and receive Zoom Phone calls within Teams without installing or running the Zoom Workplace desktop app. That is different from choosing a standalone Zoom desktop calling workflow: the documented option here is a Teams-embedded integration. Zoom lists a Pro, Business or Enterprise Zoom account and a Zoom Phone license as prerequisites. Setup also requires administrator privileges, configuration and deployment of the phone-only Teams app manifest. Zoom says Microsoft O365 GCC High and DoD are unsupported. Confirm that your tenant and deployment process meet those conditions before treating this as a replacement path. (Zoom Support)

Evaluate the service as a whole, not just the Windows app. Put the following requirements in writing and ask each provider to confirm them for your geography, selected edition and proposed configuration.
Quick Recap
- Numbers and external calling: Identify who supplies or ports your business numbers, how users call and receive calls from ordinary telephone numbers, and which PSTN route or carrier is used. Microsoft explicitly treats PSTN connectivity as a separately configured choice for Teams Phone. Verify country coverage and emergency-calling arrangements.
- Call handling: List the actual needs—such as auto attendants, queues, transfers, voicemail and recordings—and confirm which selected license includes each. The sources cited here establish some features for Teams Phone and RingEX but do not settle feature entitlements across every plan.
- Workflow and dependencies: Decide whether staff should use a separate Windows app, native Teams calling, or a phone-only app embedded in Teams. For 8×8, check whether 8×8 Work must run alongside Teams in the intended setup; for Zoom, include administrator configuration and manifest deployment in the rollout plan.
- Cost and migration: Compare written quotes for user licenses, calling, numbers, implementation, number porting and required add-ons. There is no verified like-for-like current price comparison here; license bundles, PSTN availability and feature entitlements can vary by plan and market.
- Windows endpoints: Check the provider’s current Windows requirements for the app and your organization’s device policies. No exact minimum Windows version is established for all four options here. If users need a headset or desk phone, verify the connection type, operating-system support and any desired call-control compatibility; 3CX says its Windows softphone supports standard headsets, but that does not certify a particular model for another service. How to choose
- Start with the calling workflow. If Teams is already the central work app, assess Teams Phone first; consider 8×8 or Zoom when their Teams-specific deployment model fits your needs. If you prefer a distinct Windows calling client bundled with messaging and video, assess RingCentral RingEX.
- Map the phone system you need to replace. Record current numbers, call routing, attendants, queues, voicemail, user groups and any external calling requirements. Separate essential functions from features that can change.
- Get the proposed call path and licenses in writing. Ask who provides PSTN access and numbers, what each user must be licensed for, which apps must run, and how the selected configuration handles emergency calling.
- Validate endpoints and migration before rollout. Confirm Windows and headset requirements with the provider, then plan number porting and a deployment check against your written requirements before moving users.
