Collecting an asset’s location is not the same as knowing what to do next. Tracking data becomes useful when each observation can be trusted, connected to the information needed for a decision, and routed to someone responsible for acting on it.
Why asset tracking data often stops at a dashboard
A tag scan, sensor reading, or manual check records an observation. It does not automatically confirm an item’s present location, explain its condition, identify the right next step, or assign anyone to take it. A dashboard can display records without resolving those gaps.

Making data actionable requires a chain: identify the physical asset consistently, check the quality and timing of observations, connect them to relevant operational context, define a decision or trigger, and record who followed up. If one link is missing, staff may still need to reconcile spreadsheets or chase information manually.

In the November 20, 2024 announcement summarizing Brightly Software’s 2025 State of U.S. Asset & Facilities Management Report, 98% of surveyed decision-makers said they use asset-management software to make data-driven decisions, while 97% reported better decision-making as a top benefit. Yet 65% cited insufficient staff training as a challenge. These are survey findings, not rates that can be assumed for every organization. They suggest that software use and staff capability both matter; having a system does not establish that people know how to validate a record or act on it. Brightly/Siemens report announcement

Start with a reliable identity and a usable record
Before comparing analytics or dashboards, check whether records in different systems refer to the same physical item. An asset record may need a durable identifier and enough context for the decision at hand. Depending on the operation, that context can include status, custodian, location history, maintenance history, utilization, cost, or links to work orders. Not every organization needs every field, but the fields used in a decision must be understandable and current enough to trust.
Location is especially easy to over-interpret. A scan or reader event says that a device registered an asset at a point in time under particular conditions; it is not necessarily proof of the asset’s current location. The precision and freshness of a location record depend on the method, coverage, scan frequency, connectivity, and how the deployment handles missed or duplicate observations.
A Siemens Advanta IT-asset case illustrates why identity and quality checks matter. Comparing information across 20 source systems, the project identified inconsistent, incomplete, or potentially incorrect information for 76% of 800,000 assets. The company describes using a tailored data model and unique identifiers to address inconsistencies and assess data quality and asset value. This is a result from one client project, not an industry-wide error rate. Siemens Advanta case study

Make uncertain records visible
Do not hide questionable data behind a clean-looking dashboard. Mark records that are missing key fields, conflict across systems, or have not been observed recently enough for the decision being made. A confidence indicator or exception queue can help staff prioritize validation rather than treating every record as equally reliable.

Connect tracking observations to operational context
Once an asset can be identified consistently, join its tracking record to the other information that informs the next decision. Maintenance teams may need work orders, failure history, or service status. Inventory teams may need stock and assignment records. Facilities leaders may need utilization or replacement-cost information. Connections should be designed around a decision rather than added simply because the data is available.
Integration does not make information accurate by itself. A stable identifier, clear field definitions, ownership of updates, and a way to handle mismatches are still necessary. Decide which system is authoritative for each field and what happens when two systems disagree.
A Siemens-published L3Harris case study describes connecting computerized maintenance management system (CMMS) data to internal analysis platforms. The resulting reporting supported daily lists of current work and repeat failures for production discussions, as well as information used in replacement-equipment return-on-investment calculations. The case study gives the scale of that workflow—800 production employees and an eight-person preventive-maintenance team—but does not establish a transferable outcome benchmark. Siemens/L3Harris case study
In the same vendor-published case, L3Harris Preventive Maintenance Team Manager Steven Dolbec said, “One of the most important parts of a tool like a CMMS is the ability to be able to get data out of it.” The practical point is that data needs a route from the system where it is collected into the analysis and work processes where it can be used.

