Depending on the service and plan, it may take messages, screen or transfer calls, respond to routine questions, capture lead details, or schedule appointments. The term describes a service model, not a receptionist sitting at a desk in your office.
How a virtual receptionist works
The business supplies information such as its greeting, hours, common answers, routing rules, and the situations that should be escalated. The service uses those instructions to handle calls remotely, often in the business’s name. What happens after a call comes in depends on the provider’s setup and the plan selected.

Some services focus on answering and message-taking; others offer more involved workflows. A provider may describe capabilities such as lead intake, scheduling, call transfers, dispatching, or payments, but those functions are not guaranteed by the label “virtual receptionist.” Check the plan and confirm how each task is handled.
Human, AI, and hybrid services
Human receptionists
A remote person answers callers and follows business-specific instructions. Depending on the service, the receptionist may screen and transfer calls, take messages, collect information from prospective customers, or schedule appointments. See Abby’s description of its service for provider-specific examples.

- Reliable Corded Design with Audio Assist — Works even during power outages. Audio Assist temporarily boosts volume and clarity for better hearing, plus an extra-loud ringer with visual flashing indicator
AI receptionists
Software handles some or all of the conversation. Provider pages describe functions such as responding to routine questions, taking messages, booking appointments, sending notifications, and transferring urgent calls. These are descriptions of offered capabilities, not independent evidence of accuracy or performance. Reception.ai’s service page also presents a wage-based comparison; it should not be treated as an independent study of savings.
Hybrid coverage
A hybrid service combines AI with human receptionists or escalation to a live team. Ask exactly which calls go to a person, what triggers escalation, and what happens if the system cannot resolve a caller’s request. ReceptionHQ describes one provider’s approach; offerings differ across providers.

What tasks may be included
Depending on the provider and plan, a virtual receptionist may do more than answer and relay a message. For example, provider materials describe FAQ responses, lead capture, scheduling, call connection, follow-up, and dispatching. The service may also count work after a call—such as scheduling or follow-up—toward billable usage. Ruby’s service information and Nexa’s information illustrate provider-specific possibilities, not a universal feature list.

- Call routing: screen calls, transfer callers, or route urgent matters to a designated contact.
- Customer and lead intake: answer approved questions and collect details for a callback.
- Scheduling and follow-up: book appointments or complete agreed post-call tasks when supported by the plan and integrations.
How to decide whether it fits your business
Start with the calls you need handled, rather than with a provider’s feature list. Write down the questions callers ask, which calls need a person, when calls arrive, and what should happen after each type of call. This exposes whether you need simple message coverage, a live receptionist, automated routine handling, or a hybrid arrangement.

It can be a fit when calls arrive outside your normal availability, staff need uninterrupted time, or callers need consistent routing and message-taking. It may be a poor fit if the work depends on judgment, sensitive conversations, or exceptions that the service cannot reliably escalate under your instructions. These are workflow considerations, not a promise that outsourcing will increase revenue or reduce missed calls.
Questions to ask before choosing a service
- Who answers? Is it a human, AI, or a combination? What happens when a call is unclear or outside the system’s scope?
- When is coverage available? Confirm hours, time zone, holiday coverage, and any language options you need.
- Which actions are included? Verify screening, transfers, FAQ responses, lead intake, bookings, dispatching, and follow-up individually.
- What connects to your workflow? Ask which calendars, customer-management systems, and phone systems are supported, and whether integrations cost extra.
- How is usage billed? Find out whether billing counts calls, minutes, talk time, follow-up, or other after-call work; ask about included limits and overages.
- What costs extra? Check for setup, bilingual service, holiday coverage, scheduling, transfers, and integrations. Ruby specifically flags these as possible additional charges.
- What call records are available? Ask whether you can review logs, summaries, or recordings, how long they are retained, and what privacy controls apply. Providers do not share an established common retention standard in the cited materials, so confirm the terms directly.
What virtual receptionist services cost
There is no dependable market-wide price range established by the provider pages cited here. Their plans use different prices, billing units, and feature inclusions, so a monthly figure from one provider is not an apples-to-apples benchmark for another. Treat advertised prices as provider-specific and verify current terms directly before deciding.

For example, Abby’s page advertised plans from $165 per month when it was observed, while VirtualReception’s plan display and FAQ showed differing monthly figures. These are dated observations, not verified current offers or a recommendation. Nexa notes that billable receptionist work can include talk time as well as follow-up and other post-call tasks, so compare the full billing rules against your expected call flow.

A practical way to compare proposals
- Map your call flow. List your coverage hours, routine questions, transfer rules, urgent-call contacts, and information to collect.
- Request a proposal against that flow. Ask each provider to identify which tasks are included, which require an add-on, and which it cannot handle.
- Estimate actual usage. Use your call volume and expected call length, then include scheduling, follow-up, and other billable work in the estimate.
- Check exceptions and records. Confirm escalation behavior, languages, holiday handling, available call records, retention terms, and privacy controls.
- Compare total operating fit. Weigh coverage and task support against limits, overages, integrations, and add-on charges—not just the advertised monthly price.
