Use Apple Notes to collect and organize working material; use Pages when a polished, precisely laid-out document is the deliverable. Notes handles more than plain text, while Pages offers templates and finer control over page composition and export. You can move a note into Pages, but some note features do not transfer as active, editable elements.
How the apps differ
Apple Notes is a flexible space for capturing information and keeping it organized. Pages is for creating documents where the presentation, page structure, or final file format matters. They overlap, so choose based on what the work needs to become—not on an assumption that one app is universally better.
Apple Notes: an organized working space
Notes supports headings and subheadings, collapsible sections, checklists, tables, images, web links, scans, handwritten notes, and sketches. That makes it suitable for outlines, research collections, meeting notes, and other material that may keep changing. You can also view and annotate PDFs and scans in Notes.

Pages: a document-making tool
Pages supports both word-processing documents and page-layout documents. Its templates and formatting controls are useful for letters, reports, posters, newsletters, and other work where the arrangement of text and objects is part of the result. You can position, resize, and layer images, charts, shapes, and other media, and wrap text around images.
Pages also exports to Word, PDF, and other file formats. Apple’s Pages User Guide for iPhone covers document types, layout, and export.

Choose based on the job

What to check when moving a note into Pages
Apple documents opening a note in Pages on iPhone. Treat that as a handoff, not a perfect conversion: some note-specific content does not remain active or editable in the Pages document.
- Drawings cannot be edited in Pages.
- Scanned documents and PDFs appear as thumbnail images.
- Tags, mentions, checklists, and links to notes are not active items in the resulting document.
- A Pages document created from a shared note is not itself shared.
Open and inspect the Pages version before treating it as a final deliverable, especially if collaborators need access or if the note contains attachments or interactive elements. Apple’s iPhone guide to exporting or printing notes explains the handoff and export behavior.

Exporting a note as PDF
If a note contains a multipage PDF or scanned document, the exported PDF contains only the first page of that original attachment, according to Apple’s export guidance. Check the exported file rather than assuming every attachment page is included.

On Mac, Apple says iCloud Notes can make notes available across Apple devices and provide the latest Notes features, including additional formatting, checklists, tables, and media. A simple decision rule
- Start in Notes when the main task is gathering, organizing, and updating information.
- Start in Pages when you are making a document whose layout, page structure, or export format matters to its readers.
- If working material grows into a formal document, move it to Pages and verify that the elements you depend on survived the handoff.