Turn a report or alert into assigned work
For every important report, exception, or alert, specify the decision it should support and what follow-up looks like. A useful workflow identifies the trigger, the person or team responsible for review, the system where work is recorded, and how completion or resolution is confirmed.
- Trigger: Define the event or threshold, such as a missing asset, an overdue inspection, a repeat failure, or an unexpected movement.
- Owner: Name the role that checks the alert and can decide what happens next.
- Work record: Specify where the person opens a task, service request, investigation, or correction—not just where the alert appears.
- Closure: Require a recorded outcome, such as confirming location, correcting an assignment, completing maintenance, or documenting why no action was needed.
- Feedback: Update the relevant asset record so the next report reflects what staff learned.
This separation matters: detecting a condition is not the same as diagnosing it, and creating an alert is not the same as completing work. Tracking data alone does not guarantee predictive maintenance. Predicting failures requires relevant condition and history data, usable analysis, and a workflow that can act on its outputs.
Choose tracking methods around the action you need
There is no universal winner among barcodes, RFID, GPS, BLE, or combinations of methods. The evidence here does not establish a fair head-to-head comparison or a one-size-fits-all selection rule. Evaluate a method against the assets, environment, required location precision, update timing, and follow-up process in your operation.

| Asset and environment | Are items fixed or mobile, indoors or outdoors, shared or individually assigned, and high-value or low-cost? |
| Identification and location | Does the method identify an asset, locate it, or both? What precision is needed, and are tags, readers, and software compatible? |
| Updates and exceptions | How often is a record refreshed? What happens offline, after a missed scan, or when movement is unusual or confidence is low? |
| Integration | Can a stable asset ID be joined to maintenance, inventory, finance, or work-order records? Check the specific system’s exports or APIs rather than assuming availability. |
| Decision workflow | Who reviews a report, opens a task, owns it, and records closure in the operational system? |
| Governance and people | Who owns each data field? How are permissions, retention, training, and updates handled when assets or systems change? |
HCLTech’s 2025 case study, updated January 15, 2026, describes a lab deployment using unique RFID tags, fixed and handheld readers, and cloud-connected software. HCLTech reports 100% tracking at entry and exit locations, 20% fewer missing or lost assets, and 90% operational efficiency for planned audits in that deployment. These are customer-specific results presented in a vendor case study; the page does not establish independent validation or that other operations will achieve the same results. RFID tags must also match the reader and system requirements, so compatibility should be confirmed for a specific deployment. HCLTech case study

Measure whether information leads to better operations
Measure the whole path from observation to outcome, and define each measure before comparing systems or periods. A tracking system can generate many events without improving the decisions that matter.
- Record completeness: How many records contain the fields required for the intended decision?
- Location confidence and freshness: How often is a usable location available, and how old can an observation be before it is no longer useful?
- Time to locate: How long does it take staff to find an asset when they need it?
- Utilization: Are assets available and used as intended, using a consistent definition of utilization?
- Maintenance outcomes: Are repeat failures, overdue work, or unresolved service requests changing?
- Action completion: How often do alerts result in a documented and completed action, and how long does that take?
These are practical measures to consider, not benchmarks established by the cited studies. Use a baseline and clear definitions; otherwise, a change in reporting rules can look like an operational improvement or decline.
Make data governance part of the operating model
Asset records change as items move, are repaired, reassigned, retired, or added to a different system. Assign owners for the data and the process that keeps it current. Clarify who may edit records, how conflicting values are resolved, and how staff learn to capture and interpret information consistently.
Paul Brous’s 2019 dissertation at Delft University of Technology frames IoT benefits in asset management as dependent on data quality sufficient to create trusted information for decisions. It also treats asset-management data infrastructure as evolving and complex, with data governance among its topics. The implication is not that adding connected devices automatically improves decisions; the records, definitions, and responsibilities around them also need to work. A practical path from tracking to action
- Name the decision. Choose a concrete operational question—such as where a shared tool is, whether equipment needs service, or whether an item should be replaced.
- Define the minimum trustworthy record. Specify the identity, status, location freshness, and related context required to answer that question.
- Check data quality. Find duplicate identities, missing fields, conflicting records, and stale observations. Route uncertain cases for validation.
- Connect the relevant systems. Join tracking observations to the maintenance, inventory, cost, or work data required for the decision, using a stable asset identifier.
- Assign the trigger and owner. Set the event or threshold, who reviews it, where follow-up is recorded, and what counts as closure.
- Review the outcome. Compare results with a defined baseline, investigate failed or ignored alerts, and update records and workflow rules based on what happens.
Start with one consequential workflow rather than trying to make every asset field actionable at once. Expand when the identity, integration, ownership, and follow-up process are reliable enough for the next decision.
