They are not automatically cheaper, safer, or better than an in-house team: the value depends on the provider’s expertise, the work covered, the contract, and the responsibilities your business retains.
What managed IT services can provide
A managed service provider (MSP) is a third party hired to perform defined IT services. The label does not describe one standard package. One agreement might cover routine support; another might include cybersecurity work or support for specified systems and locations. The contract—not the label—determines what the provider will actually do.

Access to skills your business does not have
Outsourcing can give a business access to specialized expertise without building the same capability in-house. NIST notes that this can be particularly relevant to small businesses that lack the expertise, resources, or budget to hire cybersecurity staff. That is a possible advantage, not proof that every provider is more capable or less expensive than an employee. NIST’s small-business guidance recommends identifying the outcomes you need before choosing a provider.

Ongoing support with defined expectations
The practical value is in the specific tasks, coverage, and service outcomes the agreement sets out. A provider can only be assessed against requirements that are clear enough to compare: which systems and users are in scope, what work is included, and what is excluded or charged separately.

Security support without handing off accountability
An MSP may perform security-related work, but outsourcing does not remove your business’s responsibility to protect its own and its customers’ information. NIST’s guidance treats the provider relationship as part of the business’s cybersecurity planning, not a substitute for it. NIST’s Cybersecurity Framework 2.0 Small Business Quick-Start Guide can help small businesses organize that broader work.
What outsourcing does not guarantee
Hiring an MSP does not, by itself, guarantee lower costs, prevent a breach, eliminate downtime, or ensure compliance. NSA and CISA warn that using an MSP can increase an enterprise’s attack surface, particularly in cloud environments. Provider access, continuity, escalation, and incident responsibilities therefore need to be assessed as part of the decision. The NSA/CISA information sheet on MSP risks in cloud environments frames this as a risk-management issue.

These are not reasons to rule out outsourcing; they are issues to address before signing.

Write down your requirements once and give the same scope to each provider. That makes proposals easier to compare and helps reveal whether a lower quote reflects a lower price or simply less coverage.

- Define the need. List the systems, users, locations, and tasks that need support. Identify the outcomes the business expects and the work it will continue to handle itself.
- Check relevant expertise. Ask about experience with organizations of similar size and in your industry. Confirm the provider can address the contractual and regulatory requirements that apply to your business.
- Examine security and access. Ask how the provider secures its own environment and customer access, which security services are included, how incidents are escalated, and what evidence supports its security claims. Consider the provider’s access to your systems and data as a material dependency.
- Document responsibilities and service levels. Agree who performs each task, who makes decisions, what response and service levels apply, and how incidents and termination are handled. NIST advises documenting service levels, responsibilities, and expectations in a formal agreement.
- Compare equivalent quotes. Request proposals from multiple providers using the same assumptions. Compare included services, exclusions, transition work, and additional charges—not just the headline price. NIST likewise recommends seeking multiple quotes and cautions against choosing on cost alone.
- Check applicable credentials. For UK businesses, the NCSC recommends considering recognized certifications such as Cyber Essentials Plus as a baseline. Verify current certification status and its scope; a credential alone does not establish that a provider is the right fit.
The UK NCSC’s guidance on choosing an MSP is specifically for UK buyers. Legal, regulatory, and contractual duties vary by jurisdiction, so map the obligations that apply to your organization rather than treating guidance from one country as a universal rule.
What the available market figures can—and cannot—tell you
The UK Department for Science, Innovation and Technology’s 2024 market study estimated 11,492 active MSPs, £52.6 billion in annual sector revenue, £29.1 billion in gross value added, and 294,340 people employed. These are estimates of the UK provider industry, not evidence of the savings or return a customer should expect. The revenue figure is reported in the 2024 study, but much of the underlying revenue reflects work delivered and billed in 2022. In an initial public draft published on 14 April 2026, NIST cited 34.8 million U.S. small businesses and said 81.9% were non-employer firms—businesses with no paid employees other than owners. Those figures describe the U.S. small-business population, not MSP use, customer satisfaction, or provider value. NIST’s draft on cybersecurity for non-employer firms gives that population context.
How much do managed IT services cost?
There is no universal monthly price, customer savings percentage, or payback period established by the official guidance and market sources cited here. Price depends on the scope and terms being proposed; a quote for narrower coverage is not directly comparable to one that includes more work. Ask providers to price the same written requirements and identify transition costs, exclusions, and additional charges so you can judge the proposals on equivalent terms.

When an MSP may be a good fit
Managed IT services may make sense if your business needs continuing support or specialist skills that it cannot efficiently provide itself, and if a provider can meet your requirements under a clear agreement. The decision is weaker when the scope is vague, provider access and incident duties are unclear, or the business assumes that outsourcing transfers its own obligations. Define the outcomes you need, compare equivalent proposals, and evaluate both the support offered and the dependency created before deciding.
