Before building a real estate voice agent, map the calls it may need to handle: new buyer inquiries, property questions, viewing coordination, buyer guidance, seller consultations, client updates, and requests that need an agent. Those are useful discovery categories—not a proven ranking of call frequency or evidence that an automated agent can handle them well.
The available evidence points to distinct buyer and seller needs. The National Association of REALTORS® (NAR) reported that phone was the first contact method for 28% of buyers in its 2024 Profile of Home Buyers and Sellers, while sellers seek help with pricing, marketing, finding a qualified buyer, and timing. That is a reason to study real calls before designing a system, not a reason to automate every conversation.

What do buyers and sellers contact an agent about?
Buyers often need more than a property listing. In NAR’s summary of its 2024 generational trends report, buyers cited help understanding the process (61%), noticing property features or faults (58%), negotiating contract terms (46%), finding service providers such as inspectors (46%), and learning about search areas (45%). These are reported benefits of working with an agent, not a breakdown of incoming calls.

NAR’s 2024 Profile of Home Buyers and Sellers says sellers want help pricing competitively, marketing the home, finding a qualified buyer, and selling within a timeframe. The report also says 88% of buyers and 90% of sellers used an agent or broker. The different needs make it sensible to treat buyer and seller calls as separate contexts; the figures do not reveal how many calls belong to either group. NAR’s 2024 report highlights provide the underlying context.

How do buyers first contact an agent?
In NAR’s 2024 profile, 28% of buyers said their first contact with the agent was a phone call. Other reported first-contact methods were talking in person (22%), asking a friend to put them in touch (18%), requesting more information through a third-party website (10%), email (8%), text message (8%), the agent’s website (3%), and social media (3%). Phone was the largest single channel listed, but most buyers did not report it as their first contact method. These are first-contact patterns, not total call volume or a measure of which calls are suitable for automation. NAR’s 2024 Profile of Home Buyers and Sellers highlights summarize the report.
The same profile reports a median of one buyer contact before the agent responded. That makes responsiveness a reasonable design consideration, but it does not show that faster replies improve conversion or that an automated response is equivalent to a human one. The report’s contact figures are also not call recordings; they cannot tell a brokerage what callers actually say.

What calls should discovery cover?
The following is a proposed discovery checklist informed by the buyer and seller needs reported by NAR. It is not a measured industry taxonomy, and the order does not indicate frequency. Compare it against actual brokerage calls and agent interviews before treating it as a production call map.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteNew buyer inquiry and property interest
Capture what the caller is asking about, which property or search area they mean, and what follow-up they want. Property facts must come from a reliable, current source; a system should not improvise about features, condition, availability, or other details that have not been verified.

Viewing and next-step coordination
Determine whether the caller wants to arrange a viewing or another next step, then collect the details needed to coordinate it. Keep calendar availability and confirmation behavior explicit: a request is not a confirmed appointment until the relevant booking process says it is.
Buyer process and search questions
Buyers value help understanding the process and search areas, as well as identifying property features or faults. Discovery should therefore distinguish a simple request for information from a question that calls for an agent’s judgment. The NAR findings support the relevance of these needs; they do not establish that an automated system can answer them accurately.

Seller inquiry and listing consultation
A seller may be seeking advice about competitive pricing, marketing, finding a qualified buyer, or timing. Treat these as a distinct consultation path rather than forcing the caller through a buyer-lead questionnaire. Questions requiring an assessment of a particular home or a discussion of strategy should reach an agent.

In NAR’s April 2024 summary of its 2024 generational trends report, 73% of buyers valued agents personally calling with activity updates; 71% valued receiving property information and communicating by text; and 70% valued postings when a property was listed, changed price, or went under contract. These reported preferences support planning for continuity and timely updates, but do not show which update channel works best for every client. NAR’s April 4, 2024 summary describes the findings.

Requests that need an agent
Plan a clear handoff for negotiation, property-specific judgment, sensitive matters, and questions outside the system’s verified information. Preserve the caller’s context so the agent does not have to ask them to start over. This is a design recommendation drawn from the nature of the cited buyer and seller needs, not a tested voice-agent capability.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Why should call discovery come before implementation?
The available NAR evidence describes consumer contact channels and reported preferences, not a complete call log taxonomy, voice-agent adoption rate, or performance comparison. A voice-agent design based on assumed call categories can miss local brokerage workflows, repeat callers, urgent requests, and exceptions. Review actual call logs where lawful, interview agents about common handoffs and failure cases, and account for caller consent and privacy requirements before choosing what to automate.
NAR’s September 18, 2025 Technology Survey release is useful context about technology in real estate, but it is not evidence of voice-agent outcomes. Among surveyed REALTORS®, 20% said they used AI tools daily, 22% weekly, 27% a few times a month, and 32% had not yet used AI in their business. On impact, 17% reported a significantly positive effect, 33% a moderately positive effect, and 46% no noticeable impact. Separately, 82% said their clients responded positively or very positively to technology integrated into buying and selling. These are general AI-use and technology-attitude findings, not adoption or efficacy statistics for voice agents. NAR’s 2025 survey release reports these results.
How should a brokerage evaluate a voice-agent approach?
Once the call map is grounded in real workflows, compare candidate approaches using the same operational criteria. These are proposed evaluation axes, not results measured by NAR’s surveys.
- Intent coverage: Can the system recognize the buyer, seller, update, coordination, or handoff paths the brokerage actually receives?
- Property-fact accuracy: Does it rely on current, authorized information and avoid filling gaps with guesses?
- Conversation handling: How does it respond to interruptions, unclear requests, silence, or callers who change topics?
- Handoff quality: Can it reach an agent and pass along the caller’s stated need and relevant context?
- Operational integration: Does it work with the brokerage’s CRM, calendar, and call-routing practices without creating conflicting records or bookings?
- Recording and disclosure controls: Can the brokerage apply its consent, privacy, and disclosure requirements to the calls it handles?
- After-hours behavior: Does it set an accurate expectation for follow-up rather than implying an agent is available when one is not?
- Agent review burden: How much correction, follow-up, or cleanup do agents need to do after a call?
Use representative scenarios from the brokerage’s own calls to assess these points. The cited surveys do not identify a winning product or prove that any particular approach will save time, improve lead conversion, or raise client satisfaction.
